25 Screen Process Extractor Use case Typically on the next business day PPM users like to view and analyze the performance of monitored processes (experience from IDS consultancies: customers asks for this in more than 80% of the cases ) The challenge is, the applications to be monitored is green screen based and the information has to be captured during online processing View results based on process modifications the next day by monitoring user-sessions Some notes The concept is based on historical data (recordings) Screen Process Extractor supports virtually any terminal emulation (end user does not need to use different emulator software) This Extractor is unique as there is no other product in the market to extract event data to be fed into ARIS PPM

27 Screen Process Extractor Define Business Activities A predefined (Business) Activity entity is needed to identify the Activity in user sessions during analyzing time How can I describe such an Activity? I need rules, conditions Rule types: Start rule A trigger which indicates the start of an Activity. Example: AddNewLoan Screen has reached Complete Rule (Mandatory) - A trigger which indicates the completion of an Activity. Example: AddNewLoan Screen has reached + a message in the screen bottom - Loan added successfully Participating Rule Used to capture data from other screens Example: pick data from LoanDetails screen fields Abort rule - A trigger which indicates the abortion of an Activity. 39 Summary Screen Process Extractor Process data can be extracted from all green screen based applications on Mainframe 3270/ iseries 5250 The terminal session will be recorded (virtually any terminal emulation can be recorded such as IBM Hats, Entire Connection, ApplinX or Attachmate) The "recording" is the input for the extraction process. Some further steps the business user would have to do after the recording: define business activity, (effected screens, rules about interesting fields, pressed pf keys...) start data extraction in batch or from user interface. 44 Claims Process Claims Process Customer Reports Car crash Add Claim Add Voucher Add Booking Data Approve Payment Payment to Customer Call Center Claims Department Auditing Claims Adjustment Customer Reports Car crash The customer who is reporting the car accident will be supported by the call center Collect additional information such as (repair) invoices and booking data. During claims adjustment process step, claims adjuster gathers all of the documentation related to the claim from all relevant parties and then they do an assessment based on and weighed against like claims. Final check of the claim including recalculation of the amount of money to be transferred. The bank confirms the bank transfer to the insurance company.

46 Versis - Insurance Software Solution Versis (also known as ibos Insurance Back office System) is a Software AG software solution for Insurance companies. This Showcase is concentrating on Versis which is running on Mainframe using Adabas as Database (Note: Versis is also available on UNIX/LINUX platforms, which is not a problem because usage of Software AG extractors is platform independent). In the Showcase we will measure and visualize process information which is important to the Insurance Company. This Insurance Company uses Versis to run the whole vehicle insurance Claims process. The given environment suggests two ways to process data extraction: Green screens and Adabas.

48 PPM Analyses needed by head of Claims Department Juergen Sattler, Head of Claims department Car Insurance His goal is to get an overview about important process related parameters to be able to proactively react At any time he must know how his department is performing He usually uses the ARIS PPM Favorites, however, the preferred method is Dashboards Dashboards provide all relevant information overview much more quickly.

49 Juergen uses PPM Client to view department performance Graphic representation of query results Favorites are KPI instances created in your ARIS model. It is generally used to call a defined query that displays a KPI analysis. Juergen just clicks the query he wants to run by choosing the appropriate favorite.

50 Claims Department, KPI Analysis 1 First digit of the Zip code defines the Area The cycle time is measured by PPM using the completion time of first activity and the last one ( Approve Payment ). Graphic shows the average cycle time and maximum time of Claims Background info: Zip code of the customer address is picked from green screens.

54 Claims Department Dashboard (requester Juergen Sattler) The business activity ChangeStatus is in an alarming status. Juergen will have to check with his team on the reasons and how to resolve it. This Dashboard is only a sample, there could be more queries displayed such as how many accidents by game happened per Area.

55 PPM Analyses needed by head of Call center Julia Noah, Call center lead (subsidiary company) At any time she must know how her department performs, how fast new Claims are entered and how fast the Voucher information is added as well so the Claims department can take over and complete the process Her Dashboard provides all the relevant information she needs

56 Call Center Dashboard (requester Julia Noah) Interestingly the Create Claim activity takes longer than the Add Voucher activity. The cause of the problem should be checked (missing information from customers might be the reason). This Dashboard is only a sample, there could be more queries displayed such as average cycle time of first two processes.

58 As-Is-Process displayed in ARIS PPM for Process Lead After importing the extracted data to ARIS PPM, the displayed As- Is-Process looks exactly like the designed process. Today, therefore the process lead has no task on the plate regarding this process.
