1 Frequently Asked Questions for 360, Appraisal and Goals I receive an error message that my login is invalid System Access The most likely cause is that you need to update your GIN certificate. You can find instructions here. I receive an Internet Explorer message to diagnose connection problems Access via remote connection My pre-populated rater selection is incorrect. I d like to invite raters outside of AllianzGI. Is this possible? I did not get a chance to add raters before the survey launched. Can I add them now? How many raters should I nominate? I don t feel comfortable rating this individual in the areas specified. Do I have to rate him/her? I submitted the survey before I finished. Can I recall it? 360 If this does not work, please contact your local IT department. This is an intermittent error. If this occurs, try back at a later time. If you have a Citrix stick, you can access SuccessFactors via remote access at and then enter your username, password and passcode. You will also need to know your GIN username/password or request a new password. Please contact Human Resources for assistance. You can invite raters from other Allianz entities. You cannot invite raters outside of Allianz (i.e. customers). If a rater you would like to choose is not available please contact your HR Business Partner Yes, your manager may still add raters after the survey has launched. Click here for further instructions. It is recommended to include a total of 8 raters for managers and 6 for employees. Note that there is a mandatory minimum of 3 others. If you are selected as an other or matrix manager, you can decline to rate the individual. Everyone has the ability to choose N/A for the areas where you do not feel you can provide feedback. If all other raters have not completed the survey and it is before the deadline, you can recall your survey. Click here for further instructions.
2 Is my feedback anonymous? Can I print my responses to refer to later? How do I access my report? How is the 360 data used? What do I use to measure the behavioral goal? Can I modify the goals / weighting when I complete the appraisal? What is the section on the form for Compliance/Code of Ethics? When should I send the form for signature? All feedback is anonymous EXCEPT the self, manager and matrix manager. It is important to note, however, that the open-ended comments, although randomized in the report, will read verbatim with what was entered. Yes. When you have completed your ratings, click on the icon at the top of the form. Click here for further instructions. The 360 Overall (all but self) rating is entered as the rating for the standard behavioral goal during the Appraisal. Appraisal At the top of the 360 Feedback report is a bar graph that shows your overall rating for all questions. Choose the rating next to the All but self line. When in the appraisal form, you can access the 360 report by clicking on the icon on the top of the screen. Yes. Goals may be added, deleted or revised. There may be some instances where managers may give an employee a lower rating due to warnings that have been issued. Managers can provide reasoning for the lower rating in this portion of the form. The form should be sent for signature only after the manager(s) and employee have met to have the appraisal conversation. The managerial goal references the 360 questions. Where can I find these? Where is the section for my development goals? Can I make changes to the goals once they are finalized? Goals The 360 questions are hosted on the 360, Appraisal and Goals intranet page accessed here. Going forward development goals will be separately captured in a Personal Development Plan (PDP), which can be accessed by clicking on the Development tile or menu from the homepage. The goals will be transferred to a new appraisal form in Q1 of next year. Once this is completed, the manager can adjust the goals at any point throughout the year.
3 What is a Matrix Manager? General Questions In our functional set up, some employees may have dual reporting lines (Manager/Co-Manager) or solid/dotted reporting lines (Manager/Matrix Manager). Manager / Co-Manager: Have jointly day to day responsibility and make decisions for appraisal, goal setting, development, promotion and compensation together. All decisions impacting the employee s appraisal, goal setting, development, promotion, compensation decisions etc. made jointly between manager and co-manager. Ideally, both manager and co-manager have the appraisal and goal setting discussions jointly. Manager (solid line): Has day to day responsibility and makes final decisions for appraisal, goal setting, development, promotion and compensation. All decisions affecting the employee s appraisal, goal setting, development, promotion, compensation decisions etc. must be made jointly with the matrix manager. Matrix Manager (dotted line): Will input into all decisions affecting the employee s appraisal, development, promotion, compensation decisions etc. Goals must be agreed with the manager and ideally both manager and matrix manager carry out the appraisal and goal setting discussions jointly. For further clarification, please reach out to your HR Business Partner. I am relatively new to AllianzGI. Do I need to do any 360 and year-end appraisal for this year? Employees who started after July 31 st will not receive a 360 or Appraisal form. (Investment professionals will receive an Appraisal form but only need to complete the goals section). All other employees should complete the 360/Appraisal. Please note that the rating scale includes a Too new to rate option.
4 360: Adding Raters Post-Launch Direct managers will have the ability to add or adjust the rater list once the survey has been launched. 1. The manager will first need to go into the form. S/he can do this by clicking on All Forms in the 360, Appraisal, Goals tile. 2. Click on the 360 form and at the top, click on Summary View 3. Here you will see a list of all of the raters as well as a button to Add New 360 Feedback Participants. From here, the manager can include new participants. Back to the top
5 Re-calling Survey The manager can recall his/her survey prior to the due date in the case that s/he would like to change the ratings. a. Go into My Form completed either from the 360, Appraisal, Goals tile or from the Menu: Forms page and find the 360 to be recalled. Does this need b.
