2 2 Job Aid: Management Terminology This Job Aid contains an alphabetical list of terminology used in Management. Use the following table to refer to commonly used Management terminology and take notes throughout the class: Management Terminology Administrator Anniversary Schedule An employee designated to set up the Management module, and distribute reviews Schedule a review form to be distributed every year, on the anniversary date of the first review Assignee An employee that is assigned to participate in a performance review Ceiling Rounding Method Round off the performance review rating to the next highest digit Close a review Complete a scheduled review cycle with all milestones complete and archive the review

3 3 Management Terminology Competencies Clusters of related knowledge, skills, abilities, and other personal characteristics necessary to be successful in a particular job Contributor An employee designated as someone who contributes performance feedback and input on another employee s review Data coins Coloured circles that are displayed on the Dashboard to highlight information overview for a review, including status and review details Flooring Rounding Method Round off the performance review rating to the lower digit if the decimal point is less than 5

4 4 Management Terminology s Target level of performance expressed as a tangible, measurable objective, against which to compare actual achievement Individual Job Competency Validation Table Created by all roles to identify individual performance objectives that align with both team and organizational performance goals Stores the values set up for Job Competencies at the organizational level so that these values are displayed in the list when you select a job competency for an employee Key Indicators (KPIs) measures used to evaluate the success of a particular activity

5 5 Management Terminology Locked Organizational Only practitioners can unlock or modify this type of goal Modifications display to all assignees, affect all records assigned to that goal Managers can only assign to individual direct reports as personal goals Organizational Created by practitioners to identify performance objectives at the organizational level s Category Validation Table Contains the data that makes up the selection list for the organizational performance goal categories created by the practitioner s Validation Table Contains the data that makes up the selection list for the organizational performance goals created by the practitioner

6 6 Management Terminology Question Category Validation Table Contains the data that makes up the selection list for the performance question categories created by the practitioner Personal s Planned Distribution Created by all roles to identify individual performance objectives that align with both team and organizational performance goals Requires the reviewer to rate direct reports according to a predefined distribution curve. This method will guide managers to identify stronger and weaker employees. Practitioner An employee designated to set up the Management module, and distribute reviews

7 7 Management Terminology Question Bank Repository for storing rated and non-rated questions for a review Rated Questions Questions on a Review Form that require a rating Review Form Review Period Review Forms are created before Review Plans. These documents contain the performance standards used to evaluate employees performance. They may include questions, goals and competencies. Identifies the period of time for which an employee s performance is being reviewed. This can be a calendar year, a fiscal year or a custom period such as a 90 Day New Hire Review.

8 8 Management Terminology Review Plan A Review Plan is linked to a Review Form, and is created after the Review Form. It defines the review strategy, including: How Who When Reviewer An employee designated as someone who looks over and approves or rejects the completed performance reviews Rounding Method Round off the performance review rating to a higher digit if the decimal point is greater than or equal to 5, or the rating will be rounded to the lower digit Target Review Completion Date The date by which all of the milestones in a review cycle are completed

9 9 Management Terminology Team Created by managers to identify performance objectives at the team level that align with organizational performance goals Terminate a review Delete a performance review Timeline Visual representation of a review cycle based on the milestones set up for a performance review. Unlocked Organizational Managers can modify and assign as team or personal goals Employees can modify when selfassigning Any modifications that practitioners make display only for employees who are later assigned the goal
