1 Position Announcement: Operations Director The International School of Zug and Luzern (ISZL) is currently seeking to hire an Operations Director. Our School An overview of the last 50-plus years of the school s history, including the recent merger, reveal that ISZL has been continuously committed to providing an exceptional academic curriculum coupled with an exciting range of activities and outdoor adventures. Despite its many incarnations, from a small tutor group to a school across several campuses offering education for all ages, it has consistently provided the highest academic opportunities for expatriates in central Switzerland. Over the past five decades of progress and expansion, the passion and dedication of many individuals have culminated in a highly successful, not-for-profit educational organisation meeting the needs of more than 1,200 pupils from over 50 nations. ISZL has grown into an expansive community. From former students, parents, and staff who look back on their time at the school with genuinely fond memories, to current members of the community who are deeply committed to the school s development, one shared vision unites the extended families. With a clear purpose comes direction, and that momentum is evident in the progress of the school. ISZL is confidently commencing its next 50 years grounded in the ethos of Respect, Motivate, Achieve. Website: The Position The Operations Director will serve as a member of the Leadership Team and will be responsible for strategic and operational oversight in the areas of Administrative Leadership, Legal, Security, Health and Safety, Facilities, Maintenance, External Relations, Services and Systems, and Finance and Accounting. Also, the Operations Director will play an integral role in strategic planning and implementation, goalsetting, and performance management of the School. The Operations Director is responsible for the administrative and financial functions of the organisation, ensuring high standards of business ethics and effective use of resources to support strategic objectives, including accurate budget planning and fiscal accountability of the annual capital and operating budgets. The Administrative and Operation Director reports to the Director and works closely with the School s Leadership Team.
2 Preferred Qualifications and Experiences M.A./M.Ed./M.Sc. degree or MBA preferred Fluent German and fluent English speaker; fluency in other languages helpful Strong operational experience in senior management role in for-profit/not-for-profit organisations of similar size and scope (educational institutions preferred) Strong business acumen and service ethos with a thorough understanding of working in an international, socially-responsible, service-oriented organisation Integrity in all actions and communications. Experience demonstrates importance of doing what we say transparency Demonstrated experience in financial planning and analysis, with previous experience associated with information technology, legal documents, organisational development, budgeting and investments, marketing and advertising, and strategic planning Demonstrated skill and knowledge of technology, including various Business Software Suites and Management Information Services Excellent people skills with an ability to collaborate with a dynamic leadership team Confidence in working collaboratively with diverse groups of people Experience and ability to collaborate with a Board of Trustees Demonstrate an on-going love of learning and keeping abreast of new business developments in international and Swiss education Experience working with facilities development projects Overall Responsibilities Duties may include, but are not limited to the following: Administrative Leadership Lead a team of approximately 100 people Implement the school s policies and procedures and comply with these policies and accompanying administrative regulations Develop annual goals in line with the school s Strategic Plan and Director s approval Prepare annual surveys or other reports that are relevant to institutional bench-marking and data-driven decision making Collaborate with external consultants and legal counsel to follow up on specific projects/issues Act as a motivating team leader. He/she and his/her team will give full support to the school s Mission and Guiding Principles. Attend Board meetings as required Ensure alignment of all administrative operations throughout the school
3 Legal Oversee all legal detail associated with staff contracts Communicate and coordinate with local authorities with respect to all local legal issues Coordinate the advisement related to matters requiring legal counsel Ensure the school and all associated operational, financial, safety, building, and service aspects of the school are operating within the highest levels of a sound legal framework Security, Health, and Safety Supervise the daily work of the school s security team Ensure the maximum level of security for staff and students at all times in all areas of the school s functions Ensure the school s Facilities and Grounds are conforming to Monegasque health and safety regulations Supervise all security and safety inspections and the follow-up on any recommendations in the subsequent report Document and regularly review all health and safety policies and communicate and regularly review these policies and regularly practice safety procedures with all school personnel Provide the members of the Senior Management Team with health and safety guidance and arrange annual First Aid, use of fire extinguishers, exit procedures trainings Plan and execute fire drills, evacuations, and lock downs on a regular basis, reporting and recording concerns and improvement areas. Ensure that school s accident and diseases database is kept up to date Ensure that the school identifies, assesses, and manages a safety or security risk in line with school policy and legal requirements Ensure that the school site is secured at all times, including holiday periods Facilities and Maintenance Ensure an attractive, well maintained, and clean environment at all times Supervise and coordinate all facility planning, maintenance, repairs, renovations and relevant budget preparations and fund allocations/usage as well as quality of campus facilities overall; this includes, heating, ventilation, and air-conditioning systems Supervise and manage the maintenance and cleaning of all premises, this includes the outside play areas; monitor the quality of work of the buildings and grounds support staff including school cleaners and outside cleaning staff. Control maintenance and cleaning budgets Supervise and follow up on the quality all out-sourced work (e.g. plumbing, electricity, security, alarms, gardening, paintwork) Negotiate, control, and monitor all outside agency contracts for buildings, grounds, and maintenance to ensure efficiency, effectiveness, and value for money. Monitor the quality of work. Review with Director all renewal of contracts Work with the Board s Facilities Committee to oversee contract preparation and implementation of major maintenance and/or construction projects
4 Manage insurance contracts and claims pertaining to school premises Maintain an inventory of all equipment designated as Capital Oversee the planning and implementation of all new Capital Projects and ensure contractors follow instructions and keep to agreed deadlines Service and Systems Prepare all the contracts with major vendors, suppliers, consultants, and negotiate these contracts in conjunction the Director Ensure the effective management of the food-service and catering operations; evaluate the performance of the outside food contractor and recommend changes as needed Oversee the School Bus Service Ensure appropriate insurance coverage for the assets of the school and appropriate liability coverage. Review appropriate coverage, risks, security issues, and operating procedures on a regular basis to also ensure compliance with local regulations Oversee the administration of the financial aid process and serve as a member of the Financial Aid Committee In liaison with the Technology Director, manage and develop the school s management information systems which all aspects of finance, business, and administration. Plan, with the Director, holiday schedules for the department to ensure coverage at all times. Maintain strong relationships with key government, business, and local community representatives Finance and Accounting The Operations Director will also work in close conjunction in support of the Finance Director, whose responsibilities include: Plan and oversee management of the financial affairs of the school Establish, maintain, and supervise financial and accounting controls and procedures to ensure the financial integrity of the institution Prepare the annual operating and capital budget for review by the Director and Finance Committee, and approval by the Board of Trustees Prepare financial reports, cash flow, and other financial analysis Prepare and present a monthly review for the Finance Committee Chair in readiness for the Finance Committee and Board of Trustees as well as consolidated year-end financial statements Allocate Unit/Department budgets, monitor spending and hold people responsible Supervise and ensure that the record keeping of all cash held on the premises and the reimbursements are accurate Approve purchase orders, payments as within the budget; establish and follow procedures for purchasing, managing receivables and the accounting and distribution of materials Supervise the accounts receivable and accounts payable Supervise the preparation of invoices/reminders and monitor payments. Alert the Director to an outstanding payment of fees Keep an accurate continuous record of the cash and financial position of the school and manage the financial operations of the school to ensure its financial stability
5 Oversee preparation for the independent Annual Audit and schedule the closing meeting with the auditors and the Finance Committee and Board to review the audit results Prepare all the documents required for the Board of Trustee meetings Ensure that all accounting and finance practices and procedures are compliant with applicable local regulations Supervise monthly development of payroll to ensure that all staff are paid accurately in support of Human Resources office. Terms and Conditions of Appointment Salary and benefits for this post are competitive, and will be commensurate with the responsibilities of the position and based upon qualifications and experience.
