1 Revised United Way of the Virginia Peninsula Fountain Way, Suite 206 Newport News, VA How to Apply: Please send resume and cover letter to Job Title Reporting To: Department: Exempt OR Non-exempt: Classification Vice President of Finance and Administration President/CEO Finance and Administration Exempt Full-time Overall Purpose of this Role: Key Accountabilities: Under limited supervision of President, this relationship focused servant leader is responsible for providing leadership, direction & oversight to the organization for finance, procurement, information, facility and administration policies and procedures. Directly responsible for managing the organization's budget, financial planning and analysis, and investing funds according to Finance Committee's guidelines. Trains staff on finance/accounting, budget, information and administration policies and guidelines and procedures to facilitate understanding and compliance. Leadership and Strategic Planning Provides leadership, direction and oversight to organization s policies and procedures concerning finance, administration, purchasing, information technology, property and risk management. Collaborates with senior management regarding operational strategy, longrange goals and objectives, costs, activities, and progress. Develops solutions to administrative business challenges that include outsourcing of various activities and functions if external support provides the most effective service level and cost. Keeps up-to-date on information and technology that affects functional areas to increase innovation and ensure compliance with laws and regulations. Drives changes in budget and collaborates with senior staff to develop contingency plans required to balance. Page 1 of 5

2 Finance/Accounting/Treasury Recommends and develops policies, procedures and systems to meet organization s objectives; recommends changes and improvements to systems. Provides strategic financial leadership and support regarding investments and/or other issues affecting the organization. Executes investment of organization s funds. Ensures timely and accurate budget analysis, forecasts current and future financial position and budget requirements for financial review with board and management team. Facilitates activities of Budget and Finance Committee working closely with board committee chair. Facilitates activities of an Investment Committee working closely with board committee chair. Reviews, analyzes and interprets all financial and budget reports. Works to optimize bank and deposit relationships and initiates needed strategies for improvement. Insures the accurate and timely preparation and dissemination of financial management reports, including internal and external monthly financial statements, annual audits and budgets. Oversees the activities that ensure the accurate and timely processing of accounts payable, purchase orders, petty cash, employee expense reports, cash control, payroll processing and tax compliance. Ensures accurate tracking and reporting for grants. Oversees accounts receivable activities and develops systems with controls to safeguard assets and insures accurate and timely processing of receivables. Assures organization s income tax compliance and the accurate and timely completion of the organization s income tax returns. Directs and reviews preparation and filing of financial statements, tax reports, permits, and audits. Utilizes MIP or similar technology to integrate organizations financial reporting. Information Identifies and develops information required for federal, state and government reports; completes and sends reports. Identifies and develops information required by annual United Way and BGCA reports; directs the completion and sends reports. Sets-up and retains files that meet record retention requirements. 3 Procurement Oversees procurement function and activities. Works with President to define procurement goals and objectives. Develops and implements organization wide purchasing policies and practices that maximize savings based on volume with minimum inventory and that insure materials/services are available when and where needed. Information Systems Oversees Information Systems function and activities. Works with President to define Information Systems goals and objectives. Facility Works with Information Systems Manager to determine organization s hardware and software needs and security, to plan and implement a comprehensive program for effective data collection, processing, and reporting. Plans utilization of central services office space to meet the organization s growing or changing needs. Negotiates with building management to lease office facilities required by the organization at a low cost and attractive, flexible terms. Maintains property leases and deeds; renegotiates, terminates and/or renews as appropriate. Risk Management Collaborates with and provides oversight and policy guidance to organization regarding risk and property management. Places and manages fidelity, surety, liability, auto and property insurance programs; oversees incident reporting and claims processing. Board/Committee Development Staff Prepares committee reports for and participates in central board meetings. Coordinates and leads finance, endowment, and audit committee meetings, including preparing meeting agendas and reporting on meeting activities. Facilitates activities of Capital Oversight Committee working closely with board committee chair. Provides staff assistance on resources development, property, program and human resources committees. Builds, develops and manages finance, purchasing and technology team capable of carrying out needed initiatives. Hires, develops and appraises staff; takes corrective action as necessary. 5 QUALIFICATIONS: Education: Bachelor s degree in finance or accounting required. MBA preferred. Experience: Minimum ten years diverse managerial and professional experience managing a range of administrative and functional areas of responsibility including five years of hands on accounting and finance experience. Professional training or equivalent experience in operations, procurement and/or information technology highly preferred. Skills/Knowledge Required: Must: (1) have strong general ledger, accounts payable, accounts receivable, payroll, income tax and banking working knowledge (2) have technical skills in financial reporting and analysis, and cash flow management. (3) be pc literate and spreadsheet proficient (hardware/software) (4) have a demonstrated ability to lead people and get results (5) be able to organize and manage multiple priorities (6) have excellent interpersonal and communication skills (7) be a strong team player (8) have ability to analyze and resolve problems both at a strategic and functional level and (9) have excellent verbal and written communication skills. Physical and Mental Requirements: Must be comfortable performing multi-faceted projects in conjunction with day-to-day activities. Ability to get along with diverse personalities while at all times displaying tact, maturity and flexibility. Physical requirements include sight, hearing, sitting for four plus hours per day, Skills essential for success include speaking, writing and use of pc. Environment and Work Conditions: Normal internal office environment. Occasional need to travel to business locations within Virginia Peninsula. Frequent internal contacts with full-time employees throughout organization required.
