2 POSTING Workflow for Adjunct Applicants NOTE: YOU MUST SELECT HR INITIAL REVIEW- PART TIME POSTING OR IT WILL GO THROUGH THE FULL TIME WORKFLOW Originator (move to Full Time or Adjunct Posting) Full Time Posting Continue with full time workflow Dept Head Adjunct Posting Associate Provost Adjunct Posting HR Initial Review Adjunct Posting The postings for Adjunct Faculty can be posted to the public OR as an internal link for those applicants who are returning. As the hiring manager you will have that option. The posting can also remain open, internally or externally, for one semester. Also, the applicant will need to reapply each semester but after they complete their application the first time then the next semester they will only need to submit their application and it will be a much easier process. HR Final Review Adjunct Posting Posted-Internally or Publically 2

3 ADJUNCT JOB POSTING INSTRUCTIONS FOR ORIGINATORS Logging On Open your browser and go to Click under the box on the SSO Authentication or CAS Credentials link. You will then be able to log in with your UCA credentials. Be sure you are logged in as an originator. Click on the Postings tab, Faculty. Click on the orange button +Create New Posting button. You may create the posting from a template or a posting that you have already originated. Preferably use Create from Position Template. 3

4 Type in adjunct in the search bar and click on search. Your template Adjunct Faculty will appear at the bottom of your screen. On the bottom right click on Actions then Create From. In the Working Title type the title of the job next to Adjunct. You MUST select the Applicant Workflow to Under Review by Hiring Manager-Adjunct or it will NOT route to the proper workflow. Click Create New Posting. Click Create New Posting. NOTE: This can be advertised to the public OR you can use a link provided to use internally for your returning applicants only to apply. 4

5 On the Posting Details select Adjunct Faculty in the drop down. PLEASE NOTE: The postings for Adjunct Faculty can be posted to the public OR as an internal link for those applicants who are returning. As the hiring manager you will have that option. The posting can also remain open, internally or externally, for one semester. On the Position Details page fill in all the areas in red. Justification for filling the position is Adjunct Faculty. Change the Faculty Salary Range if applicable. Also add the date that their pay schedule will end. This will tell payroll when to stop their pay. Example: PAF ends

6 Fill in Position Summary and Qualifications, Job Duties and Responsibilities, Knowledge, Skills, and Abilities, Required Education and/or Experience, and Preferred Education and/or Experience. Complete your Desired Start Date, Hiring Manager, Originator and Who will be the supervisor? Complete Open and Close Date of the posting. NOTE: The postings for Adjunct Faculty can be posted to the public OR as an internal link for those applicants who are returning. As the hiring manager you will have that option. The posting can also remain open, internally or externally, for one semester. Begin clicking Next and add sections to your posting as you go. Click next until you reach the Posting Summary page. You will then move the posting in the workflow to HR Initial Review- Adjunct. IF YOU DO NOT MOVE THE POSTING IN THE PROPER ADJUNCT WORKFLOW IT WILL GO INTO THE FULL TIME WORKFLOW. It will then continue in the workflow in the following order: Dept Head-Adjunct, Assoc Provost-Adjunct, HR Final Review-Adjunct and then it will be posted to the public OR approved as an internal posting with a link to provide to your applicants. 6

If you would like for this posting to be an internal hire or sent only to returning applicants then a link within PA will be given to the department so that returning adjunct will be able to apply. Here is where your link will be located after your posting is approved. This link will be available if you are not posting the position publically but internally only. 7

8 Applicant Workflow for Adjunct Faculty Under Review by Hiring Mgr Hiring Mgr- Applicants to interview- Adjunct Faculty Hiring Mgr selects applicant / Recommends for Hire Start Adjunct Hiring Proposal HR for BG Check- HR moves to Dept Head Not to be Interviewed- Adjunct Interviewed, not hired- Adjunct 8

9 ADJUNCT FACULTY APPLICANT WORKFLOW INSTRUCTIONS FOR THE HIRING MANAGER REVIEWING APPLICATIONS AS THE HIRING MANAGER PLEASE NOTE: If you cannot find the posting OR applicants you will need to filter your search. Please see the link on How to filter a search for a posting or applicant on the HOME page of PA. Log in as the Hiring Manager. If the posting is not on your home page under your watch list then go to Postings and Faculty and your posting should be at the bottom of your page. If not then filter your search. (Click on More Search Options ) Click on your applicants tab. To see your applicants you may need to use the filter (Click on More Search Options ). The workflow state you are looking for will be Under Review by Hiring Mgr- Adjunct. Highlight it and click the Search button. 9

10 After reviewing your applicants move them in the workflow. You will then be directed to the following screen. Under Change for all applicants select Interview-Adjunct Then change each applicant to the proper workflow state. Click Save. Click the refresh button in your browser bar. After it refreshes you will then see the applicants moved to Interview Adjunct. You may then begin your interviews. 10

11 After you have completed your interviews then move the applicant in the workflow. Move the applicant to Recommend for Hire-Adjunct. Click Save Changes. You will then be directed to the next page. Click the refresh button in your browser bar. 11

12 Start Adjunct Hiring Proposal Click on the selected applicant s name. Click the Start Adjunct Hiring Proposal or it will go into the wrong hiring proposal workflow. Complete the Adjunct Hiring Proposal by filling out the required fields and move to HR Background Check-Adjunct. You will now start the Hiring Proposal Workflow (EPAF). Posted 12

13 EPAF/Hiring Proposal Workflow for Part Time/Hourly -Classified ted Under Review by Hiring Dept Head Dean Academic Budget Coordinator Associate Provost HR Initial Review Budget HR Final Review EPAF- Hiring Proposal Complete ADJUNCT FACULTY EPAF WORKFLOW INSTRUCTIONS FOR THE HIRING PROPOSAL The hiring proposal will continue in the workflow: Dept Head-Adjunct, Dean- Adjunct, Academic Budget Coordinator-Adjunct, Assoc Provost-Adjunct, HR Initial Review-Adjunct, Budget-Adjunct, HR Final Review-Adjunct, and Hiring Proposal Approved-Adjunct (EPAF). The Hiring Manager will then receive the EPAF. Please forward it to your Administrative Assistant for the applicants file. 13
