1 *Matrixes will be required for each search. Ensure the matrix you send to HR is correct and matches your status updates in Taleo.* 1. Go to Login with your Employee ID and password. 2. Click Recruiting in the top left corner. 1
2 3. Click Requisitions. 4. Find the appropriate requisition. To view the candidates that have applied, click the number located under the person symbol ( ). 5. You will be able to see all candidates that have applied to the selected posting. Review each column header by hovering over the icon. You will see the candidate s name, candidate attachments, internal candidate, referral, status progress, ACE, status detail, eligible for Veteran s Preference, requirements, assets, and phone numbers. Note: Review all Veterans who selected Veteran s Preference eligibility. See Veteran s Preference Guidelines on the UHV website for more information on interviewing veterans. 2
3 6. Click the name of the applicant to view their credentials. Review the candidate s information by clicking each of the arrows located on the left side of each number. To view other applicants, click the arrows at the top right of the page to navigate through each application. 7. NOTE: You MUST complete a matrix for your search. You can download the list of candidates in to an excel spreadsheet and complete your matrix via excel by adding headings and ratings. Ensure your matrix matches your status updates in Taleo. 8. If the candidate does not meet the minimum qualifications of the job, you will need to update the step/status. ONLY update the status of the applications AFTER the job has been posted for 10 business days for external postings and 5 business days for internal postings. PER POLICY, DO NOT UPDATE THE STATUS OF APPLICATIONS UNTIL THE JOB HAS BEEN POSTED FOR 10 BUSINESS DAYS!! **When the status is updated to rejected, candidate will receive rejection immediately. ** After the minimum posting date, you can update the status of each unqualified applicant by doing the following. 3
4 Click the red reject symbol. Select rejection reason. Click Save and Close. The candidate will receive an notifying them that they were not selected. 4
5 9. After updating the statuses of those not qualified, you may view your candidate pool and update the statuses of those who have passed the HM screen. Follow the steps below for updating the status. Select the candidate you wish to update. Hover over the green check mark. This will tell you which status the candidate will move to if you click the check mark. o Click the green check mark to move the candidate to Passed Screening. From there, you can choose who you will interview. Note: Picture to the right displays the status the candidate is currently in. 5
6 10. If the candidate is selected for interview, update the status to Interviews by clicking the blue check mark with the red arrow. *You may then call each candidate to schedule the interview. See step #12 for candidates who reject the interview. At this time, send a list of planned interview questions to the HR Specialist for review. Please allow hours for a decision. Do not proceed with interviews until the questions have been approved. 6
7 11. After your questions are approved, you may begin interviewing (after the minimum posting date). Ensure you are taking adequate notes during the interview step. You will need to provide all interview notes and questions to the HR Specialist at the time of hire. Document ALL questions and answers! Remember: ONLY base your decision on JOB-RELATED qualifications. Refer to the interview questions do s and don ts for quick tips. 12. After interviews are complete, update the step/status for each candidate by following the different scenario instructions below: Send all documentation to the HR Office or tomasl@uhv.edu within 10 business days after the candidate has been selected! The candidate should be in the Interview Step and Pending Interview Status. 7
8 Click More Actions, and then click Change Step/Status. Then, select the appropriate step/status for the candidate. CANDIDATE REJECTED INTERVIEW: Change the New Status to Applicant Withdrew and select the applicable Detail or Disposition reason. Click Save and Close. 8
9 CANDIDATE INTERVIEWED AND REJECTED BY HIRING MANAGER: Change the New Status to Rejected and select the applicable Detail or Disposition reason. Click Save and Close. For questions, please contact 9
10 CANDIDATE PASSED INTERVIEW: Change the New Status to Passed Interviews. Click Save and Close. Note: More than one candidate can pass the interview step. Candidates will receive a notification when you update their status to Rejected. Therefore, do NOT update the status until you are 100% positive that you are not going to hire that individual. You may update the statuses to Rejected at the end of the search and after you have selected your finalist. 13.
