2 Following customer feedback, we are making improvements to our edc (Electronic Demand Capture) system which we plan will come in to effect from Monday 2nd November The system will be unavailable from 17:00 on Friday 30 th October until Monday 2 nd November whilst the upgrade takes place. What s new? edc Gold 1. Location Management primary and secondary stock locations New functionality has been introduced on the Web and PDA to allow users to highlight where stock is held in multiple locations within the same store. Web There is an option to enable Location Management within the store management screen and any number of secondary locations can be assigned to a store and then to the individual stock definition records. 2

3 All stock received into a store is automatically assigned the default primary location. A list of secondary locations will be displayed where applicable. Stock View 3

Batch/Serial Number transmission As per the current functionality within Online Catalogue and ordering where line level notes (batch & serial numbers) are transmitted through to our e-direct supplier, any batch / serial numbers captured for consigned items will also be transmitted. 5

6 3. edc Gold Reports A number of new/enhanced reports have been introduced. 90 day order status This report shows all edc Gold orders raised within the last 90 days for the current store. It can be downloaded as a PDF or exported into Excel. The report contains the following information: Store code and name Requisition point code and name Order number Order date Supplier NPC Product description UOM (Receipt) Order quantity (Quantity requested) - this is in terms of Receipt UOM Planned expected quantity (Excel version only) Receipt quantity (Planned receipted quantity) Outstanding receipt quantity Order status - Lapsed, Receipted or Stock due (calculated from Planned expected quantity / Planned receipted quantity) Each row on the PDF version is colour coded based on Order status: RED = Lapsed (item not receipted and removed from planned orders (product has exceeded the expected delivery date + the total lead time (Product Lead time + Store Receipt lead time). AMBER = Stock due (item not receipted and within the total lead time) GREEN = Fully receipted (full quantity on planned receipt used) 6

7 Short shelf life The current stock rotation report has been renamed short shelf life and has been amended to include the following new fields: NHS E-Class Group Key Items are colour coded on the PDF version as follows: Red (Expired items) Amber (Expiry date less than Shelf life warning) Green (Expiry date greater than Shelf life warning Stock locator The report shows the quantity and location of stock for the current store. It can be downloaded as a PDF or exported into Excel. Selection criteria: NPC Group key Report includes the following: MMD Store Requisition point NPC Product description Product type Stock quantity Location Group key Batch number Serial number Expiry date 7

8 Stock status This report shows the stock position of the currently selected store. It can be downloaded as a PDF or exported into Excel. Fields include: NPC Product Description Quantity (on planned order) Qty (on hand) Value incl VAT Eclass Batch Number Serial Number Expiry Date Owned Consigned Group Key Re Order Level 8

9 Transactions report This report has been amended to include additional search criteria: NHS E-class Batch reference Serial Number Additional fields have also been added to the report: E-class Issue unit of measure Supplier name Consignment Y/N flag 9

10 Transactions - file transfer for 3rd party systems There is now the ability to create an interface file in CSV format of the stock transactions for a given date range. The report is generated via the external location interface screen. File transfers can be transferred to NHS net facing servers only. 10

11 Stock definition export The stock definition screen now includes an option to export all stock definition data for a specific store to Excel. The fields included in the export are: MMD/Store/Req point NPC Product description Supplier name Product type Group key Consignment (Y or N) Consignment level Auto process Batch tracking Serial tracking Expiry tracking Receipt shelf life warning (days) Shelf life warning (days) Reorder level Minimum stock quantity 11

12 4. Planned receipts visibility To enable control of when planned receipts are removed, a new function has been introduced for end users to set a receipt lead time. This is the number of days that planned receipts will be available before being removed from the list of available planned receipts. Once this time has passed the products will require receipting using the unplanned receipt functionality. Manage Locations A new receipt lead time field has been added when creating and editing stores. The default setting is 5 and can be overridden between 1 and 20 days. 12

13 Further Improvements edc Gold Web Stock view Now displays total price rather than unit cost to be consistent with the stock status report Stock definition When creating a new stock definition, the internal server error no longer appears if no NPC code is selected. edc Gold PDA Barcode scanning Fatal errors resolved when scanning HBIC barcodes (in any screen) for non-defined products occurs and return to stock screen 13
