6 1 Welcome to FlashConsign.com Welcome, and thanks for choosing FlashConsign.com to host your next consignment sale. This guide will help you as an Owner or Editor of a Consignee Account who will be using FlashConsign to manage a consignment sale. Specifically, you will need to create a new consignment sale, add one or more date(s) when the sale will be held, manage what types of items are acceptable for sale and what price restrictions you would like to be enforced. There s a lot to cover because FlashConsign conforms to your consignment sale, not the other way around. Let s get started. FlashConsign.com Consignee Guide Page 6 of 153

7 2 Your Consignee Account Before you can do anything to host your consignment sale with FlashConsign.com, you will need to create a Consignee Account for your organization. This account identifies your organization to the FlashConsign system. This only needs to be done one time for your organization. All of your consignment sales will be underneath this one account. If your organization s Consignee Account has already been created, please skip to the Logging In section below. 2.1 Creating a Consignee Account To create a Consignee Account for your organization, open your favorite web browser to and select the Get Started link. Selecting the Get Started Link Selecting this link will open a dialog box which will ask you to choose which type of account you would like to create. 8 Selecting the Host a Sale button will take you to a web form which will let you tell us about your organization and about yourself. This form is called the Consignee Signup Form. Consignee Signup Form There may seem like a lot of fields in this form, but don t worry. There s nothing required that you don t probably already know, and there is help available for each field. Just hover your mouse over the small icon next to the field, and help for that field, usually with an example, will appear. Viewing Field-Level Help When you have filled in the entire Consignee Signup form, select the Create Consignee Account button to submit the form. The Consignee Account for your organization and your personal Member Account will be created in seconds and you will see a confirmation screen. Your Member Account is an account that you own that is the Owner of the Consignee Account. To access your organization s Consignee Account, you must first log in with your Member Account with the Address and Password you provided. Tip: You will be sent an at the address you provided in the Consignee Signup form. Please be sure that this message is not incorrectly flagged as SPAM. FlashConsign.com Consignee Guide Page 8 of 153

9 Now that your Member account and Consignee account have been created, you can select the Create Consignment Sale button on the confirmation screen to get started right away. Alternatively, you can select the Member Home link in the upper right corner of the page to proceed to your Member Account s home page. Proceeding from the Confirmation Page Note: If you choose to not create a consignment sale at this time, you can create one later by first logging into your Member Account, selecting the Manage Consignment Sales toolbar button, then selecting the Create a Consignment Sale button in the toolbar. 10 3 Creating a Consignment Sale After you create your organization s Consignee Account, you will be presented with an option to immediately create a consignment sale. This will take you into the Create Consignment Sale Wizard. As you move through this wizard, notice that you enter selections and values on the left side of the screen, and these values appear in the summary on the right side of the screen. Create Consignment Sale Wizard In this first page of the wizard, you select which Consignee Account the new consignment sale is for and the type of consignment sale. Consignee Account In most cases, you will only have one selection available in the Consignee drop-down selector. Select the Consignee Account you wish to use. Sale Type There are two types of sales that can be created. Select the correct type, and then select the Start button. Seasonal A consignment sale that runs for a couple of days only. Retail Useful for consignment shops that log sales throughout the year. FlashConsign.com Consignee Guide Page 10 of 153

11 3.1.1 Consignment Sale Dates Next, you will need to add one or more date(s) that your consignment sale will be held Retail Sale Dates If your sale is a Retail sale, you will be prompted to enter the range of dates for this sale. Normally this will start on January 1 st and end on December 31 st of the same year. Each Retail sale is valid for up to one calendar year. 12 Seasonal Sale Dates Adding a date to a Seasonal consignment sale is a two-step process. First, you click the text box next to the Sale Date(s) label. This will open a calendar which you can use to select a date. Click the desired date. This will populate the field with that date. To add this date, you need to select the Add Date button, which will move that date into the box below. Step 1: Selecting a Date for the consignment sale Step 2: Adding the Selected Date Repeat this same process to add all date(s) on which your consignment sale will be open. Don t worry if you don t know the exact dates of your consignment sale. You can easily add and remove dates later. Once you have added date(s) for your sale, one more date is required the Last Join Date. This is the date after which this sale will no longer allow consignors/sellers to join. Selecting the Last Join Date is similar to adding sale dates, but doesn t require two steps. Just click on the input field and then select the date. FlashConsign.com Consignee Guide Page 12 of 153

13 When you are done entering all of the date(s) for your sale, select the Next button to continue. Proceeding from the Sale Dates page of the Wizard Consignment Sale Details Once you have entered dates for your sale, you will be taken to the Sale Details page of the wizard. This page allows you to name and describe the consignment sale, and to provide some other important information Tax Multiplier On this page, you will want to pay particular attention to the Tax Multiplier field, if your sale will charge sales tax. The field help for this field (hover over the icon) provides some examples to follow so that this value is entered correctly. Tax Multiplier Field Help Please Note: The Tax Multiplier specified here becomes the default tax multiplier for all purchases made at this sale. If your sale needs to charge different tax rates for different items, you will have the option later to specify additional tax rates and associate those rates to Item Categories. 14 As always, you can change the values found on the Sale Details screen later, so don t worry if you aren t sure what to enter into these fields. And, don t forget to hover your mouse over the icons to get help on any field. When you re done, select the Next button to continue. 15 3.1.3 Consignor Configurations The next step in the Create Consignment Sale wizard is to enter some configurations for consignors/sellers for your sale. This is where you specify whether or not you would like to approve applications to join the sale, or if they are automatically approved. In addition, you can provide a description of any requirements you have to join your sale. These requirements will be presented to the consignors as they submit their applications to your sale. If this is your first consignment sale hosted with FlashConsign, it is probably best to select the Require Approval option. This option will require that you approve each individual application for your consignment sale (you can approve multiple in one action). This is important because it also allows you to assign Seller ID(s) to applicants as you approve them. If this is not your first FlashConsign sale for this Consignee Account, then the Auto-Approve if Returning option is probably best. This will automatically approve applications for returning consignors, assigning them their Seller ID(s) from the most recent sale, which requiring all new consignors to have their applications approved by you. Consignor Configurations in the Wizard Copy Consignors On this page of the wizard, you may have the option to select a previous sale to copy consignors from. If your sale is a Retail sale, this may be useful to automatically move consignors from the previous year s sale to this year s sale. If you sale is a Seasonal sale, this may be useful to preapprove all of last sale s consignors. If you would like to start from scratch with consignors for this sale, select the Do NOT Copy Consignors option. Click the Next button when you are ready to move to the next step. 16 3.1.4 Summary and Submit Congratulations, you are almost there! All that s left is to review the summary of your entries on the right side of the screen and submit by clicking the Create Consignment Sale button. Summary of the Consignment Sale Once you select to create your new consignment sale, you will be shown a confirmation screen. A Retail sale will not have the option to make the sale consignor-paid. Please see the next section for details regarding this option. FlashConsign.com Consignee Guide Page 16 of 153

17 3.1.5 Making a Payment You can create a consignment sale without providing payment for it, but you must make a payment in order to unlock it for use. When you submit the Create Consignment Sale Wizard, you will be taken to a confirmation screen as shown in the previous section. This screen has a button which will take you to the secure payment wizard. Alternatively, you can select the Member Home link in the upper-right corner of the screen to return to your Member Account Consignor-Paid Option From the Consignment Sale Created confirmation screen, you have the option to make the new consignment sale consignor-paid. This option will immediately unlock this consignment sale for use, but will require that all consignors who join pay a small FlashConsign fee prior to using their account. Please Note: You don t have to decide this now. If you choose to return to your account without making a payment or making the sale consignor-paid, the same options are available on the Manage Consignment Sales page. 18 4 Logging In To return to your member account, you must first log in with the Address and Password you provided when you first signed up. Use the Login Form located at the top of the screen when you visit to log in to your account. The Login Form 4.1 Forgotten Password If you can t remember your password, use the Forgot Password link next to the Login Form. Then, provide the address you used to create your account, and we will instantly send you an to that account with your account password. 19 5 The Member Home Page After you log in to your member account, you will see the Member Home page. This page is very much the same as your consignors/sellers will see, but you will have an additional button in the toolbar across the top of the page. The Manage Consignment Sales buttonallows you access to manage your consignment sales. The Manage Consignment Sales Toolbar Button Tip: There is a link on the Member Home Page which will download the Consignor Guide. This guide provides helpful information about all of the consignor/seller features of FlashConsign.com. Be sure to point this out to consignors/sellers who may be asking questions on how to use FlashConsign to manage their inventory and print their item tags. 20 6 Manage a Consignee Account When you select the Manage Consignment Sales button from the Member Home page, you will be taken to a page which lets you select and manage consignment sales and your Consignee Account. Manage Consignment Sales Page FlashConsign.com Consignee Guide Page 20 of 153

21 6.1 Managing a Consignee Account Before managing a specific consignment sale, it is suggested that you verify and/or update the information for your Consignee Account. To do this, click on the name of the Consignee Account in the tree. You may need to expand some levels of the tree to view this. Clicking on the Consignee Account name will populate the rest of the screen with appropriate options based on what you selected. 22 6.1.1 Update Contact Information It is a good idea to periodically verify that the Contact Information is correct for the account. This information is what will be displayed to consignors for the consignment sales for this account as contact information for your organization. Use the Update Contact Information link to make changes, if needed. 23 6.1.2 Specify a Time Zone You can indicate to the system the time zone in which your consignment sale resides. To do this, first select your organization s name by clicking on it, and then select to Update Time Zone in the Account Management section on the left side of the screen. 24 6.2 Manage Settings Select the Update Settings option to manage the available settings for the consignee account. The Update Settings Option Reply-To Address The Reply-To address for the consignee account is an address where you would like to receive replies to system-generated s. For example, if the system sends a worker a reminder about a job they have signed up for, that worker can reply directly to that by using the Reply button. This reply will be automatically routed to the reply-to address you configure here. Please Note: If there is no reply-to address configured for the consignee account, replies (such as the example above) will be routed to the FlashConsign noreply account and will never be received by anyone. 25 Signature The signature for a consignee account is specially-formatted text that can optionally be added to the end of all system-generated s that are sent to your consignors/workers/contacts/etc. Viewing the Signature on the Update Settings Page Use the Edit Signature button to open a popup window which has a WSYISYG editor to configure the signature. Editing the Signature Make desired changes and select the Save button to save your changes. You may need to then select the Refresh button to view the updates on the Update Settings pane. 26 6.3 Manage Logos You have the option to upload a logos for your organization. This is not required, but if you upload logos, they can be used to brand various aspects of the FlashConsign system. Select the Manage Logos option to manage the logos for the consignee account. Manage Logos for a Consignee Account Select the Browse button for the type of logo you wish to upload, and then navigate to find the logo file to upload. Only JPG, GIF and PNG images are valid. Once you ve selected the image file, select the Upload button to begin. Depending on the size of the logo file, it may take a few seconds to complete. Uploading a Consignee Logo Account Logo The Account Logo will be displayed on the Member Home Page for your consignors, and is also used as the default logo for the entire account. For example, if a Tag Logo is not available, the Account Logo may be printed on the Item Tags (if the tag style includes a logo) Tag Logo The Tag Logo will be printed on item tags for tag styles that include a logo. If no Tag Logo is uploaded, the Account Logo will be substituted. If neither logo has been uploaded, no logo image will be included on item tags. FlashConsign.com Consignee Guide Page 26 of 153

27 6.4 Manage Editors An Editor is a user that has been authorized to manage an account by the Owner of that consignee account. Please Note: Authorized Editors are able to perform almost any action than the Owner of the account can perform. Therefore, it is suggested that you carefully consider who is authorized as an Editor for the account. Select the Manage Editors option to view and manage the Editors for the account. This pane also provides a form which allows you to authorize a new Editor. Just enter the address for the new Editor and submit. 28 6.5 Manage Employees An Employee is a user that has been authorized to manage limited aspects of a consignee account by the Owner of the account. Please Note: Employees are only applicable for Retail consignment sales. Employees are authorized to manage consignors and perform sale transactions, but are restricted from modifying any configurations for an account or consignment sale. Select the Manage Employees option to view and manage Employees for the account. Option to Manage Employees for a Consignee Account Selecting this option will open a pane which allows you to view current Employees and revoke their authority or change their password, if desired. This pane also provides a form which allows you to authorize a new Employee. Just enter the address for the new Employee and submit. The address must exactly match the address on an active FlashConsign member account. Authorizing a new Employee for a Consignee Account Alternatively, this pane also allows you to create a new member account and automatically authorize that new account as an Employee for the consignee account. 29 Selecting this button will open a dialog box which will allow you to enter the details for the new Employee account. Create Employee User Account Dialog Box Carefully enter the details for the new Employee account and select the Create Employee button to submit. This will cause the new account to be created (generating a password if you did not provide one in the form) and an will be sent to the new owner of the Employee account with instructions on how to log in, including their new password. 30 6.6 Manage Notification Settings The FlashConsign system sends notification s based on certain trigger events. By default, these notification s are sent to the Owner and Editor(s) for the consignee account. Additional addresses can be configured to also receive these notification s. Select the Manage Notifications option to modify these settings. Manage Notification Settings for a Consignee Account Selecting this option will open a pane which has a form to enter additional address(es) to receive notification addresses. Enter additional addresses, one per line, and select the Save Changes button to submit. Entering Additional Notification Addresses Please Note: The entry field for notification addresses will automatically expand as you enter more addresses. 31 6.7 Manage Job Categories A Job Category is a job that someone performs at your consignment sale, such as a Cashier. Zero or more Job Categories are associated to the Consignee Account, and these are shared across all consignment sales for that account. This means that you perform this step one time, and then you reuse Job Categories for all subsequent consignment sales. Select the Manage Job Categories link on the left side of the screen after selecting the consignee account from the tree. 32 6.7.1 Add a New Job Category Select the Add New Job Category button to create a new job category. Adding a new Job Category Please Note: Carefully select or not select the This is a CASHIER job category check box. If this Job Category is for jobs where the worker will use the FlashConsign software to check out customer purchases, then check this box. For all other job types, do not check this box. Checking this box will allow FlashConsign to automatically request that workers view the Cashier Training video online prior to their shift Edit or Delete a Job Category If you need to change details for or delete a Job Category, select the Edit or Delete buttons. 33 6.7.3 Job Category Manual Each Job Category can also have a Manual defined for it. A Job Category s Manual is rich text provided by the users of the Consignee Account as a how-to guide for those who sign up for a job in that category. The content of each Manual for each Job Category is completely up to the Editors of the Consignee Account. You may decide to not use the Manual for Job Categories, or you may decide to create a Manual for each one. While managing Job Categories, you will see two buttons next to each Job Category related to the Manual for that category. 34 Edit the Manual of a Job Category Selecting the Edit Manual button will open a popup window with a rich text editor that allows you to edit the Manual for the Job Category. Editing a Job Category s Manual Please Note: The contents of the Manuals for Job Categories will be visible to all Editors of the Consignee Account, as well as to any Worker who is assigned to a future Job that has that Job Category. 36 6.7.4 Job Category Worker Agreement Each Job Category can optionally have an associated Worker Agreement. This is an agreement that must be read and accepted by a worker prior to that worker signing up for a job in that category. Use the View Worker Agreement button to view a worker agreement for a job category. Please Note: If a Job Category does not have a Worker Agreement, then a worker will be able to sign up for a job with that category without indicating acceptance Add or Edit a Worker Agreement Use the Edit Worker Agreement button for a Job Category in order to edit its contents. Edit Worker Agreement Button Selecting this button will open a window which allows you to add or change the content of the Worker Agreement. 37 6.8 Manage Item Flags An Item Flag is a marker which can be added to an Item at your consignment sale to flag it with some meaning. For example, if your sale restricts the categories of items allowed for sale, you may create an item flag which identifies items which do not comply with those categories. Similarly, if you specify certain quality standards, you may create several item flags to indicate violations of those standards. Item flags don t have to be for bad reasons. You may want to flag when an item is sold to a member as opposed to someone from the general public. To manage Item Flags for the Consignee Account, select the Manage Item Flags option. 38 6.8.2 Edit or Delete an Item Flag Use the Edit and Delete buttons next to an existing Item Flag if you need to change or remove it Using Item Flags Generate a Scan Sheet Items are flagged by scanning an item flag at your consignment sale. 39 6.9 Managing Contacts A Contact is an address of someone who has indicated interest in receiving updates about your consignment sales via . A Contact can be added in a number of ways: Self-Signup on the Signup page for your consignment sale (with optional New Parent flag) A Consignor who has joined your consignment sale A Worker who has signed up for a job at your consignment sale A Customer who has made a purchase and provided their address at your sale You can view and manage Contacts by selecting the Manage Contacts option. This pane will allow you to view, edit, contact and export contacts Filter Contacts There are several Filter options above the table of Contacts. 41 6.10 Manage Electronic Seller Agreement You have the option to enable an electronic seller agreement for your consignment sale. If an agreement is enabled, consignors will be forced to first view and then agree to the seller agreement you configure before being allowed to submit their application. You will first need to enable an electronic seller agreement, and then you can edit its contents. To enable the use of an electronic seller agreement, first select your sale and then select the Manage Seller Agreement option in the Pre-Sale section of actions on the left side of the screen. 43 7 Set up a new Consignment Sale After a consignment sale is initially created, it still must be set up. The first step in setting up a new consignment sale is to select it in the tree after selecting the Manage Consignment Sales button from the Member Home page. 44 7.1 Verify and Update Consignment Sale Details When the consignment sale was first created, certain options were selected at that time. If you find that you need to change any of the selections, select the Edit this Sale option. 45 7.1.1 Set a Date for Job Signups to Begin It is important to note an additional field available when editing a consignment sale. There is a field named Jobs Open Date which is optional, meaning you do not have to provide a value for this field. This field allows you to specify a date on which job signups become available for this consignment sale. Leaving this field blank indicates that jobs should be available for signup as soon as they are created. For example, if you would like members of your organization to be able to view jobs for the entire month of June but to not be able to actually sign up for the jobs until July 1, you would want to create the jobs prior to June, so that they are available for viewing, but set the Jobs Open Date to July 1 st of that year Set Item Price Restrictions Many consignment sales place restrictions on the price of the Items sold at the sale. For example, you may want to set a minimum price of $1.00 with price increments of $0.25. Using the Edit Sale functionality, you can easily specify one, both or none of these restrictions using the Price Increment and Minimum Price fields. Price Increment and Minimum Price fields Set the Default Keep Percent You will need to configure the default percentage that your organization keeps from sales of items at your consignment sale. This is the default value that will be applied to all consignors unless overridden for specific consignors. Keep Percent of 35% to the Organization Important: The value you enter here is the amount that your organization keeps from each sale, and is NOT the amount returned to the consignor. 46 7.1.4 Set the Default Items Limit By default, consignment sales will allow each consignor to add an unlimited number of items. This setting can be changed to limit the number of items that consignors are allowed to add. 47 7.2 Set the Physical Location (Address) of the Consignment Sale You will want to be sure to specify an address of where the consignment sale will be held. This address will be shown to consignors, workers and the general public. Use the Edit Sale Location option provide or modify the location of the consignment sale. 48 7.4 Select Item Sizes You will need to select Item Sizes which are valid for items sold at your consignment sale. To do this, select the Select Item Sizes option. 50 7.6 Publish Files for a Consignment Sale You may need to distribute one or more files for your consignment sale. FlashConsign not only makes this easy, but it also lets you tailor the audience for each file. To get started publishing files for the consignment sale, select the Manage Files option. 51 7.6.1 File Audience There are three different populations you can target with files. This is known as the Audience for the file. Each file can be targeted to zero or more populations. Consignors This population consists of the consignors/sellers for this consignment sale. Files for this population will be listed when the consignor views the details of this sale after logging into their account. Workers This population consists of those who have signed up to work one or more jobs/shifts at your consignment sale. Files for this population will be listed when the worker views the details of an assigned job. Public This population is anyone who visits the signup page for this consignment sale. Files will be listed here and available to anyone, including anonymous visitors. Therefore, please be cautious when using this population option to avoid dissemination of information that you wanted to keep private. To change the population selections for a File, either check or uncheck the checkbox next to the desired option. Please Note: There is no need to submit or save these changes to the audience/population for Files. Your changes are saved immediately Edit or Delete a File In addition to modifying the audience/population for Files, you can use the Edit and Delete buttons next to each File if you wish to modify or remove the File. 52 7.7 Manage Sale Jobs Running a consignment sale is a lot of work, and it takes a lot of people to make it happen. Organizing all those people can be difficult, but FlashConsign makes it simple. Earlier in this guide you learned how to create Job Categories, which apply across all of the consignment sales for your Consignee Account. Now it s time to use those categories to create jobs/shifts for this specific consignment sale. To get started, select the Manage Jobs & Workers option. Managing Jobs & Workers for a Sale When you select this option, a pane will open on the right side of the screen. This pane will contain a grid/table which shows all of the Jobs you have defined, and the workers assigned to those Jobs, if any. 53 7.7.1 Filter Displayed Jobs Some consignment sales will have many, many jobs, and the list of these jobs can become difficult to manage. To help alleviate this problem, you can use Filters. Filters allow you to restrict the display of Jobs to only those you wish to see. You can use multiple Filters at the same time to quickly display just what you need. To apply different Filter settings, simply make different selections from the Filter drop-down selectors above the Sale Jobs Table. The results will be reflected immediately in the table below, although it may take a few seconds for the results to actually update and display as the Filter is being applied. 54 7.7.2 Add New Jobs Select the Add New Job button to create one or more new Jobs for this consignment sale. When you open the Add Job dialog box, you will see a drop-down selector for the Job Category. Clicking this selector will display a list of Job Categories for this Job. You will notice this list contains all the categories you created for this Consignee Account. 56 Customizing the Add Sale Job Form Many times, a consignment sale will have tens or even hundreds of jobs to enter. To make this work as easy and as fast as possible, the Add Sale Job form is customizable to allow you to indicate which field(s) to keep as entered so that the same value(s) can be used to create the next job. Select the desired Keep checkboxes to indicate which value(s) to retain after submitting the form. Of course, the Add another Job after this one checkbox must be checked in order to the Keep checkboxes to apply. 57 7.7.3 Job Types Each job has a specified Job Type. This type defines how the job is assigned. The Job Type selector in the Add Sale Job form allows you to categorize the type of this job. Job types are as follows: Normal This job type allows anyone to sign up. Most jobs will be of this type. A job type of Normal indicates that a Job can be viewed by the general public, who can then sign up for the Job. There are no restrictions on signing up for a Normal Job. Restricted This job type can only be viewed and selected to sign up by authorized Editors for the consignee account. This type of job is useful to manage the leadership positions at the sale without having public view of those positions. A job type of Restricted indicates that a Job can only be viewed by the Editors authorized for the consignment sale. These Editors will still need to log in to their member accounts and sign up for Restricted job(s), just like any other Job. In other words, the only difference between a Normal Job and a Restricted Job is that Restricted Jobs are only included in the table of Open Jobs for a Sale if the logged-in user is an Editor for the consignment sale. Private This job type may only be assigned to a worker by an authorized Editor for the consignee account. This type of job is useful for those jobs that are intended for specific individuals or if you would like to have more control over who is assigned the jobs, such as Cashier positions (to be sure that those working the shifts are efficient). A job type of Private indicates that a Job will never be included in the table of Open Jobs. This type of Job must be assigned by an Editor of the consignment sale through the Manage Jobs & Workers functionality. FlashConsign.com Consignee Guide Page 57 of 153

58 7.7.4 View Job Details To view full details about a particular job, click on the Job s row in the table of sale jobs. 60 7.7.6 Assign a Worker to a Job An Editor of the consignment sale can assign a worker to any open job. To assign a worker to an open job, first select that Job in the table, which will display the details of the Job in the pane below the table. Then, select the Worker tab. This will have a message to indicate that there is no assigned worker, but it will also have a form you can use to assign a worker. If an account with the address provided does not exist, you will be shown an error message. Otherwise, the worker will be assigned and they will receive an to confirm this. Tip: A worker cannot be assigned to a job that already has a worker assigned. You must first release the existing worker and then assign a new worker, if desired. 61 7.7.7 Contact Workers FlashConsign makes it easy to contact Workers via . There are two options. You can either select one or more Jobs in the Sale Job Table and then contact only those Workers, or you can contact all Workers for all assigned Jobs for this consignment sale. In addition, you can copy yourself and the owner of the Consignee Account, if desired Job Reports There are several options available for viewing Jobs Reports for a consignment sale. 62 Lock Jobs A Locked job is a job that is still displayed for signup, but a Locked job cannot be selected for signup. However, a Locked job can be assigned to a worker by an Editor. The ability to lock jobs can be useful to restrict signup for jobs that are not critical to your sale in order to first fill up critical shifts before unlocking the non-critical jobs. Also, you may consider locking jobs that you want to hand-pick from those individuals who express interest. Please Note: All Editors for the sale will receive an notification if a potential worker expresses interest in a locked job. Use the options under the Edit toolbar option to lock/unlock selected jobs. Options to Lock/Unlock Sale Jobs Job Groups Each job for your sale can optionally have a Job Group defined. Job Groups are used to associate jobs with one another in order to easily filter jobs to view and manage. For example, if your sale jobs are split into three time shifts, then you may consider assigning job groups of Morning, Lunch, and Afternoon. Or, perhaps you want to mark certain jobs as noncritical to easily find them to lock/unlock. The Job Group can be specified when adding the job, or when editing the job. 64 7.8 Select a Tag Style FlashConsign provides several different styles of Tags for you to select for your consignment sale. Use the Change Tags Style link after selecting the consignment sale in the tree to select a tag style. First, select a Style using the drop-down selector. This will display a sample of that style below the form. Then, select the number of tags Down and Across. 65 7.9 Manage Sale Fees Sale Fees allow you to easily charge fee(s) to your consignors. Not only are these fees indicated to consignors prior to signing up for your sale, but they are automatically deducted from Consignor settlement amounts and listed in the sale statistics. Use the Manage Consignor Fees option to work with fees for the consignment sale. 66 7.9.1 Registration Fees Registration Fees are collected when a consignor joins the consignment sale. By default, registration fees are tracked manually, but this can simply be ignored, if registration fees do not apply for the consignment sale Track Registration Fee Payment Payment of Registration Fees is tracked with each Consignor in the Consignors table. 67 Collect Registration Fees With PayPal If desired, registration fees can be automatically collected via your PayPal business account, which you can obtain for free if you do not already have one. FlashConsign integrates with the PayPal Express Checkout API to provide a seamless, integrated experience for your consignors. Tip: You can configure your PayPal account to not require your consignors to create an account, they can just enter their payment information without creating an account. Please review the PayPal customer support information for details regarding configuring your PayPal account. To set up PayPal registration fees collection, select the Configure a PayPal Registration Fee button. Button to configure a PayPal Registration Fee When you select this button, you will need to confirm that you want to replace your existing fee tracking method (Manual Tracking most likely) with a PayPal payment. All fields in this form are required. Be sure to copy/paste the PayPal values carefully to ensure that the integration with FlashConsign is error-free. Configuring a PayPal Registration Fee The Name and Description of this registration fee can be anything you want. These will be displayed to consignors who are charged this fee. 68 The Fee Amount is the amount of this fee that will be charged to each consignor. The Mode allows you to test this feature with the PayPal sandbox before making the fee live. If you are not familiar with the PayPal sandbox, you can learn more on the PayPal website. Or, you can simply select Live mode. The three PayPal account fields in this form correspond to the three API Credentials that you will obtain on the PayPal website. To find these values, first log in to your PayPal account. Next, select Profile->More Options. Next, select My Selling Tools from the left-hand navigation. Then, select the Update link under the API Access section. 71 7.9.2 Settlement Fees Settlement Fees are fees that are charged to consignors at time of settlement and are deducted from the amount due to each consignor. Select the Add Settlement Fee button to add a new Settlement Fee which will be charged to each consignor. The Add Settlement Fee Button When you select the Add Settlement Fee button, a dialog box will open which will allow you to enter the details for the new fee. Adding a new Settlement Fee to a Consignment Sale Important: The Amount and the Minimum Sales Threshold can not be changed once a Settlement Fee has been created. For existing Settlement Fees, you can use the Edit and Delete buttons to manage the Fee. However, it is important to note that only the Name and Description for a Fee may be edited after it is created. If the Amount of the Minimum Sales Threshold needs to be changed for a Fee, that fee must first be deleted and then a new Fee created in its place. 72 7.10 Configure Security Settings and Sale Options The FlashConsign system is highly-configurable. It is important to take time to understand and configure the myriad options available. These settings change the behavior of the FlashConsign online system and/or the FlashConsign POS Client Application. To view and change settings for the consignment sale, select the Configure Sale Options option. This will display the current configurations for the sale in the pane on the right side of your screen. 73 Security: Change Item Price in POS Mode This security setting allows you to configure whether or not an administrator (Editor) password is required when a cashier, operating the POS Mode either online or in the POS Client Application, attempts to manually change the price of an item. The default setting is to require an administrator/editor password in order to change an item s price in POS Mode. This adds an extra layer of protection against a cashier changing the price of an item when it should not have been changed. Sample Security Setting Security: Change Discount Mode in POS Mode This security setting allows you to configure whether or not an administrator (Editor) password is required when a cashier, operating in the POS Mode either online or in the POS Client Application, attempts to change the Discount Mode for the POS station. The default setting is to require an administrator/editor password in order to change the current discount mode, preventing a cashier from either providing discounts that should not be provided, or not providing discounts when they should be. 77 POS: Allow Quick-Manual Item Entry This setting allows you to specify whether or not the quick-manual item entry method is available in the POS Client application. The quick-manual entry method is very useful when your sale allows a mixture of scannable tags as well as handwritten tags. However, if you do not expect any handwritten tags, this method should be disabled. Sample POS Setting POS: Allow Duplicate Items In Purchases This setting allows you to specify whether or not the POS will allow duplicates of a single item in a single transaction. By default, the POS will not allow duplicate items in a single transaction. If you un-check this box, the POS will allow duplicate items, but will provide a warning to the cashier before checkout can proceed. Allowing duplicate items allows for a single item tag to be used for many physical items. This can be useful for selling bottles of water, or similar items at your sale, where you can simply provide a scan sheet of item tags to each cashier to sell as many times as needed. Sample POS Setting POS: Enable/Disable KCC Barcodes Support This setting allows you to specify whether or not the POS is configured to support KCC barcodes. Important: Support for KCC barcodes requires the use of the Firefox browser, and it places additional demand on the computer running the software. 79 7.11 Manage Drop-Off Times FlashConsign allows you to optionally enable management of drop-off times for your consignors. This feature is useful to stagger consignors as they arrive to drop off their items for sale. Use the Manage Drop-Off Times link after selecting the sale in the tree to manage this feature. 81 7.12 Customize Receipts FlashConsign allows you to customize the footer included at the bottom of customer receipts printed at your consignment sale. Select the Customize Receipts option to change the receipt customizations. 83 7.13 Manage Tax Rates When your consignment sale was created, a tax rate multiplier was configured. This rate can be changed by using the Edit Sale option after selecting a specific consignment sale. The Edit Sale Button Editing the Tax Multiplier for a Sale If all items sold at your consignment sale are charged the same rate of tax (or no tax at all), then this setting is all that is needed. This is a tax rate multiplier which will be applied to all items in all sale transactions. However, if your sale needs to charge different tax rates for different categories of items, you will need to create additional tax rates. 84 Define Additional Tax Rates When your consignment sale needs to apply multiple tax rates to different categories of items, you will need to define one Tax Rate for each. Then, you can associate that Tax Rate with all of the applicable Item Categories for which that Tax Rate applies. To manage Tax Rates, select the Configure Tax Rates option. 85 Add New Tax Rates Select the Add Tax Rate button to add a new Tax Rate. This will display a dialog box with a form to specify the details of the new Tax Rate. The Display Name is the name that is displayed to customers. The Tax Multiplier is a decimal multiplier that is used to calculate the tax amount. 87 7.14 Configure Referral Options When a consignor submits an application to join your consignment sale, you have the option of presenting a customized selection of referral options. This allows you to better track how your consignors came to know about your consignment sale. Select the Configure Referral Options option for your sale in order to create the options you would like to include in this selector. Configuring Referral Options This option will open a pane on the right side of the screen which lets you specify the options that will be presented to your consignors. Configuring Referral Options Simply enter each referral option in the text area, one per line. Append an asterisk ( * ) to options which you would like to require consignors to provide additional information. In addition, if you would like to add an Other option, check the checkbox. The Other option will automatically require additional information to be provided in order for the consignor to submit their application. 88 7.15 Manage Brands If your consignment sale tracks the Brand of items sold, use the Manage Brands option to configure Brand settings. This selector can be configured to be used or not used. Item Category Selector The Item Category selection is enabled by default for a consignment sale. If Item Category does not apply for a consignment sale, it can be disabled. If this selector is disabled, a default item category can be specified which will be applied to all items created for the consignment sale. Item Brand Selector The Item Brand selection is disabled by default for a consignment sale. If Brand is tracked for a consignment sale, this selection can be enabled. 92 Item Condition Selector The Condition selection allows a consignor to indicate if an item is New or Used. This selector is disabled by default for a consignment sale. If Condition is tracked, this selection can also optionally be made required. To customize the Add Items form, make selections as desired and then select the Save Changes button. 93 7.17 Configure Automatic Seller ID Assignment By default, your consignment sale will not automatically assign seller IDs to consignors who join the sale. However, if desired, you can configure the system to automatically assign sequential seller IDs to consignors. This configuration applies across all of your consignment sales, because seller IDs are unique across all of your sales. Therefore, to configure these options, first select (click) on your organization s name, and then select the Sale Management section of options on the left side of the screen. Next, select to Manage Seller IDs. Selecting to Manage Seller IDs Selecting this option will open a pane on the right side of your screen, which will allow you to configure these options. To enable automatic seller ID assignment, select Automatic from the drop-down selector, and then select the first seller ID to use. The system will automatically choose the first non-assigned seller ID beginning with this number as new consignors join your consignment sales. 94 7.18 Publish the Consignment Sale At this point, if you are following this guide from front to back, you are now ready to publish this consignment sale. When you first created this sale, it was created in an unpublished state. In this state only you and the Editors you authorized were able to view the sale. In other words, no public visitors or potential consignors and/or workers could view the sale. When you have fully configured the consignment sale, you will want to Publish it, so that it becomes available to view and sign up for. Don t Worry! You will still be able to modify your consignment sale after publishing it. To publish a consignment sale, first select the sale in the tree. This will open the Sale Details on the right side of the screen. There is a button in this pane which will let you publish this sale. Publishing a Consignment Sale Select the Publish this Consignment Sale button to publish the Sale. You will need to confirm that you are sure you want to take this action in order to proceed. 95 7.19 Share the Consignment Sale Once you publish your consignment sale, it is important to share it with all of your potential Consignors, Workers and Customers. There is a link on the Sale Details pane which you can share with potential Consignors, Workers, and Customers either by placing the link on your organization s website or including it in an , or even including it in print advertisements. Consignment Sale Signup Link When you click the link text it will automatically highlight itself. All you need to do is press Ctrl-C to copy it to your clipboard, or right click it and select Copy. Then, paste into an , on to your organization s website, etc.. You can paste it directly into your browser s address bar to see where the link will take visitors. 96 8 Manage Consignors Once you have Published the consignment sale and shared the signup link with potential Consignors, Workers and Customers, you will need to manage new Consignors that sign up to sell items at your sale. Before delving into the management of consignors in the FlashConsign system, it is important to visit how consignors apply and are approved to join your consignment sale. For your first consignment sale with FlashConsign, it is recommended that you configure the system to require your approval (or the approval of any Editors you configure) prior to that Consignor being approved for the consignment sale. The reason for this recommendation is so that you can individually assign one or more Seller IDs to the consignors as they apply to join the sale. If this is not your first consignment sale with FlashConsign, then you may want to still manually approve all applications, but you may also select the Auto-Approve if Returning option. This option will automatically approve Consignors who apply to join this sale who have been approved for a previous sale for your Consignee Account. As part of this auto-approve process, all nonconflicting Seller IDs assigned to that Consignor for the most recent sale, will be automatically reassigned to the Consignor. Tip: To change how consignors are approved for the consignment sale, select the Edit this Sale link after selecting the sale in the tree. If, for some reason, a Consignor is auto-approved to join your sale, but the system could not assign at least one Seller ID for that Consignor, you will receive an notification to alert you of this situation. This consignor will not be able to print tags (but can enter items) until a Seller ID is assigned. You will receive an notification if a Consignor applies to join the consignment sale and is waiting for your review of their application. In addition, you will also see an alert regarding pending Consignor applications, if any, when you first log in to your Member Account. 97 8.1 Review Consignor Applications When a Consignor applies to join the consignment sale, and the application is not automatically approved, this application will require a review by you or one of the Editors you have authorized for the Consignee Account. Please Note: Consignors with pending applications for your consignment sale will be prevented from printing tags until their applications have been approved. These pending consignors, can, however, proceed with entering items into their inventory while still under review. To perform a review of all pending Consignor applications, first log in to your Member Account and then select the Manage Consignment Sales button in the top toolbar. Then, select the consignment sale in the tree. Once the consignment sale has been loaded, select the Manage Consignors option. This will open a new pane on the right side of the screen which will show all of the consignors for the consignment sale. Managing Consignors for a Consignment Sale Once the Consignors Pane has loaded on the right side of the screen, you can configure the Filters to only show you those consignor(s) who have applications that are pending your review. Filter Settings for Pending Consignor Applications Only Once you have filtered out all consignors except those requiring a review, you need to select one or more consignor(s) to review. You can review as many pending applications as you would like. Tip: To select more than one Consignor in the table, hold the Ctrl key on your keyboard as you click the consignors with your mouse. 98 8.1.1 Approve Consignor Applications Once you have selected all of the consignor(s) you will approve, select the Review drop-down button and then select the Accept Selected Consignor(s) to approve these applications. Additionally, you can provide comments as you approve these applications. 99 8.1.2 Deny Consignor Applications Once you have selected any consignor application(s) that you wish to deny, select the Review drop-down button and then select the Deny Selected Consignor(s) option. Denying Consignor Applications To complete the denial of these applications, first optionally enter comments (recommended), and then select the Submit button. If one or more of these consignors should be prevented from applying again, you should uncheck the Allow Apply Again? checkbox for their row in the table. When you submit, a notification will be sent to the consignor(s), including your Review Comments provided, if any. Tip: If you get to the Deny Consignor(s) dialog box and realize you selected too many consignors to deny, simply uncheck the checkbox next to the consignor s name and this consignor will not be included when you submit. 100 8.1.3 Revoke Consignor Approval If, for any reason, you have a need to revoke approval for a consignor to join the consignment sale, simply select that consignor in the table and then select Review -> Revoke Selected Consignor. Only one consignor may be revoked at a time. Revoking a Previously Approved Application Approval Selecting this option will open a dialog box which will let you finish the revocation process. Revoking an Approved Consignor Application If you wish to prevent this consignor from applying to this sale again, uncheck the Allow Apply Again? checkbox before submitting. Important! You have the option to send a notification to this consignor to notify them that their approval has been revoked. Use the Notify Consignor via checkbox to send or not send this notification. To finalize the revocation for this consignor, select the Revoke button. 101 8.2 Managing a Single Consignor Most actions you take for consignors for your consignment sale will take place for a single consignor at a time, and the steps to take each action will always start with selecting a single consignor from the list of consignors for your consignment sale Sorting the List of Consignors If your consignment sale has a lot of consignors, the list can start to become cumbersome, and it can be difficult to find a specific Consignor you would like to select. You can use the Filters above the table of consignors to limit the list, but this still may not be enough. To aid in finding a specific consignor in the table, you have the option to sort any of the columns in the table, either ascending or descending. To sort a particular column, simply click on the header for that column. Please be patient! The sort may take a few seconds to complete, especially when there are hundreds of consignors to sort. Sorting Consignors By Seller ID You will notice a small arrow icon in the column header, indicating that column has been sorted. This arrow will point Up for an ascending sort and Down for a descending sort. Once you have applied an appropriate sort to the Consignors Table, you can scroll vertically and horizontally to find the consignor you are looking for Select a Consignor to View To work with a specific Consignor, you must first click on that Consignor in the table of consignors. This will open up a pane underneath the table which shows details of the selected Consignor. Please Note: The Consignor Detail pane will be blank if you have not selected a Consignor in the table or if you select more than one Consignor in the table. 103 8.2.4 Contact a Consignor There are two ways to contact a single consignor. Both start by selecting the Consignor in the Consignors Table. Once you have selected the Consignor in the table, either select the Contact tab in the Consignor Detail Pane, or the Contact Selected Consignor(s) option in the Contact menu. 104 8.2.5 View Consignor Sales History The History tab in the Consignor Detail Pane will display all consignment sale(s) that the selected Consignor has been associated to for this Consignee Account, including their status (approved, denied, etc.). Consignor History Tab Consignor Seller IDs When a consignor s application is approved for a consignment sale, the person reviewing the application has the opportunity to assign one or more Seller IDs to that consignor for this consignment sale. Use the Seller ID(s) tab in the Consignor Detail Pane to view, add or remove Seller ID(s) for the selected Consignor. Please Note: Multiple Seller IDs should be separated by a comma in the text field. The First Seller ID in the list of multiple Seller IDs is considered the Primary Seller ID for this Consignor. 105 8.2.7 Customize Consignor Percent The standard percentage of sales kept by your organization is configured at the Consignment Sale Level. However, you can override this percent kept by your organization for individual consignors using the Custom Percent tab in the Consignor Detail Pane. Consignor that does NOT have a Custom Percent Use the form on the Custom Percent tab to specify a custom percentage of sales made by this Consignor that is kept by your organization. For convenience, a summary of assigned jobs and checked-in jobs is also displayed in this form. Assigned Jobs is the total number of jobs this consignor is signed up for in this consignment sale. Checked In Jobs is the total number of jobs this consignor has been checked in for this consignment sale. In addition, you can optionally enter notes for why this custom percent was applied to this consignor. These notes will be included in the consignor s settlement report. Customizing the Keep Percent for a Consignor You can also remove a customized percent for a Consignor using the Remove Custom Percent button in this form. 106 Auto-Adjust Consignor Percent If consignor percent for your consignment sale is based on the number of jobs worked, you can quickly update based on this criteria. To auto-update consignor percent based on number of jobs worked, select the Auto Adjust % button above the table of Consignors. You can also indicate whether this operation should only consider jobs that workers were checked in. If your sale uses the worker check-in feature, this option should be checked. 107 8.2.8 View Consignor Jobs The Jobs tab in the consignor details pane allows you to quickly view the job(s) that the selected Consignor is currently signed up for in this consignment sale. The Jobs Tab for the selected Consignor Not only can you view the job(s) assigned for the selected Consignor and view the check-in status for each one, but this tab will also let you release a Job, if desired. If you would like to release a Job assigned to this Consignor, just select the Release this Job button for that Job. This will open a dialog box which will let you optionally notify the worker that their job has been released, and let you include additional comments, if desired. 108 8.2.9 View Consignor Inventory (Items) If you would like to view the inventory of items that a particular Consignor has associated with this consignment sale, first select that Consignor in the Consignors Table, then select the View Items button. Viewing inventory of items for a Consignor Manage Consignor Items Editors and Employees for the consignee account can emulate a consignor in order to manage their item inventory. Each item created is tracked as being created by the real user, not the consignor. This way, items created by someone other than the consignor can be determined. 110 Consignor Ledger Each consignor has a Ledger associated with a consignee account. This Ledger tracks charges and payments across all consignment sales for that consignor for that consignee account. Use of the Ledger is optional. If the Ledger is not used, settlement reports are the only way to determine payments due to consignors. Conversely, if using the Ledger, when settlement reports are generated, you have the option to also perform settlement and payment recording at the same time. Please reference the settlement reports section of this guide for full details. You can view, make adjustments to and print the Ledger for a consignor using the Ledger tab for that consignor. If a drop time is selected, you have the option to remove that selection in order to force that consignor to select a different drop-off time. 115 8.3 Manage Multiple Consignors For many reasons, you will need to work with groups of consignors for the consignment sale, and sometimes all of the consignors for the consignment sale. To work with groups of consignors, you will still need to select the Manage Consignors link after selecting the consignment sale in the tree. 117 8.3.2 Printing a Consignors Report You can easily view and print a Consignors Report for the consignment sale by selecting the Print menu item above the Consignors Table and then selecting the Consignors Report option. This will open a popup window which can be printed, if desired. Please be sure that your browser s popup window blocker does not prevent this popup window from opening. Viewing the Consignors Report Printing Consignor Labels If you have a need to print mailing labels for consignors for you consignment sale, simply select the Print menu item above the Consignors Table and the select the Avery 8160 Labels PDF option. This will generate a PDF file that will be downloaded momentarily to your computer. Printing Consignor Labels This will cause your browser to prompt you for what to do with a generated PDF file. You can either open or save the file for later. To print the labels, simply use the Adobe Reader software, which can be downloaded from for free, and is probably already installed on your computer. Important: Be sure when printing that you do not select any type of rotating, scaling, etc., otherwise the content may not print correctly on the labels. 118 8.3.4 Exporting Consignor Information If you would like to manually manipulate a spreadsheet of consignor information, you can easily export selected or all consignors in a Microsoft Excel formatted file. 119 9 Pre-Sale Summary Data As your consignment sale nears, you may want to view some summary data about the sale. Use the View Sale Summary option to view available data. 123 10 Online POS Modes Access to an online, Internet-connected version of the POS system is provided in order to allow you to easily add additional transactions for your consignment sale without having to involve the POS Client Application. Important! The online POS Mode option is NOT intended for use for general transactions at your consignment sale. Incorrect use of the online POS Mode will cause significant performance degradation at your consignment sale. Please download and use the POS Client Application for logging transactions at your consignment sale. Please refer to the Cashier Guide available when you log in to your Member Account for details regarding the use of POS Mode. 124 10.1 Online POS Mode If you have a need to enter a couple of transactions for your consignment sale, you can do so using the Online POS Mode option instead of using the POS Client Application and then synchronizing your transactions with the FlashConsign servers. Please Note: Transactions entered on the Online POS Mode do not need to be synchronized like they do when using the POS Client Application. To start the Online POS Mode, select Open POS Mode after selecting the consignment sale in the tree. This will open a dialog box for you to enter credentials for starting POS Mode. This is the same type of dialog box presented when starting POS Mode in the POS Client Application. Entering Credentials to start Online POS Mode Submitting the Open POS Mode dialog box, with valid credentials, will open a popup window that will display the POS Mode screen. 125 10.2 Donate Mode While rarely used, a function is available which allows you to scan items that will be donated by your consignment sale after not being sold at that sale. Generally, there are too many donated items and not enough time and volunteers to scan each individual item being donated. However, if this is something that you would like to perform for your consignors, use can open Donate Mode and scan and/or enter each item that is being donated. Alternatively, individual consignors have the ability to mark items as donated as part of their postsale activities. In most cases, this is the preferred method of performing this action. To open Donate Mode, select the Open Donate Mode link after selecting the consignment sale from the tree. Opening Donate Mode This will open a pane on the right side of the screen that looks similar to the POS Mode screen, but is only valid for scanning and/or entering items that are to be marked as donated at your sale. The first thing you will want to do is to test your sound level so that you are sure to hear if there are any errors as you quickly scan through items to mark them as donated. Testing the Sound Level in Donate Mode Next, simply place the cursor in the entry field and start scanning items to mark as donated. You can scan quickly and not bother to look at the screen as you go. Note: You will hear an alert sound if something is scanned that is not marked to be donated. 126 10.3 Item Flagging Mode FlashConsign provides the ability to flag items with certain attributes, such as being tagged incorrectly or not meeting quality standards. Items can be flagged as they are sold, but they can also be flagged in Item Flagging Mode in the online application. To enter Item Flagging Mode select the Open Item Flagging Mode after selecting the sale in the tree. Opening Item Flagging Mode Selecting this option will open a pane on the right side of the screen. This pane lets you scan or enter an item to flag. Step 1: Scan/Enter Item To Flag To scan an item, make sure your cursor is in the entry box. 127 Select the Enter button (will be automatically selected when scanning) or simply hit the Enter key to submit. This will open a dialog box which will allow you to scan or enter an Item Flag code to apply to the item. Step 2: Apply Flag to Item Again, be sure your cursor is in the entry box before scanning, or manually enter in the entire Item Flag Code (i.e.: IF3453) and then Enter. This will apply this flag to this item. The Messages section of the Item Flagging Mode screen will display the item and the flag that was added to that item, as well as a link to remove that flag, if desired. 128 10.4 Disassociate Items Mode Use this mode in order to quickly scan/enter items to disassociate from your consignment sale. To enter this mode, select Open Disassociate Mode under the During Sale section of options after selecting your consignment sale. To manage consignor check-in, first select the consignment sale in the tree and then select the During Sale section below the tree. Then select the Consignor Check In link. This will open a pane on the right side of the screen which will show a table of all Approved consignors for the consignment sale. 133 11 Generate Consignor Settlement Reports After the completion of your consignment sale, your consignors will love that they can immediately see an estimated settlement report online through their Member Account. However, you will need to generate the official settlement reports for your consignors Things to verify before generating Consignor Settlement Reports Although you can generate the Consignor Settlement Reports over and over again, it can be a big waste of time, effort and paper to do so more than once. Please take a few minutes prior to generating the settlement reports to review the following items: Have you correctly set the default keep percent for this sale? You can view this by clicking on the sale in the tree and change it by using the Edit this Sale link after selecting the sale in the tree. This default percentage is the percent of all sales your organization keeps. Have you customized the keep percent for appropriate consignors? If you have a need to customize the percentage your organization keeps from certain consignors sales, you need to do this prior to generating the consignor settlement reports. Have you customized the consignor settlement report section(s) you would like to change? FlashConsign lets you enter custom text into various sections of the settlement reports. Here is where you can enter a message about the tax-deductibility (or lack thereof) of the amount kept by your organization, or any other text you would like to include. Have all transactions been fully and completely entered via POS Mode? Any new transactions entered will alter at least one consignor settlement report. Once the reports are generated, no more transactions should be entered. Do all of your consignors have an address specified for their accounts? A consignor must provide an address when they sign up, but the FlashConsign system cannot verify that it is a valid address. You may want to export the consignor data and verify the addresses prior to generating the consignor settlement reports. This is important if you are generating labels to mail the reports, and is even more important if you are using window envelopes to use the preaddressed consignor reports. 134 When you are ready to start the process of generating the consignor settlement reports, first select the consignment sale and then select the Generate Consignor Reports option. 135 11.2 Perform Settlement While Generating Reports When generating settlement reports for all consignors, or for just a specific consignor, you will have the option to Perform Settlement as part of the report generation. And, if you do elect to perform settlement, you also have the option to automatically record payments in the ledgers of consignors who have an amount due to them. As part of submitting the forms to generate reports, you will need to select settlement preferences, even if that preference is NOT to perform settlement Perform Settlement Selection Your first selection will be to indicate if settlement should be performed at all as part of generating the settlement reports. If this is a test run, then it is probably not a good idea to also perform settlement. However, if this is the final run, and you plan to start cutting checks to consignors, then it may be a good idea to perform settlement as well. Perform Settlement Options If you select to perform settlement, you will also need to indicate your preference for automatic recording of payments in the consignor ledgers. Automatic Payment Type Options Payments may be automatically recorded in consignor ledgers based on your selection. No Automatic Payments Payments will not be recorded. Pay Final Ledger Balance Positive ledger balances will be automatically have payments recorded, leaving a zero balance in all consignor ledgers. These payments will account for the sale being settled as well as any current ledger balances (positive or negative). Pay Sale-Related Sales and Fees Only Only credits and charges related to the sale being settled will be automatically paid. 136 11.3 Customize the Consignor Settlement Reports You will probably want to customize the various options for the consignor settlement reports prior to generating them. Use the form provided to enter text into whichever section(s) you desire. No customizations are required, so only provide text for those you would like. Important: Please be sure to select the Save Customizations button after making changes in order to apply those changes. Otherwise, the changes will not be reflected in the reports and may be lost. Customize Consignor Settlement Reports Form Tip: Each text field can have as much text as you would like. It will expand as you reach the end of the line or hit the enter key Testing Consignor Settlement Report Output As you customize the settlement reports options, you will want to view a sample of what your entries will look like in the actual reports. 137 11.5 Generate a Settlement Report for a Specific Consignor You may find that you need to generate, or more likely re-generate, a consignor settlement report for a specific consignor. This may happen if you needed to correct an error that was on the original report after resolving the issue that caused the error. To generate a single consignor s settlement report, select the consignor using the drop-down selector and then select the Generate Single Consignor Report PDF button. Generating a Settlement Report for a Single Consignor 11.6 Generate Settlement Reports for All Consignors After you have customized, saved and tested the settlement reports for this consignment sale, select the Generate All Consignor Reports PDF button to start generating the settlement reports for all consignors for this consignment sale. Generating Settlement Reports for ALL Consignors Please be patient! This processing must account for all of the transactions for this consignment sale and, therefore, may take anywhere from several seconds to several minutes depending on the size of this consignment sale. The generated PDF will be sent to your browser, and it will ask you what you want to do with it. It is highly recommended that you Save the PDF file to your computer and then archive it to a different disk or computer. Then, you can open this file to print it. The consignor settlement reports will be pre-addressed and pre-formatted to display through a #9 or #10 standard size window envelope. 138 12 Viewing Consignment Sale Statistics After your sale has completed, you will want to generate and view the statistics about your sale. These statistics can be important and quite useful in making decisions regarding future consignment sales for your organization. To view and/or generate statistics for your consignment sale, select the View Statistics option. Viewing Statistics for a Consignment Sale When you select this option, a pane will open on the right side of the screen which shows the current statistics, if any, for your consignment sale. If you have not yet generated statistics for this consignment sale, you will see the following message: Message indicating that statistics have NOT been generated for this Consignment Sale This is not a bad message; it simply means that you have not yet told the FlashConsign system to generate the statistics for this consignment sale. 139 12.1 Compute Statistics for a Consignment Sale After your sale has completed all transactions, you will need to compute statistics for the sale. This should be done a single time because it is a long, intensive operation. To compute the statistics for your sale, first provide a Name for the statistics and then select the Compute Statistics button. The name you provide for the statistics should be something you will recognize or something meaningful. For example, you may want to generate statistics after each day of your consignment sale, naming each one Day 1, Day 2, etc.. Compute Statistics Button This button will launch a process that may take from several seconds to several minutes to complete, because it must analyze and account for each and every consignor, item and transaction for this consignment sale. When processing completes, the system will save the statistics and you will see the updated statistics on the screen. When you or anyone else returns to this screen, these statistics will appear automatically and will not need to be re-computed Viewing Historical Statistics for a Consignment Sale When you first select to view statistics for your consignment sale, the more recent statistics will be displayed automatically, if available. If, however, you wish to view older, saved statistics, simply select the statistics you wish to view and then select the button to view the selected statistics. 140 13 View Item Flags Report If your organization uses Item Flags to flag items at your consignment sale, you can view a report about these flags by selecting the View Item Flags Report after selecting the sale in the tree. While this is not normal, consignors may re-print tags, resulting in multiple of the same item being sold. You can review these items by selecting the Duplicate Items Sold section. 146 16 Exporting Consignment Sale Data FlashConsign provides an export capability which allows you to obtain information about your consignment sale in a file that you can download, save, and share. To view the export options for consignment sale data, first select the consignment sale in the tree, and then select the Open Export Center link under the Post-Sale section below the tree. 147 Please keep in mind when using the Export Center that the process of gathering, calculating and formatting the data you request as an export can be a long and intensive process. Once you select an option to export, please be patient, your file will be downloaded as soon as it has been compiled. Your browser will display a message to you when the file is available, asking what you would like to do with the export file. In most cases you will want to Save the file to your computer so that you can have access to the file later. Saving a Consignment Sale Export File In addition, in order to protect all users of FlashConsign, a limit has been placed on how often you may submit export requests.
