1 Shannex Excellence Awards NOMINATION GUIDE
2 The Shannex Excellence Awards are a set of prestigious awards designed to recognize and celebrate the outstanding contributions of people from across the organization. Every year, a total of 20 Shannex Excellence Awards will be presented to employees and volunteers for various categories. The award categories are: Service Excellence Environmental Sustainability Excellence Volunteer Excellence Care Innovation Excellence Christopher Reinhardt Safety Excellence President s Leadership Excellence Sales Excellence Eligibility Employees in all divisions and provinces are eligible. Timeline for Nominations The timeline for nominations will be communicated annually through various employee communications mediums. Nomination dates may vary (year to year) depending on organizational requirements. Nomination Procedure Nomination form are located in the employee access section of shannex.com 1. Nominees can be self-nominated or nominated by another employee 2. Nomination Process: a. Using the online platform, identify yourself (as the nominator) and provide some general information on the nominee(s) including their name, facility and position b. Complete all sections of the nomination form c. Nominations will be judged solely on the information submitted d. Incomplete nominations will not be considered
3 Selection Procedure 1. Nominations will be accessed by the assigned Selection Committee through the online nomination platform. 2. If a member of the selection committee is nominated for the award which they are a member, they must excuse themselves from the committee. 3. Once provided with each committee members score, a weighted average score will be used to select the top nominations 4. In the event of a tie, an additional vote will be required, whereby all committee members must vote, the selection being awarded to that person having the majority of the votes. Selection Committee Members The Selection Committee shall consist of at least 6 members, who represent different geographic, divisional, and operational positions. 4 Nomination Criteria Service Excellence Award The Shannex Service Excellence Award are awarded to individuals that provide extraordinary value to the organization by living the organizational values through demonstrating the Eight to be Great expectations. Twelve awards will be given annually. Service Excellence Award Eligibility Criteria: This individual demonstrates the expectations of Greet Everyone and Respect the Individual Understands the importance of saying hello and making eye contact Strives to use people s names when greeting them to ensure they feel special Values the differences in their team and clients Works to uphold the dignity and privacy of others Ensures we live our Philosophy of Service This individual demonstrates the expectations of Recognize Others and Communicate Well Works to create positive relationships with others Celebrates client and team accomplishments Understands the importance of saying thank you Actively listens to those around them Ensures they are kind and clear when communicating to the team and clients This individual demonstrates the expectations of Produce your Best Work and Respond to Every Request Strives to learn and develop their skills by completing education and or outside reading Is always willing to help others Openly seeks feedback from others Thinks creatively to find out of the box solutions to service issues Commits to finding a solution to any issue This individual demonstrates the expectations of Work Safely and Be a Role Model Supports others in being safe when delivering service excellence Ensures are properties are clean and presentable to ensure a great experience Influences those around them to deliver service excellence Has a positive outlook no matter what comes their way Inspires a passion for service excellence To nominate someone for this award, go to the Employee Access section of Shannex.com
5 Environmental Sustainability Excellence Award The Shannex Environmental Sustainability Excellence Award recognizes an individual or project team across the organization who demonstrates initiative in performance and process improvement enhancing the overall environment and sustainability of our facility/facilities. Environmental Excellence Award Eligibility Criteria: This individual/project team Includes clients and families in green initiatives Considers and values feedback from clients and families in regards to environmentally sustainable projects or improvements This individual/project team Collaborates with internal and external stakeholders, demonstrating leadership in environmental process improvements Ensure external partners share in the sustainability goals of Shannex This individual/project team Demonstrates innovation going above and beyond their current job role Identifies opportunities for increasing environmental sustainability practices Focuses on one or more of the 4 key areas of Shannex s Environmental Sustainability plan; Responsible Utility consumption, Diversion of Waste from our landfills, Purchasing Products and Services that are sustainable and Education and Awareness. This individual/project team Performs as a role model in environmental sustainability practices Prioritized establishing or improving an environmental sustainability program or action that focuses on conserving and protecting natural resources To nominate an individual/project team for this award, go to the Employee Access section of Shannex.com
6 Volunteer Excellence Award The Shannex Volunteer Excellence Award is awarded to an individual volunteer and to a community organization/group who volunteer at a Shannex facility and demonstrate excellence in volunteering, through their passion, inspiration to others, connection with clients and innovation. Two awards will be given annually; one for an individual volunteer and one for a community group or organization. Volunteer Award Eligibility Criteria A current and active volunteer at one of the Shannex locations Has been a volunteer for the last 12 months Demonstrates commitment and reliability to the clients and the organization Volunteer Excellence Individual Award Eligibility Criteria: This individual/community Organization Creates connections with clients Makes a difference in the lives of the clients Has developed a special relationship with a client/clients that motivates and encourages them to continue to participate in life-long hobbies and interests Helps create a sense of purpose and meaning for the client This individual/community Organization Has created a unique opportunity for clients to continue to: o Stay connected with their community o Be involved with organizations or affiliations Has identified a need or opportunity for a new program and work together with the team to implement it This individual/community Organization Has created an innovative program that provides o A unique service to a client or group of clients o New learning opportunities for a client or group of clients o Intergenerational opportunities for a client or group of clients o An opportunity for a client/ clients to give back to their community o Client(s) opportunity to use their talents and skills o A sense of purpose and meaning for the client This individual/community Organization Has a passion for volunteering and is a role model for other volunteers or community organizations To nominate an individual/organization or group for this award, go to the Employee Access section of Shannex.com
7 Care Innovation Excellence Award The Shannex Care Innovation Excellence Award is bestowed upon an individual or project team that demonstrates a creative approach to improving a care practice. The successful party is one who identified a care concern at an individual/neighborhood/facility/campus level and implemented a change in care practice that lead to improved client outcomes. The innovation has the ability to be shared and replicated at other sites. Care Innovation Excellence Award Eligibility Criteria: This individual/ Project Team Identified an individual/trending client care concern and committed to change current care practices to meet client(s) needs in a creative collaborative manner This individual/project Team Sought out/researched internal and external partners to fully understand the client care concern. Collaborated with internal and external partners to identify potential causes due to current care practice and to identify potential changes to care practice to address the client care concern Collaborated with clients and families to identify potential causes and solutions to the client care concern. This individual/project Team Initiated a quality improvement process to implement a change/changes to care practice and monitored outcomes to determine if the solution was effective/created a positive outcome This individual/project Team Shared lessons learned with team/clients/ families Shared outcomes with the organization that lead to an organizational change in practice Continued to seek solutions until a positive outcome was achieved To nominate an individual/project team for this award, go to the Employee Access section of Shannex.com
8 Christopher Reinhardt Safety Excellence Award The Christopher Reinhardt Award for Safety Excellence will be given each year to an employee across the organization that demonstrates excellence in Health & Safety through education, working safely, emergency preparedness, service excellence, health promotion, safety innovation & leadership, mentorship, and Joint Occupational Health & Safety Committee involvement. Christopher Reinhardt Award for Safety Excellence Criteria: This individual promotes a culture of safety by consistently working in a safe manner. Including but not limited to: Looking out for their own safety and the safety of coworkers and clients Following and promoting Safe Work Practices and Procedures Advocating for safe client care and service Report and/or assists in investigating near misses for both clients and employees This individual is a safety leader and role model for others: Supporting other employees who require assistance Providing mentorship and/or support to new employees (or employees changing their roles) to ensure their competency with respect to health and safety Encouraging and assisting others in the completion of incident investigations (including near misses) Actively participating (as a past or present member) on the JOHS Committee or other safety related committee that improves safety This individual makes recommendations to improve safety in the workplace related to a task, process or the work environment: Cooperating with those working to improve safety in the workplace Participating in safety initiatives and exercises (such as Emergency exercise planning) Actively participating (as a past or present member) on the JOHS Committee or other safety related committee that improves safety Participating in the delivery of safety education/training (i.e. Back to Basics Leader) Attending external safety education related the workplace This individual consistently demonstrates their accountability for safety in the workplace: Modeling safe behaviors and expecting the same from others Readily admitting mistakes and finding ways to prevent it from occurring again Actively reporting and controlling workplace hazards Being up to date on all required compliance training (i.e. mandatory education, knowledge programs, certificates) To nominate someone for this award, go to the Employee Access section of Shannex.com
9 President s Leadership Excellence Award This prestigious award is intended to recognize an individual who displays excellence in leadership within Shannex. This employee is a strong leader who demonstrates excellence in leadership by their ability to guide and inspire others, leads by our core values, lives our 8 to be Great and is a service excellence role model. Leadership Excellence Award Eligibility Criteria: The individual selected for this award Exemplifies a profound commitment to deliver service excellence to co-workers, clients, partners and shareholders Consistently delivers high quality, professional service with an outstanding and positive attitude Communicates clearly and openly with clients, families, and team members in a timely and positive manner The individual selected for this award Promotes a work environment that is respectful, collegial and supportive while mentoring employees, and creating a culture of respect, trust and credibility Effectively manages the personal and professional growth of their team and leads them in achieving their goals The individual selected for this award Proactively and collaboratively identifies creative ways to improve upon process or service delivery influencing positive change throughout the organization Continuously looks for ways to improve operations and the services we offer to benefit clients, employees and the community Understands her/his responsible for safety and is committed to preventing injuries in the workplace The individual selected for this award Inspires and encourages personal and professional development in others Committed to doing her/his best work and deliver results that support the organization s goals Demonstrates fiscal responsibility by effectively planning and utilizing financial resources to accomplish organizational objectives Sales Excellence Award The Shannex Sales Excellence Award is awarded to Lifestyle Consultants who demonstrate excellence in sales, as determined by the highest sales achievement. Two awards will be given annually, one for Nova Scotia and Ontario employees, and one for New Brunswick employees. This is the only category that is not decided by a selection committee.
