1 We are seeking an to assist with all the operational planning and delivery of our Antarctic programme. Our Antarctic operation is fundamental to the success of our charity. It is what most of our supporters were hooked by and for many it is what sustains their interest and engagement. Also Port Lockroy is our primary source of income, so providing high quality visitor experiences and appealing commercial activity is a significant part of this work. We are looking for someone to work with the Antarctic Operations Manager in all aspects of running the Antarctic operations. You will provide administrative, practical and communications support to the operation, you will also play a key role in ensuring the Peninsula stories are shared with the wider world through the website, social and other media. In addition, you will be required to spend time at Port Lockroy in order that you become very familiar with the operation and will be able to offer practical support to the seasonal team. We are a small team, so you may be required, on occasion, to support other areas of our work, such as supporting our public engagement and fundraising activity, making this unique role both stimulating and rewarding. As this role will involve working in Antarctica, the successful candidate will be required to undertake a medical assessment upon appointment. Antarctica is a physically and mentally challenging place to work. If you have any medical concerns at this stage, then please discuss with your GP or you are welcome to talk to us informally. INTRODUCTION The United Kingdom Antarctic Heritage Trust (UKAHT) is a charity which exists to advance the preservation, enhancement and promotion of Antarctic heritage to engage, inform and inspire a global audience. We are a small team based in Cambridge with responsibility for conserving and managing six historic sites and monuments (HSMs) on the Antarctic Peninsula. Port Lockroy is our flagship site receiving circa 18,000 visitors each season and is the most visited site in Antarctica. We also run a programme of public engagement activity in the UK including as memberships scheme, grants programme and retail operation. We have a trading subsidiary Antarctic Heritage Ltd which handles our trading activity our retail operation in Port Lockroy and an online shop and this currently provides the bulk of our income.

4 THE ROLE Job Title: Reporting to: Antarctic Operations Manager Job Role: Supporting the delivery of our Antarctic operations by providing logistical, practical and administrative support. As part of the team you will deliver a successful, safe and sustainable seasonal Antarctic operation at Port Lockroy and other heritage sites on the Antarctic Peninsula and share their stories with a wide audience. Responsibilities: Supporting the Operations Manager in: Assisting with recruiting and training the seasonal teams for Antarctic. This includes making bookings, liaising with potential candidates and preparing all documentation for our annual Port Lockroy selection course. Procuring supplies, equipment and materials for the season and maintaining accurate records of spending. Managing the seasonal inventories. Then, in the warehouse, preparing all cargo: supplies, equipment and merchandise for transit. Administering all the associated paperwork for shipping. Producing all documentation for the season, including operations manuals, work lists, retail and post office records, cash books, artefact inventories. Liaising with suppliers to book meeting rooms and accommodation for seasonal staff training. Then, prepare and produce all documentation for the training. Arranging travel, including flights and booking accommodation for the seasonal teams Liaising directly with vessel operators to secure berths and then handling any amendments and schedule changes Assist in ensuring our emergency planning and response procedures are up to date and our health and safety procedures and records reflect best practice Supporting the ongoing conservation and heritage management programme through recording conservation reports, researching base history and preparing reports and public interpretation.

5 Supporting the deployed teams in Antarctica through effective communications, troubleshooting and facilitating requests in both directions. Sharing operational on call duties with the Operations Manager during the Antarctic season (November March) Creating engaging content for our communications digital and print, based on the season s activity, to promote our work and encourage engagement Assisting the wider team with communications, retail, public engagement and administrative activity as required To ensure at all times the reputation of the Trust is maintained and enhanced through our work. Working flexibly with colleagues in the wider support of the aims of the Trust To undertake all of these with UKAHT values at heart and with a high regard for both Health and Safety and Equal Opportunities. Person Specification: SKILLS ESS DES Excellent communication skills written and verbal Excellent customer service skills High level of attention to detail Excellent IT skills: Office applications, databases, basic photo editing Ability to analyse data and produce concise reports Practical field skills for operating in remote or challenging environments Fluency in written and spoken English KNOWLEDGE ESS DES Knowledge of Health and Safety best practice Use of ICT for managing information, communications and reporting Knowledge of requirements of overseas cargo shipping and handling Awareness of issues surrounding operating in Antarctica or similar remote and challenging environments Awareness of the issues surrounding working with historic sites and buildings and associated artefacts

7 Terms: UKAHT is committed to providing excellent terms and conditions of employment for all employees. Location Cambridge: Overseas travel usually around 10% but in exceptional circumstances it could be up to 30%, including Antarctica. Salary 22,000 24,000 Working Hours 37.5 hours per week, Monday to Friday We accommodate flexible working with core hours and a minimum of 30 minutes for lunch. You will also be required from time to time to work occasional evening and weekends for which you will be granted time off in lieu. Holidays 25 days per year of paid leave plus the usual public holidays. Due to the seasonal nature of the role, leave will fit around the needs of the job Expenses All reasonable travel costs incurred as part of the role will be reimbursed as per UKAHT policy Benefits UKAHT operates a contributory pension scheme upon satisfactory completion of the probationary period. Probationary The appointment will be subject to a six month period probationary period Notice period Upon completion of the probationary period the period of notice will be eight weeks by either party. Overseas travel There will be need for the post holder to work outside of the United Kingdom, particularly in Antarctica for weeks at a time.
