It is used to collect, manage and disseminate project and asset data, models and documents between multi-disciplinary teams in a structured and managed way. 6 BC Enterprise: key features and benefits Document Management & Control BC Enterprise provides a centralised and secure cloud-based location to share and manage s, documents, images, correspondence, models and data across your projects and assets. BC Enterprise offers powerful document management functionality such as version control and audit trails, as well as many advanced features to support industry standards such as automatic document numbering and document placeholders (predefined with document names & metadata) to increase the auracy and compliance of information deliverables. BC Enterprise features a range of flexible options to upload and import files. But it s not all about adding and storing files, you need to be able to find the right information and so we provide powerful content searching and reporting tools to ensure you can, quickly and easily. Version Control - If information is stored in disparate silos, the latest version is difficult to track, causing costly mistakes. Every version of the file is stored in BC Enterprise and readily available, so no more time is wasted searching for the latest version Immutable Audit Trail - A detailed audit trail across the system gives full aountability. See who did what and when. People are held aountable for their actions and data can be relied upon as aurate. Drag and Drop - Upload multiple files by dragging and dropping them into the project in one easy step. They can then be tagged with their specific metadata. Choice of Filing Systems - Choose between a traditional folder structure, or open Collection system where files are tagged then sorted and filtered using metadata, or a combination of both.

7 Document Placeholders - Adding automatic document number generated placeholders (predefined with names & metadata) increases the auracy and compliance of information deliverables and is a key requirement of ensuing your project is BIM Level 2 compliant. So, for instance, the design lead can schedule out a series of drawing numbers and reserve their use for the design team. Combined with drag & drop upload, placeholders speed up information exchange. Document Renditions - Allow users to store other documents underneath the primary document e.g. a.dwg file may have a.pdf rendition (so it s the same file, just in a different file format). Useful for those who don t want to create two separate files for what is effectively a single document. Import from other Systems - How do you control the uploading of large amounts of data from diverse sources including other systems? Simply upload a CSV file with the file names and metadata, then import the completed documents and drawings to auto-match with placeholders in one easy step. This makes the transferring of 000 s of files from your supply chain en masse quick and easy. QR Codes - If you re working on a mobile phone you don t want to be typing in URLs or searching for the right file. With BC Enterprise you can generate QR codes for every file, attach it to its related asset, and then simply use your mobile to aess the related information. Very useful on site for owners when you need to find the right maintenance manual for the boiler. Simple Keyword Searching - The contents of millions of documents can be indexed and searched using simple keywords in our Document Content Searching, enabling all our clients to rapidly retrieve important documents when needed, no matter how many you have stored. File Monitor - You don t even need to download a document from BC Enterprise to edit it, you can edit it online using the File Monitor

8 Building Information Modelling (BIM) A required element for compliance with BIM Level 2 standards is a Common Data Environment (CDE.) A structured area for managing data, documents and spatial (model) information. The BC Enterprise platform is built around a core CDE supporting industry standards such as BS1192/ PAS1192 through enforcement and verification of file naming conventions and the controlled review of deliverables through the WIP/ Published/Shared/ Archived stage gates. BC Enterprise also ensure completeness and auracy of deliverables against the information delivery plan, allowing team members to securely aess, review, federate and check models as required. The browser based IFC viewer (built on Open BIM standards) allows interrogation and interaction with the model without the need for expensive 3rd party software licensing. This includes clash detection, and object/component level data management in readiness for handover. Supporting Industry Standards - BC Enterprise supports industry standards such as BS1192 / PAS1192 through enforcing your projects naming conventions and controlling the flow of information through a stage gates. We can advise on the best configuration for your requirements. View 3D Models and Data - Our fully integrated IFC viewer allows project teams to walk through and check 3D models from the design, structural and engineering teams, encouraging early decision making and reducing risk of errors and delays at later stages. Any IFC file can be viewed, large or small. All you need is a web browser, on a PC, Mac, tablet or mobile. Federate and Clash Detection - IFC Models from various disciplines can be viewed individually or federated to ensure they match and there are no errors or clashes in them. Clashes are highlighted so are easily visible by any team member. Viewing and Markup - It s not all about 3D. Online document viewing is an integral part of BC Enterprise, offered as a zero install web-based capability allowing you and your project team to aess, review, compare and mark-up 000 s of documents and 2D drawings from any device.

9 GeoBIM & Connected Data The power of location is unlocked when you connect your projects and assets to enriched data. With BC Enterprise, you can simply click on, for example, a window on your building, and it will show all the linked data such as the supplier, the size, the warranty documents, and any other information you will need to build and maintain it. Many CDEs do this, but BC Enterprise offers more. BC Enterprise can connect BIM data to internal (e.g. ERP, PPM, PSA) and external (e.g. Highways Agency, Land Registry, Ordnance Survey, Met Office) data sources to gain greater understanding of the assets and their place in the world. For instance, If you re managing large programmes of work, it can be difficult visualising where projects are located, how the surrounding environment impacts upon them, or how to plan best use of resources. The Map interface brings a visual experience to your geo-located projects and/or assets. In conjunction with our optional GeoLink module, we can layer external data sets to help with planning, design, building and maintenance. Now you can combine native data with external data sources, and immediately benefit from deeper insights into your geo-located projects and assets, all in a single view. Map Interface -If you re managing large programmes of work, it can be difficult visualising where projects are located, how the surrounding environment impacts upon them, or how to plan best use of resources. It is time-consuming and expensive waiting for surveys and third party reports on environmental impacts, or difficult aessing in-house GIS data and connecting that information with your project or asset data. The Maps interface uses OS map to bring a visual experience to your geo-located projects and/or assets and allows you to see your projects or assets in their surrounding environment where you can click down for further related data. Used in conjunction with our GeoLink module, we can layer external GIS data sets to help with planning, design, building and maintenance. Now you can combine native data with external data sources, and immediately benefit from deeper insights into your geo-located projects and assets, all in a single view. No more hunting around different databases or departments, waiting for reports and surveys, or searching across out of data information. Simply click on a project location to drill down for related information.

10 Contract Communications & Workflow Is your workflow rigid and restrictive? Does it reflect how your people work? BC Enterprise s fully interactive one stage document issuing reflects your processes, not what we think they should be (We re also happy to advise on best practise if you need help). Send documents and models to team members for comment and approval, discuss and revise responses throughout the process and receive notification of actions. Every task set is recorded via Dashboards so you can keep track of progress One-stage Workflow - Select documents, pick users, set deadlines and add notes all on one easy form, from your PC, mac, tablet or mobile. Notification - Recipients receive notification so that people are never left out of the loop. All discussions around workflow are captured in the project archive giving context to reviews and approvals. Task Dashboards - All tasks you have set or have sent are available through your Dashboards, on a User and Company level. WIP > Published Documents - Work on documents in a controlled and managed area before publishing them to a wider audience for read only aess. For instance, work through snagging or checklists before publishing to a publicly aessible area or collate and publish information manuals for Operation and Maintenance teams after handover.

11 Collaboration Working with our customers for the past years has shown that no two projects are ever truly alike. What works well for one may fail for another. BC Enterprise puts you in control of how you collaborate on projects and who with. You can collaborate informally via (BC Enterprise integrate with MS Office and project s are stored on the system) or formally via issuing. You can even include users who are not part of the formal project team, but whose knowledge and feedback you require. All via any device - pc or mac, tablet, or mobile, as you re not always in the office when you need to contribute. Mobile - Irrespective of whether you are using a mouse and keyboard or a touch screen device you are able to collaborate efficiently and quickly with colleagues and the supply chain. BC Enterprise not only looks good, but ensures you can work the same way no matter what platform you are on - PC or Mac, laptop, tablet or mobile. So now you can work from the office, at home, or onsite. Project - remains an important business and collaboration tool - it has its place enabling people to communicate asynchronously with less formality than official workflows. BC Enterprise integrates with Microsoft Outlook to let you upload messages directly into your projects. You can upload many s at a time or you can extract their attachments and just upload those. If your organisation doesn t use Microsoft Outlook then you can set up project mailboxes that enable you to into a project directly. External Users - Sometimes you just need to send a few documents to a few people without involving them in the project. Perhaps you need to get authorisation from someone who is not on the system? BC Enterprise allows you to send workflows to people who aren t in your project or aren t even on the system. Those people receive an and can download the documents or participate in the workflow without ever having to log in. Hubs - BC Enterprise has always been flexible enough to deal with various types of objects used across the lifecycle of an asset. Now Administrators can set up different Spaces and Hubs for not only Projects, but also Programmes, Assets, Sites, Locations, and Clients, to help them manage Users and make reporting on progress easier. For example, the Capital Delivery team could be focused on Projects and ensuring their smooth running and delivery, O&M could be focused on the Assets across the estate. Project Managers can track which projects are live across a Programme of work. All within one system.

12 Process Assurance & Reporting With sophisticated project tracking, compliance and control mechanisms, you are assured of consistent, aurate and seamless delivery of projects. Thanks to continuous auditing, you know what needs doing, when. Automated reminders help ensure tasks are completed, while issues are easy to detect and prevent with early identification. By using knowledge from past projects, future projects are easy to set up, and run smoothly and efficiently. Track Project Deliverables - A process is set up to expect deliverables. Each project is then measured against the provision of those deliverables. There is a clear overview of a project s key deliverables against the process. This continually ensures deliverables are provided in a timely manner and obviates the need for a costly audit. Key gateways cannot be passed without aompanying documentation. The audit trail ensures responsibility and aountability and costly mistakes are avoided through transparency of project progress. Document and Process Templates - Templates can be configured for each expected deliverable. Process is followed and the correct templates are used, helping to ensure the project follows best practice and runs efficiently. Significant administration time is saved when new starters join a project - they know exactly where to look for the right templates and what is required, or when you need to set up a new project, simple use an existing template and change the deliverables and milestones as you require. Easy Reporting on Progress - BC Enterprise provides a clear indication to the project team of milestones and how the project is progressing, reducing the reporting burden on busy project managers. There is a clear indication of stage and RAG (red/amber/ green) status for each project. Projects are clearly flagged based upon the presence of expected deliverables and proximity to the next milestone. Projects that need assistance can be quickly identified and action taken in good time rather than discovering problems at the end of the project when resolution is costly. Task Dashboards - Users can also keep track of their own tasks with their own Dashboards, always available within BC Enterprise, showing Tasks In, Tasks Out and how overdue they are, with click through to the related information. Powerful Search and Reporting Tools - There s no point uploading 000 s of documents and data if no-one can find them. BC Enterprise has powerful keywords search tools, that you can run across the whole system, or individual project areas. You can save them and run regular highly configurable reports from them, saving hours of phoning around for progress reports
