4 For discussion today: 2 software solutions that will roll out next year 1 GEOPAK / Microstation 2 ProjectWise Upgrade to new version from Bentley Includes 3D Design - Visualization - Decision making - Error review Streamlined content management system - Anywhere file access - Centralized content Collaboration capabilities 3

5 We will roll out 3D design capabilities to improve design process Current situation (traditional 2D) Design created and reviewed page by page, end product is a flat file Errors easily missed due to greater interpretation effort Lack of visualization makes communication more difficult 3D Design Allows review of design alternatives Finds errors and omissions early in the design process through clash detection Improves decision making, communication, and design quality Provides better estimates and bidding Clash becomes obvious in 3D design-time visualization 4

6 Other advantages of 3D modeling extend beyond the design stage Operations and maintenance Provides better management of equipment inventory and systems such as Pavement and Traffic Management Machine control AMG (Automated machine guidance) usage growing, provides significant benefits Public involvement visualization When applicable, capabilities to convert complex technical information into easily understood images 5

7 File management: our current system has multiple pain points Network drive constraints Limited shared drive space Burdened by repetitive Work Frequent repetitive work Silos in design process Time wasted searching for files No unified version control methods Nonstandard product for external contractors Data silos based on disciplines ProjectWise software can help mitigate these issues 6

9 ProjectWise will help us eliminate repetitive work Burdened by repetitive work Repetitive work because content is not standardized External contractors receive different products depending on which team worked on project Alleviated by ProjectWise Amount of repetitive work minimized with Drawing Standards, Line Styles, Level Symbology Will standardize product put out to contractors for letting which will lead to better bids 8

10 ProjectWise will also strengthen our ability to collaborate Silos in design process Firewalls prevent real-time collaboration Different file standards and locations by discipline and district; time wasted searching for files Collaboration with ProjectWise Manage project files across different locations and teams All designers and disciplines are referencing from a single source 9

11 What to expect next: pilot phase now, then rollout starting next year Begin with pilot phase 3D: Pilot projects launching soon in select districts ProjectWise: Dry run in AUS later this year ProjectWise Dry Run 3D Pilots Then transition to statewide rollout Will finalize pilots and transition to full rollout starting next year Regional rollout schedule, starting in Austin Training program (with a combination of instructor-led and self-service modules) will run in conjunction with rollout 10

16 The results: $700M in projects developed in ProjectWise ProjectWise used for all projects, teams, and correspondence 133 projects developed using ProjectWise ~$700M in Construction Cost Used district-wide, including Rural and Urban projects Preventive Maintenance, 2R, 3R, 4R all represented Multiple design teams for each project All design files stored in ProjectWise All related correspondence also stored in ProjectWise 15

19 As the pilot district, we experienced some PW growing pains Printing is slow Very slow speed, due to network issues Must remember to "check-in" files Have to regularly clear caching files Frequent error messages and crashing It's not easy to open multiple files at a time Can t directly from PW Can't store GeoPak (.gpk) files Can t run programs : FPS- 21, HY-8, P3 Efforts underway to resolve many of these issues prior to rollout 18

20 Several steps are being taken to alleviate these growing pains Network upgrades Comprehensive, statewide network upgrade program to commence later this year Short-term LTE solutions also being pursued Software upgrades ProjectWise configuration updated to address issues experienced in SAT Addition of better local caching servers will improve speed Next steps: AUS 'dry run' to identify and mitigate additional issues 19

21 ProjectWise benefits both the individual user and SAT as a whole File Sharing File Storage Access Rights One location for all design files and correspondence See other's work in real time T drive does not have space T drive files can be deleted Grant specific access to specific people Provides added file security Organization SAT File Management System organizes files and standardizes work ProjectWise offers a centralized location Accountability Everyone works in one location and is responsible for their files Everyone can navigate standard file structure to find necessary info ProjectWise is an effective work sharing program for all projects 20

26 The context: Waco District undertook challenge of I-35 upgrades I-35 Improvements 10 projects and ~$1B in total work on I-35 going on today Means we had same amount of design 3-4 years back Design work included: PS&E ROW Utility Adjustments 25

27 SJT, CHS then joined WAC to help meet project demands Collaboration required Project stretched any one district's capacity - opportunity to pull in other districts Our 8 mile stretch Collaboration began between WAC, SJT, CHS on an 8-mile stretch 26

28 The project became a potential collaboration nightmare Need to coordinate across multiple geographies How do we collaborate using the T:\Drive? How to keep track of work? San Angelo (Rural) Childress (Rural) Project Location How to jointly work on designs? How to communicate? Bridge Division Waco (Urban) ProjectWise to the rescue! 27

29 ProjectWise made the project possible by enabling collaboration Core functions handled through ProjectWise Single Page View All users see same border, cell sheet, library Single File Used Shared files instead of copies Scheduling Meetings, deadlines, review all handled by ProjectWise 28

30 Construction now well underway, and our collaboration continues Project is nearing completion Collaboration continues Construction began in October 2011 and will finish in the spring of next year The three districts have continued to collaborate beyond the design phase Change Orders Clarifications Still using ProjectWise to enable this collaboration 29

32 Summary: PW empowered our work on a big, resource intensive job ProjectWise wasn't perfect... Some temporary growing pains...but enabled the success of a large design project Sharing files vs. sharing copies of files Some more permanent changes to our workflow Using resources to the fullest Maintaining file integrity Sharing ideas and best practices ProjectWise use can benefit our work on projects of any scope or size 31
