1 Welcome to the Centurions An overview of the NCSC committee Document Purpose The purpose of the document is to give new committee members/prospective committee members an overview of the committee, what is required of a committee member and the roles and responsibilities within NCSC. The Committee The NCSC committee is made up of the roles below and should meet regularly to make decisions and take agreed actions. The committee is responsible for making sure that NCSC sticks to its aims and objectives as detailed in the Constitution, our mission statement and short-term vision strategy whilst progressing actions to support those. Being on a committee involves: Having a shared sense of purpose (following aims & objectives) Providing direction and leadership Taking collective responsibility Progressing agreed actions Dealing with issues Being accountable to stakeholders (e.g. members, funders, the wider community)

2 To work well, committees rely on the following: Members who understand their responsibilities and role Having the right mixture of skills, abilities and experience around the table Commitment to the role and the aims and objectives of NCSC as above Having a sense of purpose which translates into leadership As we develop and new people become involved, or we become focused on activities not aligned to the aims and objectives, we can forget to take a step back every now and again and check whether or not they are meeting the requirements above. We need to take time to do this. What makes a good committee member? A good committee member: Prepares for attending meetings Has a good understanding of NCSC, what it does and how it does it Is not afraid to ask questions Agrees to stick to the majority decision Supports fellow committee members Acts as an advocate for NCSC

4 Responsibility coverage across swimming and Lifesaving :-

5 Position/name Chairperson/Steve Bradshaw Vice Chairman/ Nicola Ma Secretary/ Nicola Ma Main duties (according to swimmark guidelines) Please tick all that apply. * To act as principal officer within the club and make decisions when the need arises, in consultation with other officers. * To chair and control the meetings of the management committee. * To be involved, where appropriate, in the coordination of all club activities (particularly to support other officers in those activities that are key to supporting the club activities). * Oversee decisions made by the management and sub committees. * Oversee the work of officers and other club personnel. * To represent the club at external meetings when required. * Provide direction by effective leadership & management. * Ensure that the vice chairperson is supporting key club activities. * Ensure that the vice chairperson is aware of all activities in progress (to ensure backup is available). * In conjunction with the secretary present the annual report. * In conjunction with the treasurer present the annual accounts. * Consult with the secretary on the content of the agenda and minutes of meetings. * Keep up to date on Swim England/ASA laws, regional rules and club constitution. * Ensure that statutory documents and other returns are filed on time. * Advise the treasurer on the use and investment of club funds. * Report to the officers of the management committee at the first opportunity of any instant decisions taken, and ensure that all policy decisions are ratified by the management committee. * To ensure all members of the club workforce have role descriptions * To establish and manage a volunteer recognition programme within the club. * Assist the chairperson in carrying out his duties. * Stand in place of the chairman when he is absent. * Act as a go-between for the chairperson and other members. * To ensure all members of the club workforce have role descriptions. * Deal with the day to day running of the club including all correspondence. * To process and deliver appropriate forms and information to and from county, regional and national Swim England/ASA departments. * Call committee meetings and AGM, prepare agenda, take minutes and provide officers with copies. * Liaise with the Swimming and Competition secretary to ensure that pools are booked for all teaching and training sessions as well as all events hosted by the club.

6 Treasurer/ Josie Lawton Membership Secretary/ Josie Lawton RLSS Coach/ Wendy Metcalfe Welfare Officer/ Ali Beckman * Act as the main point of contact for your club for the county, regional and Swim England/ASA. * Responsible for all club finances. * Monitor the budget throughout the year. * Issue receipts and keep records of all monies received. * Plan the annual budget in agreement with the management committee. * Ensure that funds are used appropriately. * Keep up to date records of all transactions. * Prepare end of year accounts and present to the auditor and management Committee. * Book venues for Committee Meetings and AGM. * To maintain supplies in the Swim Shop and ensure the treasurer has up-to-date records of all transactions linked to Swim Shop. * To be responsible for replying to enquiries regarding membership. * To arrange trial sessions for new applicants. * To make formal offers of membership including associated paperwork. * To be responsible for obtaining membership fees from all members on a monthly basis. * To ensure the treasurer has up-to-date records of all transactions linked to club membership * To register all new members with Swim England/ASA * To be responsible for the administration and coordination of the RLSS arm of the club. * To provide a central point of contact for the RLSS members. * To be responsible for the delivery of the appropriate courses to members. * To submit requests for equipment funding to the committee. * To coordinate competitions as required, including team travel, itineraries, information to athletes, coaches, parents/guardians, team selections as appropriate and in consultation with others. * To organise team kit as appropriate. * To prepare and submit results to the communications officer as appropriate. * To promote positive team spirit and behaviours. * To prepare post-competition/event reports as appropriate. * To ensure all possible child protection concerns (urgent and non-urgent) are dealt with following Swim England/ASA Child Protection Guidelines (Wavepower document). * To maintain, administer and manage the completion of the DBS check forms. * To be aware of the child protection policies and procedures of the Swim England/ASA and to receive all updates of this nature from Swim England/ASA * To ensure Wavepower is promoted by the leaflet on the club notice board. * To raise awareness of good child protection practice with the teachers and coaches through Swim England/ASA/Sports Coach UK Safeguarding & Protecting Children workshop plus selected others as directed by Swim England/ASA.

7 SwimMark Coordinator/ Wendy Broadhurst Parent Liaison Officer / Becci Johnson Workforce Development Officer / Swim Liaison / Ali Beckman Gala Secretary / Caroline Garvey * To ensure volunteers (other than teachers and coaches) within the club are introduced to good child protection practice through the NSPCC module, Keeping Children Safe in Sport. * To attend Swim England/ASA Time to Listen workshop. * To organise and oversee the audit and action planning stages of the swimmark process within the club. * To engage other club members to support collating evidence for swimmark accreditation. * To liaise with the Regional Representative/Aquatic Officers, Local Authority Sports Development Officer, swimmark Club Committee and Club Members. * To keep the club updated on their progress through the swimmark process. * To ensure that Club Members are informed of swimmark courses and seminars. * To liaise with the Treasurer and Management Committee with regard to funding the implementation of the Clubs development plan. * To follow and promote the Swim England/ASA Child Protection policy. * Formal Parent feedback on any club topic (ideas, suggestions, etc) and progress as appropriate * Manage an additional parent volunteer group who are not on the committee in activities below * To organise the club s Help Desk so that it serves as a point of contact for swimmers/parents during swimming sessions. (including Swim Shop) * Equipment Management and Tracking * Trophy Management and Tracking - To collect trophies, arrange collection, engraving and returning * Support the Gala secretary with additional parent help (e.g. Gala admin) * Liaise with other Committee Officers/Head Coach on parent communication requirements * Social Activities o To arrange presentation evening on an annual basis. o To promote non-swimming social events for the relevant members of the club as requested/approved by the management committee * To be responsible for creating and implementing a Workforce Development Plan. * To build effective relationships with staff and Swim England/ASA County Workforce Coordinator (if in place). * To coordinate and help organise training for the club workforce. * To be responsible for leading the recruitment, induction and support of all club volunteers, in association with others. * Strong liaison with other committee members for resource needs * To act as a main point of contact for technical volunteers and staff within the club * To build effective relationships with all technical club volunteers * To co-ordinate the swimming squad leads and reports progress to the committee * To act as a main point of contact for the club, maintain records and information in relation to galas. * To be responsible for all administration and communications associated with galas. * To process and deliver appropriate correspondence and information to and from gala hosts, club

8 Committee member / Geoff Lewis Performance Coach / Simon Pickering Home Gala Organiser / Caroline Garvey/Nicky Pratt (Co-ordinator) Communications Officer / Simon Beckman (Steve Bradshaw) swimmers/parents. * To maintain up-to-date contact details of all members, committee members, other key club personnel associated with galas. * To collect championship trophies, arrange collection, engraving and returning. * To arrange all team travel and itineraries as required * To provide information to athletes, coaches, parents/guardians as appropriate. * To support and advise the committee with regard to external agencies, teaching and coaching. * To support the Lead Coach. * To prepare session plans by using a cyclical annual plan you have set for the season and use relevant practices and coaching points to achieve the aim of the session using the principles of LTAD. * To effectively record the attendance of swimmers and the progress of all the swimmers in your session/s via ongoing assessment * Always be in control of your lesson, by maintaining discipline at all times, but keeping it enjoyable * Always be consistent in your coaching and treatment of individuals * Never leave your group unattended * Always be aware of the NOP-EAP * Always clear your equipment away at the end of your session * Treat everybody with respect, kindness, understanding and consideration * To ensure coaching cover at all competitions * To work within the team * To submit post-competition/event reports as appropriate OR To submit post-competition/event reports to the communications officer as appropriate. * To regularly discuss session plans with other coaches/teachers. * To set annual competition calendar * To undertake team selections as appropriate and in consultation with others. * Issuing clearly defined roles and responsibilities of all volunteers. * To organise the gala in accordance with the home gala checklist * To collect championship trophies, arrange collection, engraving and returning. * To act as a main point of contact for volunteers and staff within the club * To build effective relationships with all club volunteers * To establish links with local schools and pool providers to facilitate school swimming galas. * To arrange all team travel and itineraries as required * To provide information to athletes, coaches, parents/guardians as appropriate. * To develop and maintain or update the club notice board, website and social media accounts in line with Wavepower, Swim England/ASA s Safeguarding guidelines. * To promote and publicise all aspects of the club in a positive and equitable way through the production of

9 Fundraising Officer / Sponsorships Officer (Steve Bradshaw) Club Captain / Ethan Beckman & Ella Richardson informative and unbiased newsletters, website updates and regular media releases. * To report on club events both internally and externally. * To create and nurture relationships with local media. * To organise the club s Help Desk so that it serves as a point of contact for swimmers/parents during swimming sessions. * To develop a marketing and promotions plan for the club in association with the club s strategic plan * To identify and target sources of funding for the club in association with the club s development plan * To prepare funding bids in partnership with club committee members as appropriate. * To establish and develop effective working relationships with key local funding providers. * To promote and publicise any funding secured for the club through the club newsletters, website and notice board, in association with the communications officer. * Be a person that all athletes can contact and talk to about any comments or questions they may have. * Provide a voice for athletes at the club and raise any issues to the committee when necessary. * Be a positive role model for all members of the club. * Communicate with fellow team members and provide support and advice where needed. * Encourage club members to be involved in social and voluntary activities. * Welcome new members to the club.
