1 Timecard Management - Labor Hours s 1. Department -whole shift: If an employee works in a department other than their home department for an entire work shift, a department transfer needs to be performed, to ensure the correct department is charged with the employee s labor hours. The employee should perform this department transfer on the time clock, (time clock transfers - applicable to hourly manufacturing employees) however, if the employee does not complete the department transfer on the time clock, follow the steps below: a. Select the drop down arrow in the column between the employees in and out punches. b. Click on Search. 1) Select the radio button for Department. All available department entries will appear 2) Click on the applicable Department from the list. Once selected, the selected department will be listed on the right. (This will be the department that the labor hours will need to be transferred to). NOTE: Check with your location payroll department to identify whether you need to include the following steps. If not, continue to step #9. Page 1 of 5
2 3) Select the radio button for Function. All available functions will appear on 4) Click on the applicable Function. Once selected, the selected functions will appear on the right. A function is whether the department is identified as a Direct labor account or an Indirect labor account. If the employee s Home function is a Direct labor account and is working in an Indirect labor account, it will be necessary to transfer the function as well as the department. 5) Select the radio button for Class. All available classes will appear on 6) Click on the applicable Class. Once selected, the selected class will appear on the right. 7) Select the radio button for team. All available teams will appear 8) Click on the applicable team. Once selected, the selected team appears on the right. 9) Click OK Timecard once again displays. Page 2 of 5
3 c. Click SAVE. 2. Department s-portion of a work shift: If an employee works in a department other than their home department for a portion of their work shift, department transfers will need to be performed, to ensure the correct department(s) are charged with the employee s labor hours. The employee should perform these department transfers on the time clock, (time clock transfers - applicable to hourly manufacturing employee) however, if the employee does not complete the department transfer on the time clock, follow the steps below: a. Insert a row by clicking on the blue button with the + and inside that is next to the date you are working on. b. On the row that was just inserted, select the In box, enter the time the employee begin working in the other department. c. Select the drop down arrow in the column to the right of the added in-punch time. Page 3 of 5
4 d. Click on Search. 1) Select the radio button for Department. All available department entries will appear 2) Click on the applicable Department from the list. Once selected, the selected department will be listed on the right. (This will be the department that the labor hours will need to be transferred to). NOTE: Check with your location payroll department to identify whether you need to include the following steps. If not, continue to step #9. 3) Select the radio button for Function. 5 e. Click SAVE. A ghost out punch (identified as blue punch) will appear and the timecard has been updated with the appropriate transfer of hours. f. If the employee has multiple transfers, continue to follow steps above for each transfer. Remembering to always only add the IN-PUNCH. The ghost out punch will auto enter upon saving the timecard.
