3 1 INTRODUCTION To adapt its supply chain to its growing customer demands, Eurodif decided to centralize its flows on a single logistic mechanized site in Buchères near Troyes. Schema 1 - Buchères localization This new logistic tool will allow the company and its suppliers to be more efficient and responsive to meet the demand of its customers. 1.1 Stakes of the new distribution center The mechanization and the new organization of this new warehouse will allow an improvement of its supply chain for better services: Upstream level (to the warehouse) : Automation of the receipts Facilitation of goods receipts Consolidation of orders Downstream level (to the stores) : Flexibility in supply : single piece replenishment, better stock distribution Fast replenishment : goal of day+1 in all stores Highest frequency of replenishment Consolidation of stores deliveries The warehouse Buchères will allow Eurodif and its suppliers to increase their turnovers through a better match between supply and demand (greater products turnover and therefore more frequent reorders). 1.2 Objectives of the distribution center in Buchères The logistics platform, near Troyes, aims to deliver all Eurodif products to its stores. Three types of logistic units will be processed and shipped to the stores: Complete packages prepared with a parcels sorter Constituted packages prepared with a units sorter "Oversized" products handled manually as before (without the use of mechanization) The stores are supplied several times a week, depending on the volume shipped, according to a transportation plan defined in advance. 4 2 MAIN LOGISTICS CONDITIONS For the Buchères site to work properly, it is necessary that: - The parcels respect a standardized size (constraints linked to conveyor/sorter) - Labels are edited according to the specifications in order to have readable barcodes to ensure the delivery of parcels and inner-parcels - And that parcels / inner-parcels are correctly labeled 2.1 Characteristics of logistical items Masters and Inners The logistic units to be handled in Buchères site are: - Master: grouping parcel corresponding to the logistics unit of receipt. It may contain one or several inners. It is always in the form of cardboard box. - Inner: these are sub-parcels. It can be in the form of boxes or polybag. An inner contains one or several items. It corresponds to the unit of distribution, initial allocation and replenishment of stores. - When in the order Inner = Master, there is only one package containing the articles. These two levels of parcels and sub-parcels are necessary to make the warehouse operate properly. In particular the inner level which corresponds to a unit replenishment of the store. It can be prepared by the supplier in: - Mono-sku parcel : the package contains a single color size reference (Ex: 4 pack blue T-shirt size XL) - Multi-sku parcel : the package contains a single reference-color in several different sizes Based on requests made to the supplier, different possibilities will be possible for Buchères to plan initial allocation and replenishment for its stores. 5 2.1.2 Standard cartons The new warehouse in Buchères will be able to manipulate automatically parcels and sub-parcels. For efficient handling, constraints have been set up for: - The dimensions of parcels / sub-parcels (see below) - The weight of the parcels / sub-parcels (see below) Compliant sizes of cartons To describe the external dimensions of the acceptable cartons, the following conventions are used (see figure below): - Length: the longest side of the cartonl - Width: the shortest side of the box W - Height: the height of the carton H (the height is necessarily smaller than the width and ten length of the carton (H W L) - Cartons format : length * width * height. 6 This list cannot be modified, but a tolerance is accepted concerning the height, under the condition that the height does not exceed either the length or width of the cartons from the list above. For a MASTER carton, the minimum height is 190 mm because of the height of its label s (148 mm). Quality and characteristics of eligible cartons In order to optimize the logistics processes (palletizing, storage and delivery to stores processes), it is required that the masters and inners fulfill the following characteristics: - Carton (masters and inners) must support the stacking : no crushed or domed cartons will be accepted. - Strapping is not accepted, except for packing fragile items, decoration items or furniture - Cartons should not be packed in a plastic wrap From a technical point of view cartons can be: - Single/or double-wall corrugated - With or without a strapping but must above all have a minimum mechanical strength of compression of 30 kg (minimum quality: MC30, GC30 or DD30) The following figure shows the single (left) and double (right) corrugated cardboard boxes: Weight of eligible parcel Schema 5 - Inner and master for single (left) and double (right) corrugated cartons The weight of each parcel must be strictly less than 15 kg. This weight restriction applies to both masters and inners. If the parcel has a weight higher than 15 kg, the size of the parcel or the number of units per parcel must be modified to meet this criterion. If this criterion is not met, the delivery will be refused However, if Eurodif considers that the expected goods are necessary for its stores, then the merchandise will be accepted and the over cos due to the repacking and relabeling processes will be charged (see "3. Penalties Rules"). The following figure shows the different possible configurations to meet the 15 kg limit Polybags Inner The polybag must: - Protect the whole product and has to be closed on the 4 sides - The thickness of the polybag is at least 30 microns - Resist enough - Be transparent/clear - Be antistatic - The both 2 length sides, plus one of the width side,must be perfectly closed. The fourth side must be closed with an adhesive strip. - The hanger and its hook must be packed inside the polybag - The maximal weight of product packed in a polybag is 5kg (ideal weight 4 kg) - The polybag has an INNER label on its top External dimensions of polybag are expressed in mm and are indicated in the following way: Length * Width * Height (L * W * H) - Maximum dimension Maximum: 580 mm * 380 mm * 200 mm - Minimum dimension: 60 mm * 32 mm * 10 mm EURODIF-Suppliers_kit_Version_UK_VF 5 Page 6/19

7 If the conditions of format and/or the quality of polybag are not respected, the delivery will be refused. However, if the goods expected are primary in the stores, then the goods will be accepted. The cost of time spent on palletizing will be billed to the supplier according to the penalty grid in paragraph «Settlement of penalties» Handling of oversized and fragile items All Eurodif items cannot be packaged within the list of standardized cartons (see Schema 4). In fact, some items need other precise packaging conditions because of their fragility where as other ones are extremely bulky (particularly furniture) and cannot be sent to the warehouse Buchères in standard packaging These products will be grouped during the picking process in a specific container. They will be unloaded and delivered manually in the reception area (cells 1 and 2), and then transferred directly to their specific storage and picking areas. Specific treatments and packaging constraints are necessary for the following fragile and / or oversized items: - Mirrors - Furniture, chairs and sofas - Frames - Flat pack furniture EURODIF-Suppliers_kit_Version_UK_VF 5 Page 7/19

8 2.1.5 Packaging requirements for deliveries concerning Eurodif Delivered items to the warehouse can be packed into cartons. However, each carton must be labeled at the end: order ID, reference ID, color, width and number of units with identical dimensions. In the cartons, each unit must be individually packed and labeled. If there are units of different dimensions of the ones ordered, these units must be packed in a specific container and the dimensions must be clearly indicated on each unit. Cartons must then be palletized, arranged in the same way, all readable labels on the same side Items delivered with hangers Depending on the inner, the handling of items delivered with hangers differs: - If the inner is a multi-sku parcel (several sizes of the same reference-color model), the handling of hangers is not an issue for the warehouse logistics, because the parcel will not be opened within the warehouse. Warning: Hangers must be packed in the same parcel. If a supplier would group the hangers in a separate parcel, they could not be sent to stores! - If the inner is a polybag combining 1 or several sale items: hangers and items must be packed in the same polybag (no separate polybag containing only the hangers). Warning: the hook(s) of hangers shall in no case exceed the polybag. Indeed, it would cause technical malfunction: parcel could be stay hanged while falling in the flaps of the trays sorter! - If the inner is a small carton grouping 1 or several sale items: see multi-sku parcel case EURODIF-Suppliers_kit_Version_UK_VF 5 Page 8/19

10 2.2 Labelling of logistical items Conveyors / sorters need barcodes for routing. 11 2.2.1 How to get the labels? The Masters/Inners/Products labels are available in 3 ways on Eurodif Supplier s web portal : - Label s folders in TIF format, that allows to print directly the labels in the right size - Label s files in XML format, that allows the supplier to generate himself the labels - Labels with the Template tool : to facilitate the understanding of labels and their printing, a tool which generates templates, is available for suppliers. This tool can generate templates in real size before industrial printing. Schema 7 - Tool interface generating templates labels Since mid-march, when in the order an inner = a master, you will only find inner files on the web portal Labels format Please find below the dimensions of each label depending on the logistics unit: - Master: Only one size possible o Type A Standard label : 105 x 148mm - Inner: 2 sizes (depending on the cartons format, refer to the supplier contractual specifications): o Type A - Standard format: 105 x 148 mm o Type B - Small format: 70 x 70 mm o When an Inner = a Master, the Eurodif web portal provides only the Inner labels (small labe and 105*148 label). The Master s labels aren t provided anymore, in this case. - Product: 4 sizes possible (depending on product sizes, refer to the supplier contractual specifications): o Type A Standard hangtag: 47 X 63,5 mm o Type B Hangtag (small size) : 41 X 30,48 mm o Type C Standard sticker price tag: 46 X 31 mm o Type D Sticker price tag (small size) : 30 X 20 mm The barcode mustn t be folded and should be readable by a barcode reader Validation of the master s and inner s labels creation For every Master s or Inner s labels creation using the information from the labels on the portal, label s sample must be validated by Eurodif s Logistic Department before printing all the masters and inners labels. 15 Products / items Type A - Standard hangtag : Dimensions 47 X 63,5 mm Type B - hangtag (small size) : Dimensions 41 X 30,48 mm Products correspond to sales units and therefore must respect a precise graphical charter depending on its type (lingerie etc). See specifications for details. Type C - standard sticker price tag : Dimensions 46 X 31 mm The specifications regarding the label sizes are given by Eurodif. The labels will always be sent in the right dimensions. Type D - sticker price tag (small size) : Dimensions 30 X 20 mm EURODIF-Suppliers_kit_Version_UK_VF 5 Page 15/19

16 2.2.3 Labels positioning Labels must be visible during the palletizing process: They must be located on the largest side of parcels for masters, on the biggest face for polybags and for small parcels corresponding to inners and at the top for roll of material A poor location of the labels on parcel and polybag would make the handling impossible on the conveyor and the sorters and would break the material flow within the warehouse. When an inner = a master, use the inner s label. 17 2.2.4 Logistics and commercial impacts in case of non compliant cartons and / or labels The respect of cartons and labels format is essential to ensure the material flow in Buchères.
