1 THE LOCK-UP VENUE HIRE INFORMATION ABOUT US The Lock-Up is a unique cultural destination located in the heart of Newcastle s heritage precinct. The building was originally Newcastle s Police Station and Lock-Up from 1861 to 1982 and is an important example of colonial government architecture. Now operating as a contemporary art space and inner city creative hub, the heritage listed building includes a purpose built gallery space, rare heritage listed cells, an event and installation space in what was the former exercise yard and an onsite apartment for multi-disciplinary residencies. The Lock-Up spaces are also utilised for public and private events and functions. Income generated through the commercial hire of spaces assists in funding The Lock-Up s assets and programs. The primary space available for hire is The Yard. THE YARD The former men s exercise yard has been sympathetically renovated to create a striking one-of-a-kind venue. Impressions of the former exercise yard still linger with traces of etched graffiti, overhead bars and the solid iron doorway acting as reminders of its history. Modern additions such as the automatic weather-sensitive louvered roof, new raised floor and wooden stage ensure The Yard is a character-filled yet functional space. The Yard is perfect for small to medium size events including intimate wedding ceremonies and receptions, private parties, cocktail functions, long table lunches, formal dinner parties, corporate events, meetings, small seminars and product launches. The great acoustics and size of the space also make it suitable for intimate live music and theatre performances. Hire of The Yard also includes use of The Lock-Up s entry foyer. The foyer can be utilised for event registration, cocktails or general overflow space for The Yard. EXAMPLES 6hr Package 10hr Package 14hr Package eg. 3hr event - 6pm 9pm plus 3hr bump in/out eg. 5hr event - 5pm 11pm plus 4hr bump in/out eg. 7hr event - 4pm 11pm plus 7hrs bump in/out Venue Hire Package must be selected at time of booking. Venue Hire Rate includes use of The Yard space for the designated time including any bump in or bump out hours. Bump in begins when first event delivery is made or event organisers arrive on site. Final invoice will include any additional bump in/out and event hours charged at $180 per hour. Prices are based on events with less than 80 guests. Events with more than 80 guests will require an additional supervising staff member at $80 per hour per, with a minimum call time of 3hrs. Bump in of The Yard during gallery opening hours must minimise impact on public use of the other spaces. Foyer is only available out of opening hours. Supervising staff members are required to protect the venues heritage and artworks during private events. Supervising Staff must be present on site during all visits by hirers and guests including additional bump-in/out hours. INCLUSIONS Supervising Staff Member Toilets;; female, male & disabled. 3 ADDITIONAL INFORMATION EVENT RESTRICTIONS The Yard cannot be hired for 18 th and 21 st birthday celebrations. All flames (candles etc) must be covered. Smoking is strictly not permitted within The Lock-Up. Amplified sound (including music and microphones) must be turned down to an acceptable level from 11pm. The venue must be vacated by 12am (midnight). HERITAGE CONSIDERATION The Lock-Up is a significant heritage building protected under NSW Heritage. As such no items can be affixed to walls including adhesive tape or tack, nails or hooks etc. How the space is to be used during the event must be approved by The Lock-Up as part of the venue hire agreement. Addition of decorations and installation of equipment must be overseen by The Lock-Up s event supervisor. ACCESSIBILITY Both The Lock-Up s venue hire spaces are accessible by wheelchair. A permanent ramp provides entry access to The Lock-Up s foyer from Hunter St. The main gallery is permanently wheelchair accessible and The Yard main floor area is accessible by wheelchair via a portable ramp made availability to visitors on request. The Lock-Up has accessible unisex toilet facilities. Due to their heritage nature the original cells and some entryways are narrow doorways making limited wheelchair accessibility to these spaces. The cellblock also has uneven floor surfaces and low lighting. CATERING The Lock-Up allows flexible catering options and does not require venue hire clients use a set catering company. We can however recommend the following caterers who have experience catering events at The Lock-Up: Sprout Catering Wild Rabbit Catering Restaurant Mason Relish Kitchen Space is made available for caterers to prepare and plate food. Deep-frying and gas flames are not permitted inside the building however an outdoor area can be arranged with notice. Its is the responsibility of the Hirer to brief external suppliers on the limitations of the venue with a site visit and meeting with The Lock-Up s venue hire coordinator prior to booking highly recommended. All venue hire events where money is exchanged (eg. Ticketed, fundraiser, auction or raffle) and where alcohol is served, must be catered by licensed caterer. All other private venue hire events where alcohol is served must employee RSA certified serving staff. DELIVERIES The Lock-Up can only accept deliveries on the Hirer s behalf with prior consent by The Lock-Up staff. PARKING There is no on-site parking at The Lock-Up. Off-street parking (timed and paid between 9am and 5pm) is available in surrounding streets.
4 PHOTOGRAPHY/ FILM PRODUCTION SHOOTS The Yard can be booked for photo shoots or for film production. Cost is $250 for access to the space for up to 1.5 hours and includes a staff member to supervise the site. Bookings must be made in advance. Additional hours will be charged at $50 per hour. BOOKING REQUIREMENTS In order to secure your booking we require: 1. 50% deposit paid by direct deposit to Newcastle Historic Reserve Trust on receipt of tax invoice. 2. Signed Venue Hire Lease Agreement CANCELLATION POLICY Notification of cancellations must be provided in writing to info@thelockup.org.au 0-30 days: Forfeiture of full venue hire deposit days: The Lock-Up will refund 50% of the venue hire deposit. 91days onwards: Full venue hire deposit will be refunded. Sympathetic conversion of the exercise yard has resulted in a space that is not weather proof. Venue hire clients take this risk in hiring the site. On the occasion that an event needs to be cancelled due to severe weather, The Lock-Up will retain the full deposit. The event may be rescheduled at a reduced price as negotiated with the Director of The Lock Up. BOND The Lock-Up reserves the right to charge up to a $1000 bond. The bond is fully refundable subject to a site inspection by the Director on completion of your event.
