1 JOB DESCRIPTION Job Title Project Editor Team Trade & Consumer Reports To: Executive Project Editor Responsible For: No direct reports Location Chichester Job Purpose (why does the job exist?): To manage the publication of Trade & Consumer projects, including but not limited to, Wiley Nautical and Consumer Computing titles, from contract (including pre contract project definition work), through good author support, to delivery of the final published product. Joint responsibility with the Commissioning Editor and Marketing Manager for delivering the team s financial and publishing targets. Key areas of responsibility, activities, and tasks (In some jobs it will be more important to identify what the job holder is responsible for ACHIEVING rather than DOING.) Team Responsibility Work with the Commissioning Editor and Marketing Manager to achieve the team s financial goals. Responsible for achieving team targets with respect to: number of manuscripts received in house number of transmittals number of publications. Pre contract Consult on non standard products at review stage as required. Work, as necessary, with the commissioning editor and author, to help analyse and define the project. Standard of Performance Give specific examples of how/when the activities and tasks will be performed. Prepare or agree costs for projects at various stages of publication. Scheduling of projects (from contract) to help achieve revenue forecasts. Work with colleagues to encourage delivery of content for processing, and ensure timely publication by using available resources to achieve publishing targets. With input from Executive Project Editor, either work with titles in house, or send to Project Manager as appropriate. This may involve assessment of some or all of the following: content complexity definition of deliverables in both print and digital format cost and schedule level of author support required. Input into the contract approval process with regard to
2 Post contract/project handover Responsible for Project handover and management of delivery of manuscript and subsequent publication. Content Processing Key responsibility to manage the delivery of content from author to required formats within constraints of cost, quality and schedule. Ensure that resources available, both internally and externally, are utilised for efficient publication of team s targets. Good understanding of design, reproduction and printing (both for colour and mono titles). Author Support Provide the author with information and support, as required, at all stages of commissioning, contracting, generation and processing of content. Act as the author s main contact post contract. cost and schedule when required. Work with colleagues to determine feasibility of unusual or particularly complex publishing requirements. Chair Project handover meeting. Results of this meeting should be to confirm: schedule and publication date based on contracted MS delivery date final deliverables with Commissioning Editor. page design with Commissioning Editor (either standard design or commission new design as appropriate). Monitor progress against schedule. Inform colleagues if delays to schedule occur/are anticipated and propose remedial action. Assess sample material (both for technical problems and as a review tool). Ensure all material required for marketing purposes is available when needed. Ensure author understands information included in the author pack and clarify responsibilities and communication details. Review sample material for production issues and content where appropriate. Feedback comments/advice to author/commissioning Editor. Review manuscript from a production perspective, ensure complete and that content matches proposal/contract. Manuscript cast off for re costing and re scheduling for delivery, and to enable price fix sign off. Any additional material assessed (e.g. supplementary material, website copy, promotional). Monitor schedule and alert when any potential problems may jeopardise publication. Regular contact with author to encourage and support in the preparation of their content. (Particularly contact author for regular progress reports.) Where necessary, ensure the author is chased for delivery of content. In particular, this is essential where there is a delay with no mitigating circumstances or author communication to explain the situation. Ensure information provided in the Author Pack is fully understood. Foster a focused and direct relationship with the author for the mutual benefit of both sides.
3 People Influence and develop the activities of indirect reports, to enable the team to operate at the highest levels of productivity, quality, and service to internal and external customers. Communicate publication requirements to the team and ensure all processes and procedures are adhered to. Planning and Scheduling Support the team in maintaining the schedules for the publications (in both print and digital formats). Responsible for the price fix costing, and comparison against pre contract costs. Act as the liaison between Wiley and specific suppliers for all production requirements. Administration Ensure that the information entered onto Production Monitoring Systems by self or indirect reports is accurate, up to date and complete. To assist in the provision of reports from this system as required. Ensure all necessary permissions and picture rights cleared. To prepare orders and schedules for internal and external suppliers as laid down in Company guidelines. Follow divisional administrative procedures. Quality Control On delivery of the final content, to check: quality completeness costing delivery requirements met. Ensure that the work of the team, whether the product of the in house staff, or via freelancers or suppliers, achieves prescribed levels of quality. Communication To maintain adequate systems of communication Plan, organise, and delegate work, establishing guidelines on priorities. Identify training/development needs through induction training and ongoing review process to support achievement of business/ departmental/ personal goals; use opportunity to delegate and coach wherever possible. In conjunction with Executive Project Editor, monitor workloads on a regular basis to ensure fair division of labour within the publishing team. Ensure that deadlines are achieved, taking into account changing operational priorities. Manage and review costs and budgets. Collate and analyse information on publishing programmes as required and feedback information or concerns as necessary. All suppliers: Freelancers, designers, typesetters and printers. To work with assigned suppliers to ensure they meet the Company s requirements for schedule, quality, service and electronic material. To provide reports to the Production Managers about these suppliers as requested. Ensure timely and accurate data input into PACT post contract signed. Ensure correct and complete information is available to those who need access (e.g. permissions/copyright transfer, costings, schedules, etc.) Use company tools and systems to ensure quality criteria are achieved. With input from line manager, aim to improve quality through process change and assessment of freelancers and suppliers. Utilise or establish systems and procedures to ensure
4 for the dissemination of information on all matters relevant to the assigned content: author, Commissioning Editor, Publisher, Production Manager, Content Editors and other interested parties. Call, chair or attend meetings, as necessary. Technological Awareness Maintain an awareness of technical advances as they apply to the work of the team and the division as a whole, and to the wider issues of the electronic processing of text and graphics. Disseminate technical knowledge and information to other team members. Act to alert authors to both the opportunities and problems involved in working in digital formats, as required. Financial & Budgeting To ensure that all purchases of goods or services by self or team members constitute cost effective use of the Company s resources, and follow such policies and guidelines as may be laid down by the Division or Company. that collaboration, communication, co ordination, and inter departmental co operation occurs to maximise business efficiency. Use formal and informal meetings to disseminate or elicit information as required. Ensure the effective use of electronic facilities (whether provided in house, by authors, or by freelancers or other suppliers) to increase the efficiency of the team, enhance the quality of its output, or to meet author requirements. Work as required with Executive Project Editors in negotiating with suppliers; checking and approval of invoices for services (up to signing authority levels). Control and monitor appropriate usage of budgets. Ensure that appropriate remedial action is taken to achieve forecast targets with the required profit margin where necessary. What authority does the jobholder have? (People management, financial/budgetary accountability, materials, and capital items): People Responsibility for management of work within the team all content editors and publishing assistants. Allocate and monitor work within the team and report on progress as required. Financial Purchase of goods and services up to the limits specified in the Purchasing Procedure and within guidelines set down by the Directors. Provide costings for the production of books and other print or electronic product as required. Invoice approval up to limits specified by Company chart of authorities.
