1 ElderActive Recreation Association Job Description Program Coordinator BACKGROUND INFORMATION The responsibilities of the Program Coordinator are based on the ERA s vision, mission, strategic plan and policies set by its Board of Directors. The following identifies the relationship between the Program Coordinator, Office Manager, and the Board of Directors of the ElderActive Recreation Association (ERA). 1. Policy Governing Board of Directors The ERA Board sets policy for management and delegates the responsibility for the day to day management of programs and volunteer activities to the Coordinator. 2. Reporting Structure The Coordinator reports to the Office Manager, who reports to the President of the Board of Directors, or to the Executive Committee member designated by the Board. 3. Program Coordinator Authority Under the authority and delegation of the Board, the Coordinator assumes authority for the management of the ERA s day to day programs and volunteer activities. 4. Expectations by Program Coordinator of the ERA Board The Coordinator expects that the Executive Committee will: Develop and monitor strategic plans and guiding policies for the organization, Delegate responsibility and authority for management functions to the Coordinator, Regularly consult with, advise (through the Office Manager) and support the Coordinator, and Provide timely and appropriate performance appraisals for the Coordinator. 2 1. Knowledge of: Volunteer Board operations, General office procedures, and Program and event organization. QUALIFICATIONS 2. Skills and Abilities to: Efficiently operate computers using Excel, Word and Outlook computer programs, Communicate effectively both orally and in writing, Work independently and systematically, Build relationships and liaise with various colleagues, Stay within the parameters of a professional role, and Suggest changes in writing of policies and procedures. 3. Personal Suitability Sensitivity to different cultures, languages and lifestyles, Non-judgmental attitude, Flexibility, Commitment to confidentiality, Confident and respectful manner, and Tact and diplomacy. EQUIPMENT USED Computer, printer, photocopier, voice mail (should be able to troubleshoot minor problems). ROLES AND RESPONSIBILITIES OF THE ERA BOARD Pay the salary on a semi-monthly basis, Pay vacation pay at 6%, Pay the mandatory deductions and Workers' Compensation, and Follow the Yukon Employment Standards Act. HOURS OF WORK AND SALARY The Coordinator shall work: 20 hours per week, (Monday through Friday) at a rate of $18.00 to $22.00 per hour, DOE. Salary will be negotiated depending on abilities and experience, Be willing to travel when necessary, and Be willing to work flexible hours from time to time for special events. 3 SUMMARY OF PROGRAM COORDINATOR RESPONSIBILITIES Inherent in the responsibilities listed below, the Coordinator will organize ERA programs and volunteer activities, represent ERA in Yukon Communities, and encourage accessibility of ERA programs and resources to all Yukon Communities, and Manage the various programs and activities of the ElderActive Recreation Association, Facilitate ElderActive Recreation Association volunteer portion of fundraising activities, Manage ElderActive Recreation Association Programs, Events and Services by: Researching and coordinating opportunities for elder adults on behalf of ERA, Promoting and educating the Yukon general public, ERA membership and potential members on the benefits of active living for older adults and ERA s role in providing opportunities for pursuing an active life style, Creating and facilitating Leadership Development opportunities, Developing resources and an effective delivery system to ERA membership & potential members, and Other related duties. RESPONSIBILITIES IN DETAIL 1. Facilitates ElderActive Recreation Association Volunteer portion of fundraising activities by: Researching potential funding sources on behalf of ERA, Soliciting monetary and in-kind donations and sponsorship for ERA programs and events, Acting as a resource person for fundraising activities, and Lobbying various organizations for partnerships. 2. Manages ElderActive Recreation Association Programs, Events and Services by: (a) Yukon 55+ Games and Canada 55+ Games Acting as Yukon 55+ Games Coordinator; organizing participants, volunteers, promotion, registration/information packages, and Acting as Coordinator for "Team Yukon" contingent that attends Canada 55+ Games. (b) ERA Programs, Services and other Events Facilitate research, planning, development, promotion, implementation & evaluation of ERA programs, services and events, Research programs/services provided by similar organizations across Canada, Ensure that programs/services/events provided are consistent with ERA vision and goals, ERA Program Coordinator Job Description Revised May, 2017 Page 3
4 Act as liaison between program/event coordinators & volunteers and Board of Directors, Distributing program/services/event information to membership & communities, Order supplies related to programs/services/events and keep an inventory of same, Facilitate program/event registration and reports, and Cover for the Office Manager from time to time. 3. Researches and coordinates opportunities for Older Adults on behalf of ERA by: Promoting community awareness of active living for older adults, Networking with other organizations that support the vision and goals of ERA, Researching and exploring potential partnerships and building strong working relationships, Ensuring that views of older adults are adequately represented in decision-making, Encouraging older adults to voice their interest in active living, and, Promoting a higher level of interaction between communities in ERA activities. 4. Promotes and educates the Yukon general public, ERA membership and potential members on the benefits of active living for older adults, and ERA s role in providing opportunities for pursuing an active lifestyle by: Facilitating a communication plan with board to inform Yukon communities of ERA activities, Publishing regular newsletters and s to ERA members, Preparing media reports and advertising related to programs, and Encouraging more partnerships with Yukon Community Senior Groups. 5. Creates and facilitates Leadership Development Opportunities by: Identifying training desires and needs of Yukon active older adults, Identifying training needs for volunteers, program and event coordinators, Establishing peer leadership training sessions, and Ensuring equal access by all to training opportunities. 6. Develops resources and an effective delivery system to ERA membership and potential members by: Determining what resources will be most useful and applicable to Yukon older adults, Establishing a system in which resources are easily accessible, Creating and updating ERA programs and services pamphlets, Determining an effective method of communication of ERA programs, services, and activities, and Maintaining a storefront of available printed materials for members to access ERA Program Coordinator Job Description Revised May, 2017 Page 4
