The division of Student Recruitment is part of the External Relations Department and comprises: Admissions and enquiries (Centralised UG, Direct, HEU and international admissions, centralised student recruitment enquiry handling, data management and recruitment reporting, recruitment projects) Widening participation, outreach and events (schools and colleges liaison, widening participation (WP), open days, offer-holder days, UCAS and HE fairs) International recruitment (direct recruitment, agent management, Foundation programmes and recruitment through university partnerships). Purpose of the Role: Based in the Division of Student Recruitment within the External Relations Department, the person appointed will be responsible for making a significant contribution to the effective implementation of the University s student recruitment strategy. The role holder will be responsible for managing the planning and successful delivery of the University s central on-campus and virtual events, both undergraduate and postgraduate, as well as providing advice and support for recruitment events based in academic schools and departments. To this end, the role holder will need to liaise closely with teams across External
2 Relations, in particular with student recruitment marketing and corporate marketing teams, content and digital engagement teams, as well as with professional services and departmental-based academic and administrative colleagues. The role holder will also support the Head of Student Recruitment in developing the UK recruitment events strategy, with responsibility for monitoring performance against targets and KPIs and reporting on progress. The role holder will deputise for the Head of Student Recruitment where necessary. Main Responsibilities 1. Strategic planning, management and analysis of events % time per year 70% Manage the planning, organisation and delivery of the University s undergraduate and postgraduate student recruitment events, to support the University in achieving its recruitment targets whilst offering exceptional service to enquirers, visitors and applicants of the university. This includes leading the events officers and administrator in delivering the annual flagship undergraduate open days attracting around 40,000 visitors each year, as well as mini open days, undergraduate and postgraduate offer-holder events and other recruitment events. Review existing events provision through devising appropriate feedback mechanisms and evaluating competitor activities. Make recommendations and be proactive in taking a lead on innovations and developments to further improve and enhance events and ensure they are sector-leading. In liaison with the digital team, consider ways to further develop digital engagement and evaluate the most appropriate use of social media channels for promotion of the events. Oversee the development of virtual events. Manage the CRM events system and other online booking, registration systems and communications methods for events, including set-up, staff training, and trouble-shooting. Identify ongoing enhancements to the setup and systems used. Ensure service level agreements are met and excellent customer service is provided to enquirers and applicants at all times. Analyse recruitment events and admissions data, and review and report on a monthly basis on the effectiveness of the events and the impact on conversion. Work with colleagues in External Relations to identify and implement any necessary actions to boost interest and engagement in events. Oversee annual plans for the effective recruitment of student ambassadors for events, in partnership with WP and Schools and Colleges Liaison managers. Oversee the team s faculty account management model and take a lead in providing advice, guidance and events support to academic schools and departments in their event planning, organisation and delivery. Coordinate and chair meetings with internal and external stakeholders in relation to the organisation of recruitment events. Promote the central events programme to stakeholders across the University to ensure buy in and best practice. Manage and oversee maintenance of the events webpages and events
3 resource. Monitor a non-pay budget for events on a day to day basis under the direction of the Head of Student Recruitment, and review expenditure to ensure the most effective use of University resources for delivering events. 3. Leadership and management of the team 15% Lead and line-manage the Events team - four Events Officers and one Events Administrator - to ensure excellent customer service and successful delivery of the programme of undergraduate and postgraduate recruitment events. This includes planning and organising the work of the members of the team, and meeting regularly with individuals and the team to review objectives and ensure tasks are performed effectively to the required standard and within deadlines. Take responsibility for motivating, training, supporting and developing staff on a day to day basis, to ensure that individual contributions are maximised, with support and oversight from the Head of Student Recruitment. Manage workloads and identify any needs for extra team support at peak periods. Manage HR requirements including recruitment, annual performance review and goal-setting. Implement team policies and practice, including TOIL and leave policies, and manage staff welfare issues. 4. Implementation of UK student recruitment strategy 10% Support the Head of Student Recruitment in implementing the UK student recruitment strategy by attending regular planning and review meetings and promoting a strategic approach to undergraduate and postgraduate recruitment. Work closely to build effective working relationships and strong communication with colleagues in central and faculty marketing teams, other External Relations teams, and key internal stakeholders including academic and administrative colleagues in schools and departments, senior leaders and professional services colleagues. Deliver training sessions and provide input to schools and departments, offering advice on how they may engage with UK recruitment events activity and raising awareness of the Student Recruitment Team s services. Keep up to date with key issues and developments in HE recruitment and admissions. Contribute to the development of new projects and initiatives that impact on UK recruitment. 5. Other responsibilities 5% Attend UCAS Higher Education conventions as appropriate. Support University-wide events, including graduation and confirmation and clearing Provide training and support to recruitment and marketing colleagues based at the international campuses in China and Malaysia. Undertake any other duties commensurate to the role and level of the post. Knowledge, Skills, Qualifications & Experience
4 Qualifications/ Education Skills/Training Essential Educated to degree level or equivalent. Significant experience of events management and project management, with proven relevant work experience in the higher education sector. Proven skills in event planning and management. Proven project management and organisational skills, with the ability to work effectively under pressure to manage multiple tight deadlines and competing priorities. Proven analytical and problem solving capabilities. Excellent presentation and communication skills, with the ability to explain complex issues in clear, concise, persuasive language, both verbally and in writing. Excellent administrative and IT skills, including proficient knowledge and skills in using Microsoft Office, and proven ability to learn and train others in the use of new technologies. Desirable Understanding of social media channels and use of digital engagement, particularly in relation to events. Knowledge of the undergraduate and postgraduate application cycle. Web-editing skills Knowledge and skills in using a CRM system Experience Awareness of developments in higher education and key issues relating to undergraduate and postgraduate recruitment. Strong proof reading skills and attention to detail. Excellent interpersonal and negotiation skills, with the ability to interact confidently with students, parents, teachers and academic and professional services staff as well as members of University senior management. Significant experience in student recruitment or a related field. Significant event management experience, particularly focusing on large-scale events. Experience of managing concurrent Experience of coaching/mentoring, managing performance and supporting the development of colleagues.

Decision Making i) taken independently by the role holder; Day to day prioritisation of projects and decisions relating to the management and delegation of workloads to the team. Management of multi-team projects. Decisions regarding procurement of services and the best use of budget in relation to events. ii) taken in collaboration with others; The prioritisation of strategic projects/requests that involve significant time input and/or budgetary implications. The role holder will work closely with the Head of Student Recruitment to develop and promote the recruitment events strategy.

Scope of the Role The Student Recruitment Events Manager role makes a significant contribution to the recruitment of UK students to the University (both undergraduate and postgraduate). The role holder will manage a significant area of work (primarily focused on events management) and support the effective implementation of the undergraduate and postgraduate recruitment strategies. Additional Information The nature of the role means that out of hours work will be involved in running events and some flexibility is therefore essential. The Recruitment Events Team are based at University Park Campus.
