This role is an extremely valued position within school and one that plays a pivotal role in the success of our students. The appointee s duties will include the line management of the Data Team: Examinations Manager, Admissions and Data Officer and Attendance Officer. We are seeking to appoint a dedicated and enthusiastic individual with a broad range of database experience who is keen to be part of a strong team. The responsibilities of this role include: Gathering, maintaining and analysing school data and providing reports for the Senior Leadership Team and Governors. Using SIMS and FFT Aspire to set up student target grades. Completing returns, eg the School Census, for the County Council and Government. Providing advice and training to staff on the use of SIMS and the interpretation and use of data. Assisting with the inputting and scheduling of timetables in SIMS in partnership with the Senior Leadership Team. Responsibility for setting up and updating SIMS Assessment Manager, including for the production of class marksheets and student reports. Providing quality data on student absence levels to enable us to achieve high student attendance. Uploading and monitoring reporting data on the school s chosen package, eg 4Matrix. Summary of Details: In order to apply for this role it is essential that you have: Excellent skills and experience using Excel, Microsoft Office packages and SIMS. Experience working within a similar role, especially within a school environment. Experience of data management. The ability to build and maintain excellent professional relationships with colleagues. Experience in the use of software to support data management functions. Experience of planning and prioritising your own workload and managing competing demands. The appointee s duties will include the line management of the Data Team: Exams Manager, Admissions and Data Officer and the Attendance Officer. Duties/Responsibilities: Main Duties Include: SIMS To have overall responsibility for managing the school s SIMS administrative system and to maximise the operational status of all software (Nova T6, Curriculum Management, Options, Assessment Manager, etc.) to ensure the needs of the school are met. To have responsibility for the completion of all County/Government returns in relation to the schools databases, including the School Census, Learning Aims etc. To liaise closely with the IT Manager and the Deputy Headteacher/Leadership Team over planning, implementation and problem solving. To ensure the integrity, safety and security of administrative files on the network, including the back up of essential data/system files (within the Data Protection Act). To work closely with the IT Manager to ensure that SIMS modules are maintained through the programme of regular upgrades, communicating details of the changes within the system to appropriate staff. Creating pre-admission groups, importing CTFs and importing KS2 data.
3 Creating new users and setting up permissions, removing access when required. Maintenance of staff timetables. Data To have responsibility for the setting up and regular updating of SIMS Assessment Manager/Performance Analysis software. To co-ordinate and produce reports for each year group, creating result sets, linking and scheduling. Chasing staff to return information on time and ensuring that reporting schedules are maintained. Target setting, downloading results and liaising with the Leadership Team, entering targets for KS3 and KS4. To liaise with senior staff in respect of the setting up of student target grades using information from FFT Aspire. To organise the structuring of data on SIMS Assessment Manager to enable ease of access and use by school staff. To provide the data required by Subject Leaders for examination analysis and advise on and provide analyses of data as required by staff, including uploading and maintaining data sets on 4Matrix (or an equivalent package). To provide training for staff to enable them to understand any aspect of Assessment Manager that is relevant to their role. To oversee the operation of the parental reporting systems. Liaise with outside agencies and provide relevant data. Exams To line manage the Examinations Manager. To ensure the smooth running of the examination office and examinations cycle at all key stages both for internal and external exams and overseeing the management of the administrative duties associated with registrations and examinations. To ensure that all required information, including that for external candidates, is obtained and submitted accurately and securely, according to exam board regulations. Attendance To ensure high student attendance is achieved by providing necessary data to colleagues. To ensure that student absence is followed up daily with parents using the text alert system on the attendance module of Schoolcomms. Flexibility: To deliver services effectively, a degree of flexibility is needed and the post holder may be required to perform work not specifically referred to above. 4 Person Specification Job Title : Data and Assessment Manager Accountability : Deputy Headteacher, ultimately to Headteacher Qualifications: Educated to a minimum of A Level standard. NVQ Level 4 or equivalent qualification or experience in a relevant discipline. Experience: Demonstrable experience of development, management and operation of administrative/data systems, including SIMS, likely to have been gained over a period of 2 years (essential). Experience of timetable construction in SIMS (desirable). Experience of leading whole school initiatives (desirable). Skills & Abilities: Very good numerical skills to undertake a variety of tasks. Very good literacy skills to undertake a variety of tasks. Very good ICT skills, eg production of reports, correspondence, inputting/updating information. Excellent organisation skills. Able to maintain confidentiality. Able to work accurately and with attention to detail. Able to plan and prioritise own work to ensure that deadlines are met and manage conflicting deadlines. Able to manage the work of others. Able to undertake medium term planning (desirable). Able to analyse problems and use judgement to identify best practice solutions (desirable). Communication: Ability to communicate effectively at all levels.
