4 Background information eenrollment: a front-end, online tool that provides our plan sponsors, brokers, and members with the opportunity to manage and maintain an employee s application process. currently applies to qualified, existing Small Group plan sponsors only. makes the benefits enrollment process more efficient by replacing time-consuming, expensive, paperbased enrollment with a secure, comprehensive electronic administration solution. 4 ebusiness Overview

5 How plan sponsors access eenrollment Plan sponsors access eenrollment through Aetna s new employer portal, ebusiness for Employers. Plan Sponsors must use the Employer SECURE LOG IN to access the ebusiness site and the ebusiness tools available to them. Welcome announcements with secure login instructions are sent by mail or to new customers. We encourage you to include the plan sponsor s address on the Aetna Small Group Employer application so that the following information can be ed to customers: instructions about the on-boarding process Introduce them to our self-service administrative tools E-newsletters and other communications about Aetna products and services. 5 ebusiness Overview

6 How you access eenrollment Today June 2010 All Licensed and Appointed Brokers with active cases were granted access to eenrollment. Your IDs and Passwords were distributed based on how compensation is directed to the Agency. If you have questions about your login ID and password, please call ebusiness Overview

7 A new way to access eenrollment In late August, Aetna launched ebusiness for Brokers the new, secure portal for brokers and GAs. ebusiness for Brokers will help you simplify the way you do business by accessing all of our online administration tools all in one place. You will access ebusiness for Brokers through ProducerWorld. Sign up today for ProducerWorld if you are not already registered: Additional users (in your agency) can be designated to assist in processing transactions through eenrollment. 7 ebusiness Overview

8 Producer World ebusiness Link 1. After logging in, user clicks Small Group at top of the Producer World homepage to go to the Small Group Homepage. 2. On the Small Group Homepage, user clicks the ebusiness link in the Quoting, Underwriting and Enrollment section. 8 ebusiness Overview

9 How eenrollment works You are associated to plan sponsors through our commissions system. After a plan sponsor group health plan is installed, the plan sponsor can view the group data. You can view the group data once our commission system captures the broker of record. Upon completion of this association, you can view plan/member information and make administrative changes on behalf of your plan sponsors. 9 ebusiness Overview

10 How eenrollment works You can process the following transactions on behalf of your plan sponsors: Create an employee record Add/edit personal information View benefits available to an employee Add a benefit election for employee and dependents if applicable Terminate an employee s coverage Terminate benefits coverage for an employee/dependent 10 ebusiness Overview

11 Eligibility exclusions A small percentage of requests will still need to be sent via paper. Those include: All enrollment requests for members on group Medicare products Requests for COBRA members who are not on group bill, (i.e. individually billed members who are on COBRA/state continuation) Customers who have packaged products, either standalone or coupled with medical (includes packaged life, dental and disability) Dependent Life Plan Sponsors that are part of an association SRC Small Group Plan Sponsors California Pick-a-Plan locations with zero membership will not appear in eenrollment Employee Applications must be faxed in for Underwriting review Underwriting will review and reinstate the requested plan location Eligibility will apply the new employee to the reinstated location 11 ebusiness Overview

12 Transaction turnaround time Submission of an enrollment transaction usually takes 1 to 2 business days to process. However, some transactions require further review. Some of the common scenarios Aetna reviews are: Termination/Reinstatement processing Addition of new employees or existing employees who move out of state/change locations. These transactions require underwriting review to determine the correct rate to be charged to the employee Data Discrepancies (employment dates and effective dates) that need to be reviewed/resolved Individual Health Questionnaires (Connecticut) Remember to always review outstanding tasks on the eenrollment to do list, as unfinished tasks will cause delays to final enrollment. 12 ebusiness Overview

13 Helpful hints - Terminations Aetna Small Group terminations are at the end of the billable month for both HMO and PPO plans. The termination date needs to be entered as the end of the billable month even if the member is terminated mid-month. To terminate an employee: search for the employee, go to the administrative tools screen, then select the termination link. 13 ebusiness Overview

14 Helpful hints - Cancellations To cancel an employee s benefits: search for the employee, under the benefits tab select edit due to change reason then select Requested Cancellation. If the employee s benefits are being cancelled due to a reduction of hours: search for the employee, under the benefits tab select edit due to change reason then select Full Time to Part Time. 14 ebusiness Overview

15 Helpful hints Date of hire Aetna now requires the date of hire at time of enrollment. If this information is not provided, the date of birth will be defaulted and this may result in the following task: Date of Hire is the same or before Date of Birth. Review the date of hire on the work tab, and update accordingly. Note: This task must be resolved before the transaction will be completed. 15 ebusiness Overview

17 Paperless benefits transactions Now that you have attended training, it is no longer necessary for you to send enrollments, changes, and terminations to us via paper. Benefits data can be transmitted electronically to Aetna through eenrollment. No paper! Enter all new information online using eenrollment Updates occur electronically 17 ebusiness Overview

18 Additional ebusiness Tools We are making enhancements beyond eenrollment! These new tools will include: ebilling Currently available for new business customers in AZ, CA, NJ, NV, PA, TX, AND WA. All new business will be eligible for ebilling by the end of year. esales Will provide a number of tools and components that can improve the pre-sales process for brokers. This new tool will enable you to track prospects, run reports and prepare quotes. 18 ebusiness Overview
