1 What's New in ARCHIBUS V.20.2 ARCHIBUS V.20.2 includes enhancements throughout the product. The Web Central platform adds support for WebKit-compatible browsers, Safari and Google, to support mobile Wi-FI uses of ARCHIBUS. Web Central s ESRI ArcGIS Online views now have an improved interface, new map layers, and interactive geolocation features. The Web Central platform also adds new facilities for creating document libraries, event and task notifications, and recurring events. The Compliance Management and Environmental Health & Safety applications employ these new capabilities. The Smart Client adds Windows-Integrated Authentication, and the Smart Client Extensions for Revit and AutoCAD support Revit 2013 and AutoCAD A new Compliance Management application helps property and facility professionals stay on top of construction, zoning, and environmental regulations and events. A new Reservations Plugin for Microsoft Outlook lets users throughout the enterprise create and manage their ARCHIBUS room reservations directly from within the widely deployed Outlook environment. Read Me First There are important enhancements to other ARCHIBUS applications as well. For example, the Real Estate Portfolio Management domain applications add new KPI dashboards, communication logs for leases, and support for the GSA's 2011 Guidance in the US Federal Property Registry. The Capital Project Management domain applications include S-curve charts to show cumulative costs and labor hours, and notifications for expiration for unallocated funds. And the Environmental Health & Safety application includes a wide range of form, notification, and reporting enhancements. Sample User Accounts This version of the product has several sample user accounts that you can use to explore the various role-based features and functions. These sample accounts highlight the following product features: Demonstrating Roles: AFMDEMO1, AFMDEMO2, etc. or AIDEMO1, AIDEMO2, etc. Demonstrating locales: AFMDEMODE, AFMDEMOFR, AFMDEMOES, etc. or AIDEMODE, AIDEMOFR, AIDEMOES, etc. Accessing executive reports: AFMDEMO5 or AIDEMO5 Administering processes and roles: ADMIN or AIADMIN To use of these accounts: Use the "AFM" users if you have an application-style license for ARCHIBUS. Use the "AI" users if you have a domain-style license. All the process assignments are role-based. If you want to assign the same list of processes to a new user, just create your own user and assign it that same role. What's New in ARCHBIUS V.20.2 ARCHIBUS, Inc. 1

2 Platform Enhancements Smart Client Extensions for AutoCAD and Revit Autodesk s AutoCAD AutoCAD 2013 and AutoCAD Architecture 2013 are now formally supported. Autodesk s Revit Revit Architecture 2013 and Revit MEP 2013 are now formally supported. Web Central Google Chrome Browser Support. ARCHIBUS now formally supports the Google Chrome browser. This feature is of particular interest to sites that use ARCHIBUS from mobile Wi-Fi devices, such as Android tablets, that require a WebKit-compatible browser or that standardize on Google Chrome as their corporate browser. Safari Browser Support. ARCHIBUS now formally supports the Safari browser. This feature is of interest to sites that use ARCHIBUS from mobile devices that require a WebKitcompatible browser, such as the ipad. Please see the ARCHIBUS System Requirements for full version and compatibility information: single_user_install/system_requirements.htm Web Central Platform Features Report-Only View Definition Wizard. By simplifying the options and reducing what and how data can be accessed, the Report Only View Definition Wizard is suitable for use by a wider range of users than the business process owners and system administrators for whom the full View Definition Wizard is designed. Sensitive data can be protected while still providing extensive custom reporting flexibility to power users. In addition to being restricted to only creating reports, as opposed to edit forms and reports, this simplified View Definition Wizard can be further restricted to limit from which tables users can create reports. This Wizard can be accessed on the Process Navigator at: System Administration / ARCHIBUS System Administration / Add-In Manager / Run Report Only View Definition Wizard Document Library. The document management features have been enhanced to add capabilities for: Associating an unlimited number of documents with individual assets or other records, such as regulations. Organizing documents in a virtual folder structure. Categorizing documents using attributes. The Document Library features have been utilized in the Compliance Management and Environmental Health & Safety applications. Notifications Templates. Notification functionality now includes configurable support for multiple notifications based on events or tasks. Re-usable notification template features include configurable: Flexible triggering conditions based on values from specified date and/or status fields and conditions. Message subjects and bodies. Recipient lists. Notification Templates have been implemented in the Compliance Management application. What's New in ARCHBIUS V.20.2 ARCHIBUS, Inc. 2

3 Recurring Scheduling. A re-usable interface for defining recurring schedules for tasks or events is now supported. The interface includes similar scheduling features to those that Microsoft Outlook supports for recurring meetings. The Compliance Management and Environmental Health & Safety applications make use of this feature. Web Central GIS Views Improved Interface. Within Web Central, the embedded ArcGIS Online views that use JavaScript have an improved user interface as compared to the original V20.1 product, including an enhanced hybrid layer, consistent sizing within panels, and a better zoom-tomarker behavior. New Map Layers. Add in Managers will find they can use additional basemaps for their GIS views, such as Light Gray Canvas, National Geographic, and Oceans, plus additional specialty maps such as USA Social Vulnerability Index and USA Population by Sex. Geolocation Features. A new tool enables add-in managers to create views that allow users to select latitude and longitude locations directly from Web Central without a geocoding step. This enables more precise positioning of geocoded assets as well as placement of assets that do not have specific street addresses, such as storage locations that are outside of buildings. For an example, see the following Process Navigator task: Technologies / User Interface Add-Ins / Geographical Information System (GIS) Views / Locate Asset Example Windows-Integrated Authentication The Smart Client now supports Windows-Integrated Authentication. If your Web Central Server is configured for Windows-style authentication, a new "Use Windows authentication" checkbox appears as an option on the Sign In form. The Smart Client Web Services will negotiate with the SSO server as to which built-in Windows authentication protocol (Kerberos or NTLM) to use. The Smart Client will use the network credentials of the current Windows user. 4 New Business Applications Compliance Management Property and facilities professionals must comply with an often bewildering array of regulations. Permits for construction, occupancy, underground tanks and elevators, filings for the European Accessibility Act, the Americans with Disabilities Act, the Clean Air Act, and the Spill Prevention, Control, and Countermeasures rule; zoning regulations and meetings -- all these regulations occur on different schedules yet have exacting requirements. A single missed deadline can delay construction or occupancy and cause far-reaching consequences within an organization. The ARCHIBUS Compliance Management application helps you define regulation programs and initiatives and manage the tasks, notifications, and documents you need to ensure compliance with regulatory strictures. For more information, please see these topics in ARCHIBUS Help under Environmental & Risk Management/Compliance Management: Compliance Management Application Overview ( ontent/compliance/compliance_over.htm) Compliance Management Getting Started ( ontent/compliance/get_started/get_start_over.htm ) Reservations Plugin for Microsoft Outlook Building occupants often use Microsoft Outlook to schedule meetings and invite attendees, and then want to reserve meeting rooms and other resources, such as projectors or catering, within ARCHIBUS. The new Reservations Plugin allows the entire staff to work directly in Microsoft Outlook to add a reservation for a conference room or other meeting place using ARCHIBUS Reservations. The Plugin finds rooms available at the same time as the appointment, and lets the meeting initiator view an interactive floor plan that zooms to that room's location. One click launches the full ARCHIBUS Reservations dialog for adding other resources. If you update an appointment in Outlook, with an action such as drag-and-drop to a new day, the Plugin updates the corresponding room and resource reservation in the ARCHIBUS Reservations application. 5 Business Application Enhancements Real Estate Portfolio Management Portfolio Management. Updates to the Global Portfolio Dashboard KPI metric and charting user interface have been provided. You can access the dashboard from the Real Estate Portfolio Management / Portfolio Management / Portfolio Summary / Global Portfolio Dashboard. Lease Administration. This application now supports communication logs for managing lease portfolios using Web Central. These tie to the communication logs in the Project Management application. You can access these communication log features on the Process Navigator at: Real Estate Portfolio Management / Lease Administration / Lease Portfolio. US Federal Property Registry. In compliance with EO 13327, the ARCHIBUS US Federal Property Registry application includes updates to support the data model defined by the United States GSA Office of Governmentwide Policy s 2011 Guidance for Real Property Inventory Reporting and as such can be used as the core inventory and data transaction management function for managing government real property assets. Capital Project Management Project Management. This application now provides S-curve charts to show cumulative costs and labor hours in a project over time. Within one graph, you can compare the S-curve progress against monthly, yearly, or quarterly baseline and actual hours and costs. You can access these features on the Process Navigator at: Capital Project Management / Project Management / Monitor / View S-Curve Analysis of Project Progress. Commissioning. This application now provides Commissioning Equipment Details with lifecycle analysis available at the click of a button. You can access this single form for all equipment and commissioning related data from the following Process Navigator task: Capital Project Management / Commissioning / Post-Construction / Commission Equipment. 6 Capital Budgeting. This application now provides an Unallocated Funds by End Dates report that indicates what funding remains available and when it will expire. You can access this report on the Process Navigator at: Capital Project Management / Capital Budgeting / Allocate / Unallocated Funds by End Dates. Workplace Services and Building Operations Service Desk and On Demand Work These applications now allow the Service Desk Manager to define substitutes for all steps and all roles in the workflow. Substitutes for steps include approval, estimation, and scheduling. Substitutes for roles include Service Provider, Supervisor, and Craftsperson. Substitutes may be either permanent or temporary. Permanent substitutes always have the chance to execute on tasks for the person they are substituting; temporary substitutes may execute on tasks only during a defined date range. The system will send notifications to substitutes, letting them know that requests for which they are assigned as substitutes deserve their attention. Requests for which a user is a substitute may appear in the user s queue in a pre-defined highlighted color. Use these tasks to access this new feature: Building Operations / On Demand Work / Service Desk Manager / Schedule Substitutes Workplace Services / Service Desk / Service Desk Manager / Schedule Substitutes Move Management Enterprise Move Management. This application contains enhancements for Move Managers including support for creating multiple moves in a sequence without needing to return to the menu to reload the view, and the ability for the Move Project Managers to view only moves assigned to him/her. Environmental & Risk Management Environmental Health & Safety. This application contains a number of enhancements, including: Self-serve, simplified entry form for any individual of the organization to enter and track safety incidents themselves. Simplified form and workflow around detailed incident tracking. Redlines on drawings to denote the boundary of an incident graphically. Integration with the Service Desk application so you can create requests from within the incident tracking forms, route them to assigned managers, and track them to completion. Automated notification of safety officers for user-selected incident types. Support for multiple persons for each incident. Added ability to track work roles by location. Tighter integration between incidents and related training, medical monitoring, PPE, and work restrictions. Generation of a formatted OSHA-301 PDF report, and an Incident Log report patterned after OSHA Form 300. Additional management reports, including charts showing incidents over time. Waste Management. This application contains a number of enhancements including a new GIS-based tool to define locations of storage areas directly on a Web Central map, and Link to the Materials Safety Data Sheet application information.
