4 Location: York University Geomatics Engineering Faculty joined the meeting at 11:00 am to talk about the Geomatics program followed by a tour of the campus. They also joined Council for lunch.
5 Housekeeping Activities at Each Council Meeting Agenda review Reminder of Conflicts of Interest Approval and discussion of previous minutes Update of Action Items from previous minutes: Closing of ISTO Corporation moving forward technical staff are urged to join AOLS as Associate Members Design a Fees Study underway and will be out to membership sometime in June Discipline Chair is in the process of crafting a policy statement concerning levied costs for Discipline
6 Staff Reports ED, Blain Attended a joint meeting with all other Executive Directors Visited Public Works and Government Services Canada to discuss how they can work better with Association Firms. Working with the Archival and Historical Committee to prepare a book on the history of the Association for the 2017 AGM. The book will be based on major impacts on the Association during its history. For instance the accompanying chart shows the highest number of new members per year to occur during the decade after the Second World War. The book will answer why!
7 Staff Reports Registrar, Bill Buck AERC is almost at the end of the Articling Changes Process Fair Access to the Regulated Professions (FARPA) will meet with the Registrar and Executive Director on June 25 th, 2014 AOLS/York Project has applied for an extension Survey Review Department Manager, Tim Hartley Sticker sales are lower than they were at this time last year and that may be a reflection of the economy SRD still needs to deal with the idea of project and the question exactly what a sticker should go on SRD will need to hire another consultant to do the Comprehensive Reviews.
8 Review of Objectives for Negotiations well advanced with at least one university for a specialization in cadastral surveying 2. At least two new professional development courses and one technical course available to members and associates 3. C of R entry process streamlined and simplified 4. Codified standards practice manual completed; 5. Complaints Committee Procedural Manual completed 6. Autonomous governance structure for ODCC in place 7. By-law for provincial survey records index (SRI) approved 8. SRI system designed and ready to populate
9 Strategic Planning Update Strategic Plan Tracking Sheet Activities are tracked and reviewed weekly by ED/Program Manager and monthly by Executive Committee Specific Activities Salary Survey went to membership concerning Salary Survey June 13 th, 2014 Complaints Manual Draft has been sent from the Complaints Committee to Council for approval and will be dealt with at the summer meeting Practice Manual Paul Wyman has been hired as the Project Manager for the creation of the new Practice Manual Province Wide Survey Records Index Brian Maloney has been hired as the Manager for the development of a Province Wide Index
10 ODCC report by Guests Bruce Baker, and Brian Maloney Creation of the Co-op is ongoing and a Co-Op specialist has been hired ODCC is recommending that the AOLS not have an ownership position in ODCC The structure is still evolving but Council agreed to relinquish ownership to the Co-Op when the time is right Council also passed a motion that all money expended for ODCC over the past years is forgiven There were questions about government departments being involved and it was felt that they should be treated as any other potential shareholder. This is still to be finalized. The ODCC company combined with the Co-Op seems fair to all size firms, individual members and organizations
11 Financial report by Finance Councillor Russ Hogan The AOLS is fitting with the budget in that both revenues and expenses are in line There is one line item of special Council funding for projects and this is being used as follows: $25,000 has been committed to AERC Other funds to support the Practice Manual and the Province Wide Index Finance Councillor and Executive Director have a meeting with a Financial Planner to try to increase the returns on our investments. Special thanks to Bruce Clark, OLS, ALS for his introduction to the financial advisor that the Alberta Association uses.
