4 Message from the MD Our mission is to provide the U.K government and industry with a 100% secure IT disposal and data destruction solution to protect the national infrastructure and contribute to the well being of all businesses large and small. Develop open and honest relationships with all customers and provide them with solutions that meet their sustainability and CSR agendas. We continually improve and develop leading edge secure solutions to meet the changing needs of our valued clients. We manage and develop our employees so they can contribute fully to the successful development of the company. We provide a happy, safe and productive environment for our team to develop. Our vision is to be recognised as best in class and the supplier of choice for IT disposal and secure data destruction in the U.K. We want our employees to be motivated and individually developed, contributing to the continuous improvement of the business and sharing in the resulting rewards. 5 Company Summary Secure I.T. Disposals Ltd is a secure computer recycling and disposal company offering a range of services including: Secure collection of redundant IT equipment UK MoD secure data sanitisation WEEE compliant recycling Remarketing of reusable equipment Onsite data destruction Our key activities are IT disposal and secure data destruction. Since 2003 we have processed over 2.3 million items of IT equipment. In 2015 we processed over 175,000 items, and over 1.5 million data bearing items. With the clients consent the objective in all cases is to refurbish and reuse as much equipment as possible. Everything we do is within the framework of our comprehensive integrated management systems. From the very beginning in 1991 we have had a zero landfill policy in place with recycling residues. However, a significant number of our clients require total destruction and recycling of their equipment. 5

6 History The business was originally established in 1991 by Andrew Speedie and became Secure I.T. Disposals Ltd in 2003 when two of the current management team, Laurence Speedie and Mark Burgoyne joined. Martin Burke joined the company in 2006 as Managing Director. Coming from a high tech computer background, Andrew s objective was to create a very different asset disposal company with the emphasis on compliance, security and providing a new alternative to the traditional waste management offering provided by the existing market. The company has moved premises three times since 1991, with the move to the current premises taking place in This site was chosen for its central location in the UK and its proximity to the motorway network. 6

7 Historically the market was dominated by large waste organisations that focused on volume and throughput, but were unable to provide detailed security plans and bespoke reporting to customers regarding the end destination of individual items and waste streams. Audit Security Detailed Reports Andrew s technical background assisted him in developing a bespoke system that enabled tracking of every item to its final destination be that refurbishment and reuse or recycling. Since then the company has continued this work and put in place policies and procedures that have met the approval of many of the largest and most demanding organisations in the U.K. The company currently employs over 45 people who were, in the main, long term unemployed and has an annual turnover in excess 2.1m. As well as many key high profile organisations. We are now sole supplier to many government departments and other commercial organisations who have key roles in protecting the national infrastructure. As the company has developed we have been able to direct resources into developing both our environmental polices and our CSR provision to both local and national organisations. The company has from the outset always provided its services without using sub-contractors. This allows for much greater control over service delivery. Audit Security Detailed Reports 7

9 Accreditations & Licences All have been reaccredited within the last 12 months. To comply with the requirements of our customers, each item of equipment goes through a robust assessment audit and data sanitisation process. In 2004 we were the first in the world to be accredited by BSi ISO certification in the computer recycling sector. 9

11 Corporate Social Responsibility The Managing Director has overall responsibility for all environmental, sustainability and CSR activities. Initiatives are either proposed internally or driven by external customer requests. The commercial well being of the company is directly linked to sustainability with 70% of revenue coming either from resale of refurbished second user equipment or through sale of recyclable materials. We have taken part in a large number of CSR activities over the past 5 years including: Through our partnership with Service Birmingham, over 1000 computers have been provided to good causes in the West Midlands area in the last three years. SITD has provided funding for two days health screening for the fantastic charity CRY which aims to prevent sudden death in the age groups from undiagnosed heart conditions. We have also reached the finals of the prestigious National IT awards for our work in the area of Sustainability. 11

12 Setting up of a community shop in a deprived area offering free advice and very low cost computer systems to the local community. This two year project closed in 2012 as the donated site was redeveloped. However during the period it was hailed by Microsoft as an example of outstanding CSR and a promotional video was produced by Microsoft to be used internally by Microsoft worldwide. In recognition that some members of the community are unable to dispose of equipment which contain very confidential data in a secure and compliant manner. In conjunction with the city council SITD provide a free collection service to disabled and elderly residents. In addition we provide a free service to any individuals who are able to deliver in equipment. Currently engaged with a school providing provision to year old excluded from mainstream education to provide vocational skills in the recycling and repair of IT equipment. A mini refurbishment centre has been set up with all products repaired and tested being sold to the local community. This is done inside a robust framework ensuring all compliance and safety legislation is complied with. During the last five years over 1000 computer systems have either been donated to charities or provided at cost ( per system) and come complete with Microsoft Windows and Microsoft Office. As a company we provide music to our processing and warehouse staff, and subsequently subscribe to PRS and PPL Whilst the above have been exciting and rewarding, the real work in the areas of CSR and sustainability is completed on a daily basis by our committed team 12

14 Key Clients Secure I.T. Disposals service over 1000 clients ranging from the local primary school right up to the highest levels of government and services all business sectors. Our key clients are mainly large corporate where we either provide our services on their behalf to their clients or directly to them. Due to confidentiality, we are unable to provide a detailed list and have had to omit a number of top tier clients. However the list below will give an indication of our main client base. As part of our ongoing contractual commitment to customers, annual sustainability questionnaires are completed. Major customers audit us on an annual basis to ensure that policies are flowed down the supply chain. The Royal Household Buckingham Palace 14

15 Recycling Partners Since the beginning SITD has maintained a zero landfill policy. All equipment that can not be reused is dismantled in to various waste streams and sent for further processing by our down stream recycling management partner companies. As SITD are fully licenced by the Environment Agency, all of our down stream partners are also licensed by the Environment Agency. Since SITD are accredited by BSI to ISO 14001, we endeavour to use recycling partners who are also accredited to ISO

Disposals Ltd operate a customer focused business and we are committed to ensuring that our customers consistently receive products and services that meet or exceed their requirements. We recognise our duty to protect the environment; it is a primary objective of our business. We constantly review all operations and practices to ensure that our processes have a minimum impact on the environment as well as complying with current legislation. We will take positive steps to prevent pollution, conserve resources and energy, minimising emissions and waste, together with recycling our products and waste where environmentally practicable. Our Environmental Management System is designed to meet the requirements of the Standard, ISO 14001: 2004 The scope of this system is; The Secure disposal of redundant IT equipment and data destruction at Secure House, 53 Kettles Wood Drive, Woodgate Business Park, Birmingham and at customers premises throughout the UK and Europe. This includes the collection, audit, refurbishment, data sanitisation, remarketing and recycling of all IT equipment. We are committed to continual improvements on an annual basis, we review and audit our system, monitor and analyse customer, employee and community feedback and our performance, to identify our environmental objectives and targets. The Board of Directors take full responsibility for these policies, for ensuring that they are implemented, maintained, communicated and that adequate resources are provided. 16

17 Environmental and Social Review As a waste management company we are supposed to be inspected by the Environment Agency every 3 months. However since the Environment Agency considers us a low risk operation we are generally inspected every 12 months. As a company that collects and processes IT equipment we handle a significant volume of equipment classified as hazardous. These being CRT monitors (containing lead), laptops (containing mercury) and lead acid batteries. Whilst every endeavour is made with our clients to allow us to destroy any data, remove all client markings, and resell their equipment, often a significant number of our clients, who for security reasons, require that all equipment is destroyed. This is not our preferred option but we are bound by our client s security requirements. As part of our ongoing commitment to our ISO accreditation regular management reviews are carried out. Within the resources of the company, actions are put in place to minimise environmental impacts. We recognise that this is an area that can be further developed primarily in the formalising and publication of our actions and impact. 17

18 As a result of internal reviews, a number of key Environmental and CSR areas where improvements may be achievable were highlighted. We Identified: Electricity Paper General Waste Recycling Local Sourcing Transport Packaging Water (details can be found in the Targets section of this document) 18

19 Millions Thousands Electricity We only use gas and water for heating and general facilities. The main utility consumed is electricity. We take our energy usage very seriously and are constantly looking for ways to reduce consumption. Over the past 12 months we have embarked on a program to turn off all equipment when not in use. Whilst we employ less than 50 people, we have a number of industrial shredders and at times can have up to 400 PCs and laptops switched on erasing their hard drives. The results of this program is shown in the graph below. Items processed per kwh Electric kwh Items Processed All 2016 figures are up to end of Q3 We realise that as the volumes of equipment that we process increases, the volume of energy we consume will also increase. Therefore we are targeting the average energy used to process an item. 19

20 Transport We are very aware of our environmental foot print and take all reasonable steps to ensure that the utilisation of our fleet is at its optimum. This includes working with customers so we can collect the maximum capacity of the vehicle, sending the right size of vehicle for the weight of the equipment we are collecting and performing round-robin collections when collecting small volumes of equipment from a number of clients in the same geographic area. Other steps taken to reduce our fuel consumption include participating in the Energy Saving Trust Smarter Driving programme, monitoring of fuel usage by vehicle and driver and planning the journey to avoid rush hours. We compare the number of miles our vehicles travel and the number of litres of diesel they consume against the number of items we collect and process. Previously we just recorded mileage and fuel consumption, this was used to monitor driver and vehicle performance. It is our intention to compare both mileage and fuel used historically to get us a reliable benchmark on which we can build upon. This data is then used to compare the number of litres of fuel used against the number of items collected. 20

23 Local Sourcing Whilst SITD is not a manufacture or distributor we do endeavour to purchase both locally and sustainably. For example when we need to purchase card board boxes or one ton builder type bags we always buy from firms located within a 10 mile radius, and where possible buy misprints or end of production runs. When buying equipment for the running of the business we will always investigate purchasing refurbish or second hand equipment. To the extent that the only significant new equipment purchased for general use are the alarm system and telephone system Paper & Cardboard SITD shred many tons of confidential paper for clients every year. All paper that we shred is baled and sent for recycling to Kappa who have one of the last paper mills in the country located in Birmingham. We also recover paper that is left in printers that we collect for processing. All plain paper, card and even coloured paper is used internally. This has significantly reduced the amount of virgin paper SITD has to purchase. Once we have used it, it is then shredded and sent for recycling. Any paper that can identify the client, i.e. headed paper, is shredded and sent for recycling. 23

24 General Waste Producing more waste streams for further recycling, has enabled us to half the annual number of general waste skips required. SITD is classified by the Environment Agency as a waste management operation and as such we hold a number of licences to allow us to process IT equipment. 27 Packaging Up to 2005 we marketed best in industry packaging for dispatch of sensitive IT equipment. This was a foam moulding packaging system utilising chemical foam. However after a review it was determined that the foam produced was not biodegradable. Following the purchase of a packaging shredding machine in 2005, the new eco friendly system was piloted and customer damaged returns monitored. Following a successful pilot with no discernible increase in returns (less than 0.2%) the chemical packaging system was removed from use. The other benefit is we are now able to utilise all incoming packaging from collected equipment, for use our outward packaging department, reducing the amount of cardboard that goes for recycling to nearly zero. 27

28 Water Whilst SITD do not use water as part of our process, only as drinks and toilet facilities, we have installed an infra-red sensor in the male toilets to control the water flow. The installation of this automatic valve reduced our water consumption by over nearly 75%. We are currently investigating using rain water to provide water for washing the vehicles. Reuse An important part of our process development has been completed to give customers the confidence to agree to reuse options on sanitized equipment. Currently SITD has a dedicated refurbishment and resale division with 24% of the staff employed on this activity. We aim to reuse all equipment that is economically viable, even at breakeven level. All faulty equipment is assessed for repair and where economically viable is repaired and put through the remarketing channel. Otherwise it is dismantled and sent for recycling. 28

As a result of this 95% of all fixtures and equipment in the organisation has been obtained from using items that would have been destined for waste. This includes All IT equipment (including server room) and all furniture and general office equipment. Waste to Power 6.1% 29

30 Staff Development We are an accredited Investors in People organisation and devote significant resources to training and developing our team. This includes providing external training up to and including NVQ level 4. Drivers participate in the Energy Saving Trust Smarter Driving programme, and All have undertaken Driver CPC Wherever possible we employ local people and have an Equality Policy which we believe allows everyone an equal opportunity. 30
