6 Choosing a sustainable destination When choosing a sustainable destination consider the following four areas: Environmental Performance: Air quality, use of renewable energy sources, the accessibility of public transport, traffic congestion and waste disposal infrastructure. Social Performance: Level of social development, inequality and corruption Supplier Performance: Sustainable practices of the destination s suppliers such as hotels, caterers, restaurants and venues 6 CVB Performance: Analyze the CVB. Consider the sustainability strategy and reporting, the client support offered and their role in promoting sustainability in events. The city of Kyoto has a landfill diversion rate of practically 100%!

9 Choosing a Sustainable Venue Look for venues with green policies, practices and certifications. A venue with proper sustainability management in place will automatically make your sustainability efforts much easier to implement! 10 Develop a policy Send venue Requirements: - Are you third-party certified in sustainability? - Do you have a sustainability committee, team or responsible individual? - Do you have at least 4 recycling streams? - Do you have an energy management plan with reduction targets? - Do you train staff regularly on environmental awareness and sustainability? - Are you able to measure and report on waste, water and energy use? Include clause in contract

14 Opting for a More Sustainable Menu Water-Wise Menu Source locally to avoid emissions from long-distance transport Promote exciting vegetarian dishes Pay attention to your carbon and water footprint According to the Water Footprint Network: Beef has 3.5 times the water footprint of chicken, and 8 times that of vegetarian option Choosing chicken over beef for a 2650 person banquet saves enough water to fill an Olympic-size swimming pool Don t forget about utensils! Minimize water bottles by opting for tap water (if available) or bulk dispensers in carafes, and replace disposable service-ware with reusable or biodegradable options 14

25 Reduce Carpet Waste Merchandise Reduce the area of carpets needed Rent carpets instead of buying them Rent reused carpet tiles Switch to recyclable carpet Switch to carpet made from recycled materials Eradicate water bottles and save on costs Use condiment stands instead of individualised packages Eliminate single-use items such as plastic cutlery If merchandise must be sourced, make sure only the necessary amount is purchases and not more Rethink whether merchandise is reusable and useful Reducing merchandise also reduces costs 25

26 Key Achievements: Exhibition We eliminated the use of bags and disposable plastic badges. We used cotton lanyards and recycled cardboard. For the exhibition we only used reusable modular stands with very minimal waste. Exhibitors were asked to bring the minimal amount of brochures and merchandising. We only printed 50 event program books (instead of 1500) Eliminating printing, plastic badge holders and programs produced $11,700 in savings

38 ICCB 2017 Carbon Offsetting $12K was invested in 2 certified local projects. One on the reforestation and restauration of over 4000 hectares in Puerto Carreño, Vichada The other on reducing the consumption of firewood by constructing and installing efficient cooking stoves in rural communities of Colombia. These projects will help offset 100% of the event s carbon emissions.

44 Make your efforts visible SAP created an infographic to communicate the sustainability initiatives implemented at their Kick-Off meeting to their attendees. These signs were either printed on recycled PET banners (which were turned into tote bags after the event) or utilised digital signage. 44

52 Report: Association Case Studies Danish Maritime Forum 2015 The Danish Maritime Days run international conference was held in Copenhagen and attracted 200 delegates. Achievements Sustainability related savings (net): 26,000 Return on Investment (ROI) of 473% Waste diversion rate of 100%, with the event generating a sum total of only 0.92kg of waste. Run community outreach programmes educating over 1,600 children on the importance the maritime industry s role in marine conservation Engineers Australia Convention 2014 Hosted by Engineers Australia, Convention 2014 brought together 2,070 delegates in Melbourne to advance the engineering profession through sharing of expertise. Achievements Average waste/pax of 3.6kg, with a further 89% of waste being diverted 100% of food and cold beverages sourced from Australia, and 93% from within Victoria Engaged 6 Australian non-profit organisations (e.g., food distributing services like SecondBite and OzHarvest and local engineering projects like Engineers Without Borders) 52

53 Report: Corporate Case Studies Symantec Vision Symposium 2014 The global event series was held in Paris, Munich, Dubai and London, and saw 2,757 delegates globally.
