1 Empowering young people to own their economic success! Thank you for volunteering to assist the students at JA BizTown! The job you have today is very important as Chief Volunteer Officer (CVO). Your duties include: Providing guidance and assistance to students. Be certain break rotations and lunch schedules are followed. Share your personal work experience with the students and coach them throughout the day as they work through their tasks. Sample Daily Schedule Student Welcome/Orientation: Business Start-Up: 10 minutes 45 Minutes Staff meeting Business supplies purchased from UPS Students read/review job responsibilities Business loans processed at bank Price-setting occurs Opening Town Meeting: 20 Minutes Mayor introduction and swear in; he/she will present their speech highlighting the importance of voting, striving to be Citizen of the Day, and working to win the Quality Business Award Retail/manufacturing business CEOs present description of items Employee Work/Break Rotations: 1 hour First employee bank deposit & open savings account Retail businesses open for sales Employees are break shop Staff Meeting & Lunch: 40 Minutes JA BizTown businesses are temporarily closed ½ of students each lunch while others are in businesses for Staff Meetings; after 20 minutes, students switch Employee Work/Break Rotations: Second employee bank deposit Employee shopping continues 1hour Business Cleanup & Final Staff Meeting: 15 Minutes Business restored to original set-up Students prepare for final staff meeting Closing Town Meeting: 20 Minutes Mayor speaks Citizen of the Day and Quality Business Award presented Voting results reported End-of-Day Reports from a few BizTown citizens 1
2 Please remember all unanswerable questions or concerns should be referred to a JA BizTown staff member. Business Start-Up 45 minutes, volunteer led Introduce yourself to the students and help them find their appropriate seats. If there is a student in your group who does not remember their job title, place the question mark outside of your business and a wait for a JA Staff Member to assist you. Have all students to read their Student Binder (green binders on desks) o CEO: - Complete their speeches for the Opening Town Meeting. - Sign the paychecks after the CFO prints them. - Remove the Business Costs Sheet from the BizPrep Packet and give to the CFO. - Bring the Loan Application and Promissory Note from the BizPrep Packet to the bank. o CFO: The CFO must add all employees in the computer and print the first paychecks. If they complete this, they can print the second batch of paychecks. o All other BizTown citizens: Employees must read their student binder and should only complete the tasks listed on the first page. Deposit Ticket: All students must have a completed deposit ticket and check for $1.50 (to open a savings account) prior to the Opening Town Meeting. Job Title Gross Pay Net Pay CEO $9.00 $8.82 CFO $8.50 $8.33 JA BizTown employees $8.00 $7.84 Price Setting: You should meet with all employees to decide upon the prices to be charged for items being sold today to JA BizTown citizens. Record the selected prices on the UPS Inventory Sheet, then write the prices on the plastic board in your business. Please be sure the students write on the outside, not on the inserted paper. After the 45 minutes, JA BizTown staff will call all employees to leave their business for the Opening Town Meeting 2
3 Opening Town Hall Meeting 20 Minutes, JA BizTown Staff led JA BizTown staff will instruct students where to sit for this meeting. CEOs will bring their speeches and wait for the Mayor to call them up to speak Volunteer Guide Employee/Work Break Rotations #1 60 Minutes (three sessions/20 minutes each), JA BizTown Staff led Students are divided into three groups (Red, Yellow, Green) and will rotate to take breaks. While one group is on break, the other two groups continue working. At no time should your business be completely empty. If you see this happening, speak to the CEO about making sure there is always one student present in the business. Remind students going on break that they must FIRST go to the bank to deposit their paychecks and open their savings account. Students may not bring any snacks they purchased at the Chick-fil-A back into the business. Staff Meeting & Lunch Break 40 minutes: 20 minute staff meeting/ 20 minute lunch period) Volunteer lunch will be taken during the students lunch period. JA staff will announce which businesses should be attending their staff meeting or having lunch. Have the students meet with you in a group again and bring use this time to complete all necessary tasks. See below should your CEO find leading the meeting challenging. SAY: Please turn to your next deposit ticket, and let s complete it. (Be sure each student completes a deposit ticket and has not requested more than $2.00 in cash. Students must also enter the net deposit, which is the bottom number on the deposit ticket. This net deposit should be entered in the deposit column, as well as the balance column of their checkbook register. Help them add to get a new balance.) SAY: Now we need to be certain we opened our savings account when we went to the bank. Did the Savings Officer stamp Savings Account on your checkbook register, and did you subtract $1.50 from your checkbook register balance? SAY: Let s compare our checkbook register entries with the items we have bought to be certain that all purchases are being recorded in our checkbook register. SAY: This next break is your last chance to go shopping. Watch your time carefully and spend your money wisely. You must spend it during this break before leaving JA BizTown, and if you are not careful, you will run out of time. 3
4 Employee/Work Break Rotations #2 Time subject to school s dismissal time, JA BizTown Staff led Students are divided into three groups and will rotate to take breaks. Remind students that while one group is on break, the other two groups continue working. Remind students going on break that they must first go to the JA BizTown to deposit their paychecks. The CFO should take business deposits to the JA BizTown Bank in order to pay off the loan. Final Staff Meeting & Clean-Up 15 minutes, volunteer led JA BizTown is closed. It is time to reflect on the day and discuss whether or not the business was successful. 1. Debrief/Reflection; Ask the students how they felt the day went. What did you learn today? What did you find challenging? Did your business pay off its loan? If your business did pay off its loan, why do you feel you did well? If your business did not pay off its loan, what do you feel you could have done better? What did you enjoy about JA BizTown? 2. Clean-Up Return all materials and supplies back to their original location. Pick-up everything on the floor. Check to make sure all Student Binders are returned. Do not turn off the computers. Students should take all personal paperwork (especially student checkbooks) back to school for follow-up with the teacher. Collect these items into the BizPrep envelope to be given to a teacher or the business CEO. All personal purchases should also be taken back to school. 3. Money Collection Collect from students and adults all JA BizTown coins, dollar bills and other JA BizTown reusable student materials. Give them to a JA BizTown staff member, bring them back to the bank or leave them in the business. Closing Town Hall Meeting Have students wait in their business until the announcement for the Closing Town Meeting is made. CEOs who are giving closing speeches will bring them to the meeting. Students will dismiss to school from the meeting. Dismissal A volunteer debrief (5-10 minutes) will take place in the volunteer room after the students are dismissed. 4
5 Business Start-Up Completed CEO has the BizPrep envelope (brought from school) CFO has the Business Costs Sheet (found in the BizPrep envelope) Business employees review their Student Binders CFO enters all business employees and jobs into the computer CFO prints payroll #1 and payroll #2 and places in appropriate folders on their desk Volunteer facilitates Staff Meeting #1 (see Volunteer Directions for script) Students prepare their checkbooks for first trip to the bank CEO completes Speech Guidelines (in binder) for Opening Town Hall Meeting Opening Town Meeting Volunteer helps students get seated in front of City Hall and observes At completion of Meeting, students return to business; CEO signs & distributes paycheck #1 Break Rotation #1 Volunteer reminds students to deposit paychecks, be a consumer, and vote at City Hall CFO takes business deposits to the bank CEO picks up Health Care Voucher and distributes to all BizBee News employees CFO pays all business bills Staff Meeting #2 Volunteer helps students prepare deposit tickets for paycheck #2 CEO signs and distributes payroll #2 Break Rotation #2 Volunteer reminds students to deposit paychecks, be a consumer, and vote at City Hall Students continue working through job responsibilities (see list in Break Rotation #1) CFO prints Accounting Report and puts in BizPrep envelope CFO pays all business bills Final Staff Meeting & Business Clean Up Volunteer facilitates Closing Staff Meeting (see guidebook for script) All business employees clean up (e.g., money, work attire remain) Closing Town Meeting Volunteer asks students to take personal items to Town Meeting, including BizPrep Envelopes Volunteer helps students get seated in front of City Hall and observes 5
