Through a network of six metropolitan campuses and a regional campus in Ararat, Melbourne Polytechnic offers a range of degrees, certificates and diplomas across the whole higher education and vocational training spectrum. Position Purpose Manage the development of future Student Management System (Strata) Projects to ensure fit for purpose software is delivered and implemented on time and within budget. Maintain a current focus on, and understanding of, government initiatives, reporting requirements and funding and delivery models related to the VET and Higher Education sectors to inform the future development of STRATA. Contribute dynamically to the success of the Executive Team mandate; Provide committed leadership and expert advice to the Executive Team and peers; Demonstrate collaborative and collegiate behaviour Lead and model all change initiatives Collate STRATA needs requirements within Melbourne Polytechnic and providing relevant project specifications to the developers. 2 The position is also responsible for the development of corresponding implementation plans, the identification and coordination of the required inputs and resources and the successful roll-out of the STRATA projects. The position has the expectation of providing improved and expanded STRATA functionality that supports streamlined business rules and processes, and eases administrative burdens on teaching and administrative areas. The position works closely with the Business Areas to support their requirements, of the Academic Registrar, Student Experience, ICT and Finance departments. Manage SMS account. Coordinating testing and training requirement. Key Responsibilities Effectively work with Institute business areas and teams to deliver ongoing improvement in the quality of services, business performance and contractual obligations through improved and expanded SMS functionality. Ensure Institute teams have buy-in by o Obtaining input on their business requirements o Guiding and coaching teams through system and process change, by regularly explaining the business context, objectives and priorities that the STRATA Projects aim to address o Swiftly manage all complaints from staff and using informed and decisive judgement ensure the best outcome possible in accordance with Melbourne Polytechnic Policy and Procedures Develop and maintain the STRATA Functional Plan after consultation with Business Areas Develop, maintain and monitor detailed Project plans Identify systemic improvement opportunities and support the development and implementation of STRATA solutions to improve operational performance Ensure delivery of agreed project plans within budget, including agreed priorities and targets Critically evaluate underperforming Projects and implement solutions in consultation with the CIO In conjunction with ICT and Academic Registry, drive engagement strategies targeting teaching staff that aim to affirm their commitment to standardised processes and processes Continually review STRATA functionality to enable teaching areas to quickly and easily respond to changing reporting and recording requirements Build working partnerships with teaching and non-teaching departments to ensure the effective development and deployment of STRATA based solutions Melbourne Polytechnic Position Description Lead Strata Projects 22/08/2017 Page 2 of 5
3 Ensure a focus on providing consultancy support and service to the Directorate and departments on the management of student records, information and reporting requirements Work with the Chief Information Officer, Academic Registrar and other key staff to embed STRATA training and support to teaching areas to ensure clarity and compliance Ensure on-going consistency is reflected between STRATA and the underpinning QMS processes Continually review STRATA functionality to ensure it drives and supports practices that result in compliant, timely, accurate enrolment related data Develop the capabilities of the Melbourne Polytechnic staff to enable them to excel in a brand new organisational environment. This includes: - Be an active role model for change by responding with energy and enthusiasm to challenges - Build a climate of shared purpose and direction and regularly communicate on strategic direction / operational impact - Help ensure knowledge of enrolment, academic governance, fees and charges, record keeping and compliance matters remains current in all staff Contribute to the development and implementation of Melbourne Polytechnic s strategy, overall business management and its culture. This includes: - Playing an active role as part of the Leadership team in promoting and adopting best practice for the benefit of the whole organization - Building and sustaining collaborative and cooperative relationships with all senior executives - Providing high quality advice in your area of expertise to other areas of the institute and to the Executive Team - Demonstrating support for the CEO and Executive Team - Be a visible role model for the Melbourne Polytechnic - Utilising and adhering to all organisational procedures, systems and business rules and ensure that staff reporting to the position comply with these at all times - Driving a culture of cross-function collaboration, sharing and support of the leadership group - Working collaboratively with delivery business areas and other operational and service business areas to assist in achieving all Melbourne Polytechnic objectives. Extensive management experience in the development and implementation of innovative and streamlined processes and electronic based solutions to support these. 4. Effective communication skills. 5. Demonstrated experience in large projects. 6. Demonstrated experience with account management, budgeting and forecasting.
