2 Why data quality matters Data quality for EANs When an EAN is scanned this information, and more, becomes visible to customer facing Tesco systems. This is the same information you d see if you visited a store or went online to shop. 2

3 Data quality for Outer Case Codes (OCCs) When an OCC is scanned in our supply chain this information, and more, becomes visible and allows our depots to see the stock that has been delivered, how it is packed and how we need to manage it through to customers. Tesco Terminology 3

4 All data describing what a product is and how it is packed is entered into the myproduct: Induct system. TPNB Tesco Product Number Base 9 digit code used by stores to order product All sales/financial reporting is completed at TPNB level All merchandising is completed at TPNB level Variant TPNB Variant Tesco Product Number Base 12 digit code beginning with the standard TPNB and ending with 001, 002, 003 etc. A variant TPNB is used when amending the weight or/price marking a product The variant TPNB is only used internally within Tesco systems A range change is not required to launch a Variant TPNB TPND Tesco Product Number Depot 9 digit number used by Depots to order cases of stock All costs are completed at TPND level EAN European Article Number Barcode that is scanned at the checkout and the Retail Selling Price applied OCC Outer Case Code Barcode that is printed on the case which is delivered into depot and sent through the network Product Hierarchy in Stores and Online Products are sold and displayed at TPNB level. This enables all relevant information to be available to the customer, including: Product Description EAN Barcode Retail Selling Price Unit Pricing 4

5 Product Hierarchy in Depot and for Invoicing Products move through the Tesco supply chain and can be invoiced at TPND level. This enables all relevant information to be available to supply chain, distribution and invoicing teams, including: Product Description Case Size OCC Cost Price Important Note: If a new TPNB or Variant TPNB is needed for a product, all of above information for Stores, Online, Depot and Invoicing need to be regenerated so that product shows correctly in all Tesco systems. 5

6 Why it matters to keep track of TPNBs and TPNDs All products and their variations are represented by their codes in our systems, which is why it s so important that the labelling is right on both store and depot packaging. New TPNBs require new EANS and new TPNDs. If TPNB Variants also need to be delivered in different case sizes, they require new TPNDs too. Small changes can result in many codes for the same product, so if you re ever in doubt, check TescoLink for your TPNBs and TPNDs. If you re ever unsure if a product should have a new TPNB or a variant TPNB you can get in touch with your Data Operator for guidance. 6

7 Is it a new TPNB or a new TPNB Variant? The below questions can be used to check if a product requires a Variant or a new TPNB: Important Note: If the product is changing in the ROI, but not elsewhere, then a new TNPB is required and vice versa. More information on TPNB variants on Abbreviations & Brand Names Abbreviations Correct abbreviations must be used for Item set up The shelf edge label will show the abbreviation which needs to be consistent against the product range Tesco.com has a logic that expands the abbreviation to show the full product description online The full abbreviation list is available on Tesco Link Brand Names Brand names group together sales and are used for internal reporting Information comes from the Tesco Brand field on setup Important Note: You cannot amend the Brand Name on an existing line. A new TPNB is required. 7

8 Shelf Edge Descriptions Format The description structure you can enter on Product setup, is split into 3 rows of 16 characters totalling 48 Characters. Below you can see an example of what that could look like: Brand Name Tesco Finest Tesco Sugar Free Product & Variant Lasagna Lemonade Size / Colour / Model 545g 4 x 330ml Weight / Price Mark What is Unit Pricing? Unit pricing is a legal requirement enabling customers to compare the price of a product across a range easily. It means we can display the price per unit on our shelf edge label and Tesco.com. The Price Marking Order 2004 stipulates how each type of product should be unit priced. This is entered on product set up. o o e.g. Price per 10g, 100g, 100ml, Kg, 75cl, Litre, Each Wine is specified as - per 75cl, whilst Beer and Spirits is per Litre. 8

9 Barcoding Guidelines If any goods carry a barcode, there are Guidelines that must be met. This includes: For stock to be ordered, all barcodes must be verified in line with GS1 requirements and pass criteria needed to auto approve Mock ups or PDF barcodes are not acceptable as they are not a true representation Data and legal checks are carried out on description, case count and unit pricing Important Note: Agreed service level for Branded barcodes is 5 working days and 2 days for Own label artwork. There are 3 things to know about barcoding approval: All barcodes must be verified in line with GS1 requirements and pass criteria needed to auto approve Mock ups or PDF barcodes are not acceptable as they are not a true representation Data and legal checks are carried out on description, case count and unit pricing And remember, we re not just checking the barcode itself, but also all the data linked to it. 9

10 Outer Case Labels Fresh Food 1. Supplier Name 2. Name of product as on pack (as clear and large as possible) 3. Pack weight and quantity of units per case 4. TPND (Tesco Product Number Depot) 5. Supplier site code if available 6. Display until Date 7. Unique 2 or 3 digit number for each product you supply 8. 11 Outer Case Labels Packaged Goods This is an example label that can be used on a Tesco or Branded fixed weight product as the outer case label. You can find full details about all labelling within the Tesco Barcode Quality Standards, available on MUs Merchandisable Units Merchandisable units are a great way to bring product through our supply chain and then straight to the shop floor, but there are some things to bear in mind when deciding if an MU is right for your product: Ranged all year round Stocks 1 product only Loaded into the same sub group as the linked product System re-orders a MU based on sales Enables a smaller case size to be sent to a smaller format Shares the same EAN regardless of case size 11

12 Ratio Packs OFDs, FSDUs, ¼ Pallets Off Floor Displays, Free Standing Display Units and ¼ Pallets are types of ratio packs. They allow you to pre-fill a unit with the ideal amount of stock for a promotion and have it ready set up to go on display in store. As with Merchandisable Units, there are things to bear in mind when deciding if a ratio pack is right for your product: Used for promotion use only (Not ranged) One off allocation sent to store Individual cases ordered to replenish stand Cost price is automatically calculated on full cases of product Can have multiple products on unit Important Notes on Ratio Packs: Maximum of 40 components within the ratio pack Can be mixed VAT. The Buyer can work this out from a tool we use internally Watch out: the system automatically calculates the cost price based on the number of full cases within it. This means that if you have agreed a cost price of 100, but the individual cases automatically come to 90 our systems will only pay the 90. A separate invoice will need to be raised. The ratio pack must hold full cases of stock only. 12

13 Things to Know about Tesco.com Every product on Tesco.com is required to show a set of information to help the customer make the right choices about what to buy. Below is an example of what information is shown and where that information comes from: Important Note: Please remember to update both Brandbank and the Technical Library with any changes to the product, including new EANs. 15 Important note: Week -9 is a non-negotiable deadline that is in place to ensure our Space, Range and Display team have the information they need to range products to our stores. Additional important note: If there is no image available for Tesco.com we cannot launch a product launch stores either. Submit fully completed forms to buyer Buyer submits approved forms to DataOps team Upload form data into NBS and confirm actions to Buyer/ Supplier Submission of Final Product samples or Pre-printed full size artwork to DataOps Deadline for full approval Supplier Buyer Dataops Supplier Dataops Important note: The approval deadline, which includes sample approval, is wk -4. If you have any issues meeting critical path dates, please get in contact with your Buyer or your Data Operator. Launch Date Product information will be sent to stores 4 weeks before the launch date. If any products are delivered early to stores, or the range review dates change but the system launch dates are not amended, the product will not scan at the tills. Important Note: Always let your Data Operator know, if a launch date is going to change. 15
