2 STAND SERVICE ONLINE ORDERS Deadline for orders: August 10, 2018 PAYMENT TERMS FOR MAW ONLINE ORDERS: Prices are net; the tax liability lies with the benefit recipient. Payment immediately upon receipt of the invoice without charges to the beneficiary*! Please indicate the invoice number on your transfer. All services will be invoiced before the congress. If an invoice address is changed after the invoice is issued and sent, an administration fee of 70. will be charged with the new invoice. Should you require a change of position once services are in place, a fee of 95. will be charged per service. RULES AND CONDITIONS FOR MAW ONLINE ORDERS Rental items please note: With your EANM Exhibition Space Order Form you ordered floor space only wall separations, stand construction, lettering, furniture, electricity and carpet etc. are not included. Prices for rental items include delivery to and removal from your booth space. Rental items are not insured automatically. Lost, damaged or stolen items, residues on the floor and on rented surfaces will be charged to the exhibitor. Electrical connections for rental items are not included. Delivery times: Standard booths / rental modular stand material / rental furniture will be ready on Friday, October 12, at 12:00 hrs. Plants and flowers / AV and IT equipment will be delivered on Saturday, October 13, between 10:00 18:00 hrs. Before these time slots no delivery can be guaranteed. Any additional on-site orders are without guarantee and time limit for delivery. Service positions for electricity, internet, phone, water, suspension points: Please submit a dimensional drawing showing the positions of all ordered services (use Layout Fittings ).

3 Rental Modular Booth The rental modular booth includes the following items: Set-up and dismantling Wall panels (Octanorm), 3 mm plain PVC-coated white, incl. uprights and frames: height 248 cm, width 100 cm Fascia along open stand front(s), height 50 cm, white PVC-coated panel Standard lettering, black Arial, max. 15 letters (Corner booths will have lettering on the two open sides.) Optional at cost: Company Logo on Fascia Board please order it online and submit it together with the online order of the rental modular booth. Fair-rips carpet, please choose colour online: Griffo, silver, green, azur, red If no carpet colour is indicated, dark grey (griffo) carpet will be laid automatically 1 spotlight for each 3 sqm One-time basic cleaning of booth and daily maintenance cleaning (no cleaning of exhibits) 2.3 kw, 230 V, incl. master switch, 1 triple socket outlet and consumption costs Please submit a dimensional drawing with the position of your main connection on the booth (use Layout Fittings ) It will be otherwise installed automatically at the center back of the booth. Please bring your own adapters and converters, if needed. Please order any furniture needed separately. Please note that the rental booth and rental furniture will be ready by Friday, Oct. 12, at 12:00 hrs. Before that time no delivery can be guaranteed. Rental Modular Booth Graphics and Lettering How to send your data: Please send your print files via to MAW: eanm2018@media.co.at For file sizes over 50 MB please use the online service or send us a download link to your dropbox or FTP-account. Please send us only PDF/X-3-Print files. That means: all used fonts must be embedded or converted into outlines allowed are only CMYK and spot color data images must be embedded no transparencies, no layers correct size definitions using Trim Box and Bleed Box please contact MAW for details of the file transfer to: eanm2018@media.co.at Programmes and formats we use: We accept only CMYK. RGB or spot colors will be converted automatically into printable CMYK. Please use the CMYK-Profile: ISOcoated_v2_bas.ICC. All our print products are cuted automatically. Therefore and to avoid white lines on the edge of the the page we need a bleed addition for each site. Define 1 % bleed for each side (but at least 1 cm). No crop marks are required! 2

4 Important information: Please define your print files in the correct final format with the aspect ratio 1:1. For large format sizes over 5 meters please use an aspect ratio 1:10 and consider the resulution and bleed to increase by tenfold. Picture data in 1:10 format must have a resolution of at least 300 dpi. Rental Furniture Rental furniture and rental carpet will be ready on Friday, Oct 12, at 12:00 hrs. Before that time, no delivery can be guaranteed. Any additional onsite orders are without guarantee and time limit for delivery. Rental Flowers and Plants Plants and flowers will be delivered on Saturday, Oct. 13, between 10:00 18:00 hrs. Damaged or lost vases will be charged to the exhibitor. Audio Visual & Computer Equipment AV and IT equipment will be delivered Saturday, Oct. 13, upon agreement with H82. For rental of computer equipment please refer to the respective order form of H82. Stand security A person responsible for the booth must be present at the start and end times of the ordered security service hours in order to check the booth together with the security guard(s). Exhibitors are advised to: not leave their booth unattended as long as visitors are still in the building cover all products or materials exhibited, or better, place them under lock and key. Exhibitors are required to close objects of value in closets or show windows with thick glass that can be closed by locks. No special safety containers are available. Neither the general security service nor EANM nor MAW can accept liability for thefts, losses or damages of any sort occurring during the day or at night. Exhibitors exhibiting equipment of value should take out a complementary insurance policy. Booth Personnel & Host(ess) Booth hostess/host(s) (no translator) speaks German and English. Please note: Hostesses are only allowed to work on the booth, in a hospitality suite/satellite symposium, but not in any other areas No photos, names or phone numbers of hostesses will be supplied in advance Hostesses can only be ordered on a daily basis (up to 9 hours) Lunch-break (30 min.) and waiting time cannot be deducted Please do not order hostesses for booth cleaning or carrying of heavy boxes. For this kind of work please order cleaning staff. 3

5 Cleaning Cleaning of general surfaces (aisles) and heating/air conditioning will be provided by EANM. The Exhibitor must remove all construction waste (e.g. wooden panels, floor elements, carpet rolls, etc.) of the booth after dismantling! Otherwise removal and cleaning costs per m³ at a rate of 210,- will be charged automatically to the Exhibitor (who is the contract partner; not to the stand building company) after dismantling. Please advise your stand builder accordingly! Daily cleaning of the walking aisles in the exhibition area will be organised. For cleaning of your booth area, please use the online order form. If any special cleaning service is needed, please get in contact with MAW. Without the completed online cleaning order no cleaning of the booth will be done. The cleaning of the stands will be finished every morning before opening the exhibition. One-time basic cleaning and daily cleaning both require an additional stand cleaning power socket which has to be ordered via the online ordering tool. An obligatory CCD cost for waste disposal of 4,- / sqm will be charged by the congress via MAW. Electricity Electricity is supplied from floor channels. Don t forget to bring your own converters and adapters, if needed. For electricity connections please provide a drawing with the exact position of the main power supply. The internal wiring on the booth area has to be done by the Exhibitor and the stand building company and is their sole responsibility. Connections shall be carried out by competent persons, qualified by training and experience and who are properly supervised. Please use only CEE plugs. All material used by the Exhibitors / stand constructors must correspond to the European and German safety standards. Please do not forget the earthing suitable supply connections are available. The exhibititon hall is tested against electro-magnetic interferences. Occurring failures in sensitive machines / computers are therefore without responsibility of the MAW. The exhibition hall is equipped with alternating current 230V (+6%/-10%), 50Hz and Three-phase voltage 3x400V (+6%/-10%), 50Hz. Power connection up to 3,3 kw come along with a box with the following measures: height 52 cm, width 48 cm and depth 14 cm. The MAW is not responsible for any losses or damage which may occur from interruptions, defects or break-downs in energy supplies. The MAW will make general provisions concerning the electricity supply at the cost of the Exhibitors. The Exhibitors agree to use this installation for all electric power requirements. The costs of the supply line to the stand and the power consumption will be charged to each Exhibitor according to his order. 4

6 Dismantling power needs to be ordered separately. The electricity will be shut down 1 hour after the closing of the exhibition please book accordingly if needed! Electricity TÜV Decrement will be carried out on Saturday afternoon. Authorized personell will check during set-up ongoing. Internet & WiFi There are three options of internet connections possible: wired internet connections, Wi-Fi networks through CCD & private Wi-Fi networks established & set-up by the exhibitors/stand builder themselves. The free public Wi-Fi network should also be used with care- no download of huge amounts of data is allowed. For the wired internet connections please submit a dimensional drawing with the position of requested main connection point(s) with the order (use the form layout fittings)! Should you require a change of service position once the service is in place, a fee of 95, will be charged per service. No technical support is included in the mentioned prices. Support requests for devices/equipment brought in by the exhibitors will be charged on an hourly basis and cannot be guaranteed (for all kinds of exhibitors own equipment)! CCD Wi-Fi Policy There will be a public (open) Wi-Fi for both attendees and exhibitors available at the venue throughout the congress. However, if private Wi-Fi is needed on the booth or in the business rooms, there are two options possible: Option A) Hotspot service = Private-network set-up through CCD, this is the preferred option (see the online order site for rates): This is a turnkey service aimed to exhibitors who need a private Wi-Fi network in their booth. That network would be available within the stand and surrounding areas. The service has a reserved bandwith per user with (10/10) Mbit/s and individual configuration of the IP network (e.g x). It includes the adjustment of the DHCP range and integration of ZeroConf services. Option B) Private network set-up by the exhibitors/stand builder themselves (Please choose only if absolutely necessary): You will only be allowed to set-up your own private network, once authorisation has been granted by the exhibition management/ccd. Please see the respective authorisation request form on the online order site. It is absolutely mandatory to abide by the rules as laid down in these forms. Please note: - A fixed internet line needs to be ordered for this, it has to be ordered separately on the online order site. - Routers and other equipment needed to set-up the network have to be brought in by the exhibitor/stand builders themselves. 5

7 WiFi transmitters are only allowed in 2.4 GHz frequency range, not in 5 GHz The transmitting power has to be reduced to the stand area (-80 gbm at the end of the stand) The SSID (network name) has to contain the stand number in the first characters Channel Bonding is not permitted Other transmitters (i.e. rear view cameras or light control panels) are not allowed General note concerning Option B: Previous experience has shown that, when multiple wireless networks are sharing the same airspace, all wireless users are susceptible to wireless (RF) interference. This can lead to a loss of connectivity, slow network traffic and poor performance for which CCD/the exhibition management does not take any responsibility. To guarantee a proper functioning of all Wi-Fi networks during the event a set of mandatory rules have been established to control the deployment of private Wi-Fi networks. Therefore we kindly ask all exhibitors to carefully evaluate the options given and only apply for private network authorisation, when absolutely necessary. In order to ensure a working Wi-Fi (public as well as private) throughout the event, we ask for the cooperation of all exhibitors by abiding to the rules given. CCD/the exhibition management reserves the right to shut down exhibitors unauthorised wireless sources, disconnect internet access services and/or apply any further actions considered necessary. In some cases an adjustment of the settings of the private networks might solve the problem. CCD may withdraw the operating permission if any of the details provided by the exhibitor are incomplete or incorrect; such withdrawal may be effected at any time and does not require prior notification. Catering Any planned catering activities by the Exhibitor must take place on the premises of the rented stand and within the official hours of the exhibition. Sufficient storage and serving space within the booth area must be planned. Catering stations / bars may not be placed immediately at the borders of the booth facing the aisles, as this might be impeding aisle traffic. Catering activities must be kept at reasonable levels and may not disturb neighbouring stands or affect the overall appearance of the exhibition. MAW reserves the right to cancel / stop such activities should it be deemed necessary, without incurring any responsibility and / or being liable for compensation to the Exhibitor. Suspension Points Rules & Conditions Maximum stand building heights = maximum height of upper rim of suspended object For stands smaller than 100 sqm: 4.50 m For stands bigger than 100 sqm: 6.00 m Hanging points will be ready by Wednesday, October 10, Procedure VERY IMPORTANT: Please fill in the Online Rigging Request Form. We highly recommend to send in your rigging request as soon as possible as late orders may occur higher costs in respect of static specifications. Maximum weight per hanging point is 50kg. The max. weight limitation per point / running meter always has to include weights for any material like hoists, grid support etc. The indication of the weight per hanging point and the total overall weight (including hoists etc) needs to be announced. Dead weights, dynamic factors and uneven loads applied to suspension points that may result from hoisting operations shall be taken into consideration. 6

8 Each rigging projet having points more than 50kg cannot be guaranteed, needs an special quotation and occures structural analysis at extra cost. (In case of changes a NEW structural analysis may occure!) If using your manual and / or electric chain hoists static load calculations and load plans are obligatory. In that case the given prices per hanging points are not appropriate and need to be requested separately! Chain hoists must not be attached to wire ropes and/or lattice beams of Messe Düsseldorf! Please plan your hanging points according the ceiling intersection otherwise additional costs occure. Please send a plan showing the exact position within the hall including the ceiling intersection points AND mark the respective intersection point(s) you plan to use. Please send a 3D-plan showing the heights, booth elements and all necessary measures. The documents will be checked and the final number of feasible hanging points will be reconfirmed to you together with the quotation. After your confirmation the invoice will be issued. Any changes after that point occure additional costs! The prices include material (on rental baisis), construction and dismantling no lifting up of your item. (ONLY for points up to max. 50kg) Please note the strict deadline of August 10, Any order after this date cannot be guaranteed! Please do not forget to bring the relevant connection, assembling and suspension parts as well as safety belts with steel inside or steel chains to affix your banner or structure they will not be provided! They can be ordered at separate cost. Working platforms (electric scissors, knuckle booms electric, mast lifts) are on special request. 7

9 Layout Fittings Exhibiting Company: Please: fill layout and exact position for the fittings in the plan below. Scale 1:100, i.e. 1 m = 1 cm should you require a change of position once the service is in place, a fee of 95. will be charged per service. indicate the names of neighbouring companies for layout orientation only indicate ONE position per ordered connection. Internal wiring must be done by the exhibitor or his stand building company Power supply lines will be laid in dedicated channels wherever possible. Certain connection point locations may require that the lines run above ground. MAW is entitled to supply neighbouring stands using connections and lines from the exhibitor s stand, unless easier or cheaper solutions present themselves. 8
