2 Dear exhibitors, We are pleased to welcome you in Dortmund. Please share this manual with all colleagues involved in the show and any other interested parties within your company. Please place all orders via your My Easyfairs account. Simply login to My Easyfairs from the show website or the Easyfairs homepage Use your address as your login name and your personal password. Most orders can only be made online. The exceptions include the following forms: - Order form for the name board (in German only) - Your stand layout (in German only) - Graphic guidelines (in German only) Deadline for all orders is Orders received by our office after are subject to a 30 % price increase! Timetable: Stand Build Opening Hours - Dismantling General stand build-up 10:30 20:00 08:00 09:00 08:00 09:00 Delivery/Building up of heavy machinery 08:00 10:30 By special arrangement! 08:00-12:00 Only for pickup of heavy machinery, no dismantling! Opening hours 09:00 17:00 09:00 16:00 Dismantling 16:00 22: Delivery/ Building up of heavy machinery Heavy machinery and associated material and equipment may be delivered on between 08:00 10:30. Items that must be delivered before must be stored with the freight forwarding company, Sempex AG (see point 2.6) and delivered by them to your stand on Please note the dimensions of the gate at the respective hall: Hall 2: 3.66 m wide, 4.49 m high Floor loading: 1400 Kg/m² 2.2 General times and stand building General building time for exhibitors is on between 10:30-20:00. For delivery, you can park short-term next to the delivery doors. Upon entry, you must pay a security deposit (normally CHF 100.-) which is refundable. After delivery, all vehicles must be removed immediately to official parking areas. (see point 4.1, p. 14) 2.3 Installation of light, extra electricity, compressed air Light will be installed until 14:00 on Additional electricity and compressed air will be operational as of 14:00 on Opening hours for visitors Wednesday, : 09:00 17:00 Thursday, : 09:00 16:00 6

7 2.5 Dismantling times : 16:00 22:00 (You can access the hall as of 16:45) : 08:00 12:00 (No more dismantling possible) is strictly for picking up machines and materials, and only by special arrangement with the organiser. (see point 1.1, p. 4) Please mark your materials with company name and stand number. Be aware that there is no security service at this date. Thank you in advance for your understanding. 2.6 Freight forwarding, storage of empties Should you require freight forwarding services (such as forklifts or storage of empty packaging), please note that only equipment from the venue s official forwarding company is allowed into the Messe Basel. 8 3. Stand build, standard furniture & fittings, plus additional orders 3.1 General information on All-Inclusive stand Standard package furniture may not be swapped out for other Easyfairs furniture. Should you require additional furniture, you may order this online via My Easyfairs. Additional orders can be made online 3 months prior to the event. Deadline: Should you decide not to use any of the standard furniture, this will not result in a reduction in the stand price. Please inform us via which furniture you don t need. Keys to any cabinets ordered may be picked up at the onsite help desk/business point from Manuel de la Rosa GmbH. Please return your keys on until 18:30 to the onsite help desk. In case of loss or non-delivery CHF 20.- will be charged. You may bring and use your own furniture. Complaints must be registered with the event organisers at the business point before the opening of the first show day, so that a solution can be arranged and/or missing items delivered to your stand as quickly as possible. The stand name on the fascia board is mandatory and may only be removed by special advance arrangement with the organiser (see point 1.1, p. 4). Spotlights that come in the standard package will be installed on either the back or side walls. The lighted portion of stand wall elements measures: 954 mm x mm (This is important for the production of any wall graphics you have planned!) 8

12 3.2 Stand build technical specifications Raised stand floor (platform) is not possible. Please note that you have booked a complete stand package inclusive of stand build. However, you may place your own stand walls in front of the Easyfairs stand walls (by special arrangement). Own walls must not exceed the stand height of 2.50m. Please note that the dimensions of your stand will be reduced by 7mm for every Easyfairs wall. Stand sketches for an individual stand must be sent to Ms. Claudia Huber (claudia.huber@easyfairs.com) for approval by Please limit the height of the stand walls to 2.50 m. Display and marketing materials (including flags and balloons) may not exceed 3.50 m in height and must be placed at least 1 m away from neighbouring stands. Marketing outside of your stand (e.g. distribution of flyers) is not allowed unless you have booked one of the ONSITE PROMO PACKS (see marketing service booklet). The use of projectors and light effects outside your stand is not allowed. It is strictly forbidden to suspend objects from the ceiling in the hall. For safety reasons, all exhibition materials must be kept within the stand boundaries. Hanging pictures/frames: Please do not use glue, tape or other sticky substances! Only use hooks that can be hung from the upper rim of the stand wall. Posters may be fastened directly on the walls but to avoid damage to the wall surface, only the stand builder s tape may be used. You may obtain this tape directly from the stand builder onsite. Damaged stand walls will be charged to the exhibitor at a cost of CHF 90.- per unit. A cleaning fee of CHF 50.- per wall element will be invoiced if glue from graphics / posters remains after use. The individual wall panels may be designed with graphics. Please not, the exact dimensions of a wall element (not including the frame) are: 954mm x 2360mm 12

13 3.3 Electricity 1 KW connection with 3 receptacles is included in the stand. Should you require more electricity, please order online via My Easyfairs. 3.4 Compressed air Should you require compressed air, please order online via My Easyfairs. 3.5 Water Should you require a water connection, please order online via My Easyfairs. 3.6 Gas For safety reasons, gas is forbidden in the exhibition hall. 3.7 Insurance All legal safety regulations regarding the construction and operation of your products/machines must be respected by your installation and stand personnel. Each and every exhibitor is responsible for compliance with laws and guidelines in connection with this exhibition. If appropriate, please extend your company s liability insurance coverage for the duration of the show. We strongly recommend that you leave no valuables (laptops, monitors, bags, etc.) unattended in your booth (especially overnight). 3.8 Carpet Starting at 18:30 on , carpeting will be laid in the aisles. After this time, it will no longer be possible to drive forklifts or other vehicles on the show floor. 3.9 Plants Easyfairs will distribute potted plants throughout the hall (not in the stands). Should you require extra plants for your stand, please order online via My Easyfairs. (Deadline: ) 3.10 Cleaning and waste removal The stands will be cleaned daily before the show doors open (vacuuming, emptying of the waste bins). This service is free of charge. Should you require a larger waste bin for the rubbish you expect to generate at your stand, please contact the organiser. (Deadline: ) 3.11 Internet Should you require an internet connection, please order online via My Easyfairs. 13

14 4. Parking, Stand Build and Exhibitor Badges 4.1 Parking Each exhibitor automatically receives one parking voucher free of charge, sent two weeks before the show. (Valid 16 and 17 Nov. 2016, Parking deck P2) Should you require more than one parking voucher, please order online via My Easyfairs. Additional parking vouchers can be purchased. On the set-up day, exhibitors and construction teams must pay a deposit per vehicle (CHF 100.-) to enter the premises. This will be returned when leaving the premises on time. These costs cannot be offset against Easyfairs. Please note that vehicles are not allowed into hall 2 at any time. 4.2 Stand build and breakdown badges The Badges for stand building and breakdown personnel are free of charge. They will be sent automatically (not personalised) two weeks before the show to each exhibitor. They are valid for access to the hall only during the prescribed stand build and breakdown times. Three badges per exhibitor: Should you require more than 3 build/breakdown badges, please order these online via My Easyfairs. Access will be clearly marked SCHÜTTGUT Basel 2016 on the driveways up to the delivery area at hall Exhibitor badges Exhibitor badges are free of charge and bear the names of each person registered as stand personnel. They are valid for access to hall 2 during the event and must be ordered online at least 4 weeks before the show starts. (Deadline: ) Exhibitor badges are sent automatically by post 2 weeks before the show starts. So that we can produce these badges for you, we kindly request that you register each person from your company who will be present onsite. Register your stand personnel via My Easyfairs. Important: All badges (parking, stand build/breakdown, exhibitor) will be posted in the same envelope 2 weeks before the event starts to every exhibitor and co-exhibitor. If you would like us to send your badges to an address that is different from the one in your registration form, please send an with the correct delivery address and recipient name to: bestellung@easyfairs.com 14

15 5. Additional Services 5.1 Catering There will be a restaurant/snack point operated by Wasser Company in hall 2. Free coffee/tea: Easyfairs will erect a coffee bar in the hall. Exhibitors need only show their badge to receive free coffee and tea. At the registration desk, visitors receive one voucher for a free coffee/tea, valid only at the Chicco d Oro coffee bars.
