2 WORKFORCE DEVELOPMENT COORDINATOR JOB OVERVIEW The Workforce Development Coordinator will be responsible for developing, implementing and managing programs to support company strategies and culture related to diversity and inclusion and workforce development. In collaboration with the Director, the Coordinator will implement programs and project plans for ICTC and provide input into their development. This role requires initiative with the ability to be outbound promoting and raising demand for the program and organizational activities. This role also builds relationships with key stakeholders in the industry and in the community/region to support successful implementation of the project(s)/program(s). Planning, Tracking and Reporting Develops and adjusts project and program plans to meet deliverable requirements Tracks progress against program and project plans and specific targets, deliverables, and activities; proactively identifies any areas where there is a risk of not meeting milestone deadlines or targets to the attention of the Director. Creates and maintains project schedules, work plans, and calendars of events and meetings. Develops project and program evaluation plan and measurements for success and conducts client follow-up as part of evaluation. Develops and manages budget processes to ensure financially responsible practices including maintaining budget and reconciling project GLs against project budgets as applicable Oversees client support and referral processes. Reviews ICTC activities and stays updated on Canada s ICT sector to support clients. Oversees administrative support and documentation. Business Development Creates project proposals as well as business/project plans to ensure alignment with ICTC goals. Develops and implements innovative and cost effective strategies for the program. Explores opportunities to increase current business and/or support new ventures and partnerships and captures concepts to enhance program delivery. Relationship Development Identifies partners relevant to project/organizational goals and builds a network of contacts to address ICTC s needs. Creates and/or support the creation of partnership or sponsorship agreements to secure buy-in and increase membership roster. Ensures close cooperation with program partners to ensure a consistently high level of service delivery; Liaises with service providers where applicable. Evaluates the extent to which partnership objectives have been achieved

3 Stays informed of the network of organizations, agencies, associations that can assist IT clients and keep ICTC informed. Coordinates with all project staff (ICTC and non-ictc) to ensure proper dissemination of accurate and centralized information to clients. Collaborates with the program team and external partners for the recruitment of participants (internationally educated IT clients / ICT employers) to take part in ICTC activities and programs. Attends events and/or focus groups to present information, network, collect information. Consultant & Contract Coordination Oversees and coordinates the beginning to end contract management process and documents all for auditing purposes; edits to ensure accuracy and readability. Researches and creates contractor list to obtain value for money, requests quotes on pricing and timing of deliverables, categorizes quotes according to pre-determined criteria and attains contract evaluators where applicable to support contractor selection. Conducts recruitment for short term consultants Creates drafts contracts and agreements, to comply with laws, regulations for approval by supervisor and processes invoice schedule according to contract specifications. Tracks contractor deliverables to ensure timeliness and integrity of delivery and escalates any contractor issues to management for resolution Communications & Event Planning Develops and executes communication plans and outreach pieces to share our message, information, and knowledge with stakeholders including but not limited to program communications, newsletters, web content. Plans presentations, events, workshops, working sessions to influence the market and meet ICTC s business objectives. Oversees logistics for travel and meetings/events locations. Ensures dissemination of materials and messages to internal and external stakeholders through applicable channels. Contracts with design, publication, translation firms etc. to support production of materials; reviews products received to ensure specifications are met and delivered to a high quality. Knowledge, Experience and Skills Knowledge Diversity - Commitment to diversity and inclusion and understanding of the issues and challenges faced by diverse groups with a focus on diversity and inclusion Sales and Marketing Knowledge of principles and methods for showing, promoting, and selling products or services. This includes marketing strategy and tactics. Human Resources - Understanding of HR processes and practices.

4 Administration and Management Knowledge of business and management principles involved in strategic planning, resource allocation, leadership technique, production methods, and coordination of people and resources. Strong knowledge of administrative processes and systems such as scheduling, word processing, document management, budget tracking, diary coordination, events planning and organization. Advanced knowledge of Microsoft Office (Outlook, Word, PowerPoint, Excel). Commitment to diversity and inclusion and understanding of the issues and challenges faced by Internationally Educated Professionals. Knowledge of project management principles and methodology. Understanding of the ICT industry is an asset. Experience 1.5+ years experience working in a similar position and providing coordination for a program or project, with demonstrated success in setting and achieving program targets. Hands-on experience in projects and programs with a diversity lens. Strong experience in the administration of finances for a project / department including creating budget spreadsheets, tracking expenditures, reconciliation, creating purchase orders, preparing reports. Skills and Attributes Excellent written and oral communication skills in order to present ICTC in a professional manner, interface and communicate effectively with senior and diverse audiences, and prepare and proofread communications such as PowerPoint slide decks, s, reports, articles, etc. Ability to engage and influence people; comfortable making cold calls, presentations, and in-person visits. Strong willingness to participate in work teams and share knowledge in order to advance ICTC initiatives. Ability to assume responsibility and use initiative in order to conduct research, acquire information, secure participants and identify areas for improvement. Exceptional organization skills with the ability to multi-task and adapt to changing priorities.
