1 National Landlords Association J O B D E S C R I P T I O N JOB TITLE: JOB HOLDER: REPORTS TO: NLA Senior Local Representative (Rep) vacant Head of Regions DATE: JOB PURPOSE: The post holder will be responsible for organising and running local NLA meetings and will be the focal point of NLA member engagement in their specific geographical area or region. In addition they will also coordinate and monitor the activities of other NLA Local Reps in their assigned areas, facilitating team work, communication and best practice amongst the group and report back to the Head of Regions on their collective activities. JOB ACCOUNTABILITIES: Core Duties Take priority over additional duties 1. Local Coordination The NLA Senior Local Representative will assist the Head of Regions by proactively monitoring the activities of local Reps in their assigned geographical areas. They will act as a local supervisor and mentor to Reps assigned to them by the Head of Regions. 2. Membership Communication and Retention In their duties as an NLA local Rep, the position holder will organise, run and report back on NLAbranded local meetings. They may also liaise with local councils and run joint NLA / Local Authority events depending upon which geographic area they represent. 3. Membership recruitment A key objective of the local Rep network is to promote and sell membership to landlords when and wherever possible, for example at all NLA events or other meetings the position holder attends. 4. Promote NLA Policies In order to properly keep members informed of the latest developments in the PRS and give news update presentations at NLA meetings, an NLA Rep should have an extensive knowledge of the PRS, which they will be expected to regularly keep up to date through background reading. 5. Promote NLA s commercial interests NLA Reps must have a sound understanding of these and be able to communicate the benefits of these as appropriate at all events which they run or attend, and answer basic questions about them. 6. Communication and reporting
2 The Senior Local Rep will coordinate and monitor the activities of other NLA Local Reps in their assigned areas, facilitating team work, communication and best practice amongst the group and report back to the Head of Regions on their collective activities. A crucial part of the Rep role is the ability to promptly record and report on local developments or core activity. This includes meeting reports or information about local council schemes which they have come across in their general duties. 7. Learning and Development With sufficient notice, attend and/or participate in learning and development activities, events and meetings. 8. Media Work Representatives may occasionally be called upon by the NLA Media team to find case studies amongst the local membership or landlord community or be interviewed for radio or television. Job Content (How) 1. An NLA Senior Rep will arrange regular online or telephone catch ups and team meetings and act as a general team leader coordinating local activity, making sure that the Reps assigned to them are happy in their understanding and the performing of their duties, and reporting back to the Head of Regions on a regularly scheduled basis. 2. Reps will locate and book local venues, arrange speakers on topics of interest to landlords and given presentations on a number of topics. They will assist Head Office staff with the local promotion of the event, by providing the details for online promotion on the NLA website and marketing s. These meetings, generally free to attend, are a crucial communication tool for the organisation and Reps act as a point of contact for members. The Head of Department will set regional guidelines for how many meetings to organise over the course of a year and Reps will receive a rolling programme training as regards ensuring consistency in event format event, structure and delivery. Both individual Rep performance and member satisfaction at these meetings will then be monitored and used both by the NLA as a departmental key performance indicator (KPI) as well as a measure of individual performance at the time of annual assessments. 3. The successful applicant will need to become fluent in the advantages of NLA membership and develop a comprehensive knowledge of the many membership packages that we offer to landlords. They will then use a combination of their excellent people and communication skills in order to softly recruit members. These sales will be directly attributable to a local rep and a small commission will be paid. Sales figures will be monitored throughout the year as a departmental key performance indicator (KPI) as well as a measure of individual performance at the time of annual assessments. 4. The NLA will provide Reps with regular briefings on subjects as diverse as data protection, tax law and Section 21 notices. A Rep will use their communication skills to clearly present the salient points in plain English to NLA members and landlords and be able to field a variety of
3 questions on the subjects. They will also be expected to keep up to date with NLA opinion and policies on these topics when talking to landlords, local authorities and the media. 5. The NLA has a variety of services and products which it offers its members. Marketing will supply Repos with a list of recognised suppliers and provide update to this list and other NLA products. Reps will then use this briefing information to promote the services at meetings via the distribution of promotional material. 6. The Senior NLA Rep will schedule regular team meetings, likely via phone or video conference, in order to monitor the activities of other NLA Local Reps in their assigned areas, facilitating team work, communication and best practice amongst the group and report back to the Head of Regions on their collective activities. The Rep will schedule, diarise, draft agree and circulate an agenda, chair the meeting and ensure minutes kept and circulate to all, included the Head of Regions. As part of their Rep duties they will be asked to produce a brief written report after each meeting they attend or run, within a specified timeframe, using the NLA s CRM software. A Rep must therefore be IT proficient and confident in the use of general hardware, cloud systems and data capture, as well as standard programmes such as Word, excel and Powerpoint. They will have the use of an NLA account and be expected to check it regularly, answering members and internal colleagues in a timely and professional manner. 7. The NLA will provide all Reps with a rolling programme of training and support in order so they can learn, develop and keep up to date with developments in the sector. There is an Annual Reps conference ever year, which involves an overnight stay. 8. Reps will be asked occasional by the media team to talk to journalists on a specific subject either formally or informally. A brief is normally provided on the topic and NLA policy e.g. line to take. Operating Environment The post holder will work remotely from home but will be in regular contact with Head Office. Attendence at local meetings will involve travel and irregular hours, often in the evenings. They work for the Head of Regions who is responsible for the Regions Department. This department sits within the NLA s Member Services & Engagement directorate. The Head of Regions reports to the Members Services and Engagement Director. Framework and Boundaries General company policies and procedures provided by the Company and through the job description for the particular post.
