1 JOB DESCRIPTION Job Title: Location: Responsible to: Business Support Coordinator Tarka House Business Support Manager Overview The Business Support Service provides an in-house service to Westward Property Services. Purpose of Job You will be responsible for: Providing a full range of administrative duties to the Business Support Manager. Contributing to providing an efficient and accessible service to all WPS staff across all business areas. Maintaining accurate records and monitoring systems as per in house procedures and policies. Liaising with other departments within Westward Housing Group to ensure the effective running of Westward Property Services. (Corporate Services, Communications, HR, Finance, Health & Safety). Receiving and returning telephone calls to other departments, agencies and the public with answers to queries, information and advice, taking messages and action where necessary. Using Outlook, Word and Excel for diary management, producing reports, memo s, agenda s, minute s etc. General office administration including filing, scanning and photocopying. Maintaining stationery levels. Additional Tasks and Duties The post holder must, at all times, carry out their responsibilities with due regard for the Westward Equality & Diversity Policy. Undertake training as required.
2 Carry out any other reasonable duties consistent with the above as directed from time to time by the Business Support Manager, Team Supervisors/Managers and Head of WPS. General Responsibilities: 1. Confidentiality The post holder must maintain confidentiality of information about staff and residents and the Group s business and be aware of the Data Protection Act Standards of Business Conduct The Group expects all employees to maintain the highest standards of personal and business conduct at all times. The Group staff handbook sets out the Group s expectations under sections: Code of Conduct and Declaration of Interests, copies are available from the Human Resources Department at Templar House, Newton Abbot.

Health & Safety All employees should be aware of the responsibility placed on them under the Health & Safety legislation, to ensure that the agreed safety procedures are carried out to maintain a safe environment. 4. 4 PERSON SPECIFICATION POST OF BUSINESS SUPPORT COORDINATOR Qualifications ESSENTIAL Education to GCSE standard in English and Maths at intermediate level, or a relevant national qualification equivalent to higher level (Grades A* C) Proficient in using Excel, Word and Outlook DESIRABLE Educated to A level standard or equivalent NVQ level 3 in Business Administration or equivalent Relevant Experience Experience of working in an office and providing an overarching support service to in-house teams. Relevant and practical experience in the housing maintenance or construction industry, or related field. Relevant Skills and ability Other requirements Communication Develop and maintain good working relationships with all clients/customers Planning & Organisational Use judgement & make appropriate decisions Teamworking Time Management Analytical thinking Take ownership, be proactive and driven to ensure completion of tasks. Commitment to the achievement of Westward Property Services aims and objectives. Commitment to Equality and Diversity Ability to work with confidential information Flexibility in working arrangements (willing to work outside normal working hours when needed) Access to a vehicle to carry out key tasks and responsibilities of the role to travel throughout the WHG area of operation June 2016
5 GENERAL INFORMATION POST OF BUSINESS SUPPORT COORDINATOR BIDEFORD Westward Property Services, based in Bideford, is a rapidly expanding building maintenance and refurbishment contractor operating across Devon and Cornwall working as part of the Westward Housing Group. Westward Property Services are looking for highly motivated, experienced and organised staff to join the workforce. Westward Property Services have a solid business plan for the future and want the right people who have the passion and commitment to develop a long and promising career with us. 1. Closing Date 22 nd July Interview Date W/C 1 st August Salary 18,156 per annum 4. Hours of Work hours per week. A flexi time system is currently in operation 5. Annual Leave 26 days plus statutory Bank Holidays and Public Holidays 6. Pension Scheme A contributory staff pension scheme is available 7. Probationary Period Minimum six months 8. Location These posts will be based in Bideford 9. Car Mileage The Group sets its own car mileage rates. Currently the amount payable is aligned with the Inland Revenue rate of 45p per business mile for the first 10,000 miles and 25p per mile thereafter 10.
