(SMarT and ISEAS funding) Date of issue: 22 nd January 2014 Issued by (name): Martyn Thomas Fleet Training Manager Technical & Cadets Overall Purpose of Role : Work with the Fleet Training Manager Technical & Cadets, in the management of Carnival UK Cadet and Officer training programs. This includes ensuring the welfare and pastoral needs of all officers, from cadets to Chief Engineers and Captains is met whilst they achieve their personal development goals. Incorporated into this is the day to day management of the Carnival UK cadet and officer training programmes. This includes managing the cadet recruitment process, rotation process, HR function and completion of all college and MNTB requirements. Building a good rapport with all Cadet and Officer training program stakeholders will be essential, this will include the MNTB, Nautical Colleges, onboard and shore side management, HR teams and other members of Marine & HESS teams. Monitoring and managing the expectations of officers in relation to training for promotions will be required and an understanding of the Carnival UK training process will be essential. Page 1 of 6

2 Main Activities and Responsibilities People Management / Coaching / Development / Resourcing Provide Coaching and Development, with the support of the HR Development Team to all Cadets and officers, with specific reference to the Company Induction and Training & Development programs. Communicate, support and direct the Fleet HR Training Administrator responsible for Cadets Cadet and officer welfare and pastoral responsibilities Customer Responsibilities (Internal & External Customers) Forges strong relationships with and evaluates the Colleges, Universities and training providers to ensure appropriate Training courses are available and meet our needs. Works positively with Operational, HR Development and Fleet HR Departments to ensure the successful continuation of the Carnival UK Cadet and Officer Training Programs Responsible for building close and positive relationships with all Training & Development colleagues and Training establishments and maintain these relationships Regular liaison with cadets, cadets parents/guardians (If under 18) and officers ensuring appropriate feedback and support is provided during the full Cadetship and personal development programmes. Regular liaison with all stakeholders ensuring appropriate feedback and support is provided during the full training and development program Provide weekly updates on cadets and officers to the Fleet Training Manager Technical & Cadets to help with monthly reporting Technical (including systems) and/or Professional Responsibilities Manage the training and development programs for officers in coordination with fleet training ensuring officers are on the correct courses. Oversee the accuracy of the MAPS system with all Cadets College schematics and seagoing rotations. Develop and control the rotation plan parameters and coordinate individual cadets sea time and ensure Cadets acquire the requisite sea time in compliance with training. Produce cadet rotation plan and provide this to Fleet Rotations for management into the system and monitor its accuracy. Review both college reports and sea appraisals and initiate any consequences with the Fleet Training Manager Technical & Cadets Responsible for the accurate and regular updating of the Cadet & 3 rd Officer Projected Availability Grid, informing Fleet Training, Fleet HR Admin, Recruitment and Rotations of Cadet qualification dates and further training needs. Supervising the expense claims made in association with Assessment Centres Responsible for accuracy of Cadets pay and it being correct, inclusive of the maintenance of payrolls Underlapping & Overlapping report and ensure all Cadets pay is accurate. Coordinate cadet pay issues through Fleet Payroll when required. Manage, create and update Cadet Forums on Company Intranet, Carnivalukcareers.com, Facebook, Twitter and Linked In to advertise the Cadet Programs. Assist and complete all necessary arrangements for the 6 monthly SMarT audits for Ricardo-AEA Page 2 of 6

3 Complete all SMarT Funding and ISEAS funding on a monthly basis and raise issues with Fleet Training Manager Technical & Cadets to ensure all claims are made with the required deadlines. Administration Responsibilities Oversees the Cadet Assessment days with the Carnival UK recruitment team and arrange interview tables ensuring either themselves or Fleet Training Manager Technical & Cadets is present as well as Carnival UK recruitment. Ensures that all new Cadets are ready to embark on their Training Programs at their relevant Colleges. Inclusive of distributing and receiving employment contracts, training agreements, associated Cadet Guidelines, sea going information, College schematics and ensuring cadet employment packs are created. Responsible for managing the sea phases for Cadets, liaising with Cadets, Designated Shipboard Training Officers and HRM s, including distributing Cadet Appraisals and Reports. Responsible for updating all requisite databases in reference to cadet program including MAPS and recruitment grid. Manages and participates in the Cadet Induction Program, liaising with HR Development, Cadets and all associated stakeholders. This is includes attendance for the measurement of Cadets Uniform. Works with HR Development and Fleet Training Manager Technical & Cadets to expand the Cadet Program to be inclusive of Company Training initiatives Support and direct the Fleet Training Administrator in reviewing and responding to all postal and web based application forms. Complete requests to recommend employment for qualified cadets to Fleet HR Services once CoC has arrived. Other Responsibilities Oversees CUK participation in Careers Fairs and Open days with Fleet Training Manager Cadets, maintaining the visibility of the Carnival UK Cadet Program ensuring the company maintains its leading edge. Coordinates and completes in College and Ship visits to meet Cadets and Officers, completing any necessary paperwork. Meet with onboard Training Managers to discuss Programs and resolve any issues, discuss Cadets progress etc. If required coordinate with Fleet Training Manager Technical & Cadets to attend visits. Responds to telephone queries about career opportunities and Assessment Centres from Cadets and on board SMT, in reference to Cadet Training Programs and Officer Training Programs and any other queries in a professional and courteous manner. Communicates appropriately and effectively in both a verbal and written manner Provides professional guidance on academic and behavioural standards Ensures the effective use of Cadet Appraisal s by onboard management to ensure that each Cadets training is progressing and on schedule Responsible for providing pastoral and welfare support for all Cadets. Liaises with Employment Relations when and if required Prepare all formal letters in relation to the Cadet Program for Fleet Training Manager Technical & Cadets to sign. In absence of Fleet Training Administrator, administer related cadet invoices and expenses and assign to correct cost centre. Encouraging growth within the Cadet Department in-line with departmental KSB s and objectives. Page 3 of 6

4 HESS Responsibilities Lead by example by taking care of the health and safety of yourself and others Report all accidents, near miss incidents and work related ill health conditions to your manager and to the Facilities department. Follow safety rules and procedures Use work equipment, personal protective equipment, substances, and safety devices correctly Take part in safety training & risk assessments and suggest ways of reducing risks. Act safely in accordance with our Elev8 safety behaviours General Responsibilities Adheres to Corporate Policies and Procedures, including Code of Conduct, Audit Procedures and any control related responsibility for financial data entered, stored, or reported via business systems within employees control (list not exhaustive). To undertake ad hoc duties as required. Special Requirements (Equipment Used, External Contacts etc): Computer, workstations and systems supported by the IT Department as required conducting duties details above. Other Features of Job (travel, hours of work, working conditions etc): Core hours of work are hours Additional 2 hours to be flexible to meet the service requirements (Department to be manned hours), subject to approval by the Fleet Training Manager Technical & Cadets and periodic review. A 1 hour lunch break to be taken between 1200 and 1400 hours at the Supervisors discretion Attendance at Careers Events, Colleges and on board ships will sometimes necessitate flexibility and/or extension of the working day as agreed.
