3 Trust Housing Association Ltd Job Description POST: Housing & Support Administrator LOCATION: New Mart Road, Edinburgh PURPOSE OF JOB To ensure that all administrative services are operating effectively within housing & support services and to provide administrative support to the team. MAIN DUTIES & ACTIVITIES Assist the Income team with the administrative duties involved in the monitoring and management of the Associations rent collection and arrears management processes, including the posting of Housing Benefit and the issuing of customer correspondence. Provide cover for the Allocations & Marketing Assistant and support the Allocations team in the marketing of empty properties, returned tenancy paperwork and the processing of the Associations TV Licences. Provide administrative support to ensure contractual reporting requirements are met timeously. Provide assistance with the inputting of data for Council returns, ensuring that all required information is received from colleagues prior to input date. Monitor receipt of additional hours payments and input data as per organisational processes for Finance Department. Complete internal paperwork for charging tenants that are paying for services via self directed support. Provide information to nominated Local Authorities regarding tenancy changes. Establish, maintain and update all relevant process notes. Plan diary and set task lists to ensure all returns are completed timeously and as per contract agreements. Establish, maintain and regularly update electronic files for all Local Authority contracts. Track and record all changes to contracts once advised.

4 Assist in the production of statistics as required by the Association (including those for, The Board, Sub Committees, Commissioning Authorities,The Scottish Housing Regulator and the Care Inspectorate) Any other duties of a similar nature which may be required from time to time. REPORTING ARRANGEMENTS The post holder will report to the Allocations & Income Team Leader who will agree through regular one to one meetings the relative priority to be given to the above tasks. However, the post holder will be responsible for organising and prioritising their own workload on a day to day basis.

5 PERSON PROFILE AND SPECIFICATION Skills & Abilities Essential Desirable Highly numerate, computer literate and accurate with their work Knowledge and experience in using Open Housing or similar housing management system. Ability to use Word, Excel, Outlook and other MS Office packages. Effective oral and written communication skills Ability to work to tight deadlines and prioritise workload Education, Qualifications, Training & Development Essential Desirable Good standard of general education. Willingness to undertake all appropriate training and personal development for the post Other factors and attributes Essential Desirable Able to demonstrate a clear understanding, personal commitment and positive approach to the values and vision of the Association to deliver an effective, efficient and valued service to our customers A strong commitment to providing a high quality and responsive service to all customers (applicants, tenants, staff and external agencies).
