2 ST JOHN S SCHOOL CANDIDATE BRIEF: HR ADMINISTRATOR - LEARNING AND DEVELOPMENT The School Thank you for your interest in St John s. This is an exciting time for our school, as I hope will be reflected in the information contained in this document. We are looking forward to welcoming an outstanding candidate into our community. Rowena Cole, The Head Set in the beautiful Surrey countryside, the School s 50-acre campus is close to Leatherhead town centre and the cultural attractions of nearby London. It has excellent transport links by road, rail and nearby airports Heathrow and Gatwick. The School has a reputation for innovation, academic excellence, strong pastoral care and a first class all-round education for every pupil. It is currently heavily oversubscribed with three candidates for every Year 9 place, and four candidates for every Year 7 place. The School has grown significantly over the course of the last five years and there are currently 763 pupils enrolled. Class sizes are small and the high standards set in the classroom reflect in excellent public examination results. In % of all grades were awarded at A* to B and 43% of grades at A* to A. 40% of all GCSE grades were awarded at A* and nearly 73% were awarded at A* or A. Our support staff are highly skilled and are integral to the successful running of the School, allowing our teachers to focus on teaching. Their efforts are the foundation on which academic achievements stand on. 3 HR Administrator - Learning and Development JOB PROFILE The HR Administrator - Learning and Development will be responsible for providing a high quality administrative service to the HR Department supporting the effective and efficient delivery of Learning and Development. ACCOUNTABILITY The HR Administrator - Learning and Development reports directly to the HR Manager. MAIN RESPONSIBILITIES Induction and probation Maintain a system for the effective induction and probation of staff Create induction and probation records on The HR database and advise Line Managers when midprobation and end of probation reviews are due and ensure that records are uploaded onto The HR database Assist with the delivery of HR induction to staff Identify statutory training and ensure this is arranged/ delivered within an appropriate timeframe Ensure that DSE workplace assessments are conducted for all new staff who regularly use DSE as a significant part of their normal work and ensure these are reviewed annually and when equipment or office layouts change. Follow up any actions needed with the Purchasing Co-ordinator and the IT Network Manager as necessary and maintain a system to ensure that these have been addressed. Training Arrange Child Protection/ Safeguarding training for all new staff and maintain a training register to ensure the timely renewal of all training Compile and maintain a training register for all staff, providing accurate data for expiry and renewal of all statutory training Ensure training needs identified during the induction and appraisal process are carried out and recorded, assisting with arranging the training where necessary Produce regular training reports. Appraisals and performance management Create and maintain appraisal records on The HR database and assist with the performance management and appraisal process for all staff. Administration Help to maintain data on the HR database and compile reports as required Provide administrative support including answering the telephone, dealing with queries and filing Assist with the leavers process; such as booking exit interviews, notifying relevant departments to ensure the return of school equipment and archiving folders Assist the HR department as needed with other HR duties. NB This list is not exhaustive and you may be required to undertake other duties as required by the HR Manager. This job description may be amended to meet the needs of the School.

4 HR Administrator - Learning and Development EXPERIENCE, SKILLS & QUALIFICATIONS Flexible, enthusiastic and self-motivated team player Excellent administration and communication skills Accuracy and good attention to detail are key as is the desire and ability to take ownership of tasks and to see them finished on time and to a high standard Ability to work in a professional and confidential manner Good working knowledge of MS Office Ability to prioritise workload and plan appropriately to meet deadlines Ability to work under pressure with an adaptable and a confident approach to meeting competing and changing deadlines and working in a busy office. Holiday entitlement is 28 days including Bank Holidays plus 3 days at Christmas when the School is closed. There is a probationary period of six months and the appointment is subject to satisfactory references and clearance by the Disclosure and Barring Service. The post carries entitlement to membership of the School s Group Personal Pension Plan. Staff are permitted to use the facilities on site (such as the swimming pool, tennis courts and Library) at times which do not conflict with the School s requirements and within the School rules. CONDITIONS OF SERVICE Basic salary will be on Band 5 of the support staff salary scale 19,874 21,822 pro rata, circa 15,500 depending upon skills and experience, paid monthly pro-rata over the year. There is an annual review on 1 September each year. The position is part-time, all year round. The hours are expected to be 25 hours per week, preferably 8am to 1pm, five days a week but these are open to negotiation. Hours may vary according to the needs of the role.

The post-holder s responsibility for promoting and safeguarding the welfare of children and young persons for whom she/he is responsible, or with whom she/he comes into contact, will be to adhere to and ensure compliance with the School s Child Protection Policy Statement at all times. If in the course of carrying out the duties of the post the post-holder becomes aware of any actual or potential risks to the safety or welfare of children in the School she/he must report any concerns to the School s Designated Safeguarding Lead.
