4 EXHIBITION TIMETABLE Exhibition Build All stands will be provided with shell scheme, unless space only is specifically requested. The deadline for requesting a space only stand is Monday 5 th March The shell scheme will be constructed on Wednesday 6 June Exhibitors and their contractors will have access to the hall to dress stands from hours. No access will be granted before 1330 hours unless you have requested a space only stand. Wednesday 6 June hours Space only Construction hours Shell Scheme Stand Decoration and Dressing All stand dressing must be completed by 1800 hours on Wednesday 6 June. Opening Hours Thursday 7 June Friday 8 June hours hours The exhibition hall will be open from 0800 hours each day for exhibitors to carry out maintenance work to stands. All work must be complete prior to the exhibition opening at 0830 hours. Breakdown Friday 8 June hours Breakdown of stands prior to the exhibition closing is STRICTLY PROHIBITED. Power will be switched off immediately after the close of the exhibition. 4

Exhibitors and sponsors should source accommodation themselves as this is not included in the exhibitor packages. Please visit: for information on local hotels. ADMISSION TO THE EXHIBITION For general admission times, please see the timetable on page 4. Exhibitors requiring access outside these times require the permission of the organiser. Please contact the Focus 2018 Secretariat by focus2018@acb.org.uk Exhibitors or their contractors are responsible for transporting and setting up their own equipment. Trolleys will not be provided by the venue or the conference organiser, therefore exhibitors are encouraged to take their own. 5

6 AUDIO-VISUAL SERVICES For the hire of audio-visual equipment, please contact Fastlane Displays Ltd for information on rates and services. CAR PARKING Information on local car parking is included in the appendices to this document CATERING-GENERAL There will be catering stations set up in the exhibition hall, serving refreshments and lunch for the delegates at the allotted times in the programme. CONFERENCE DINNER The Conference Dinner provides a great networking opportunity for sponsors and exhibitors. The dinner will be held at The Monastery, 89 Gorton Lane, Manchester, M12 5WF on Thursday 7 June. Conference Dinner Tickets can be ordered in the Exhibitor Proforma form found in the appendices. Please return this to the Conference Secretariat by the deadline date to pre-order your tickets. Spaces are limited, therefore pre-ordering is advised. CATERING- STAND Please note that exhibitors will not be permitted to operate coffee machines on their stands. Hospitality can be provided by the venue on request, all orders must be made 10 days prior to the event. CLEANING All social spaces are cleaned daily, however, the cleanliness of an exhibition stand is the responsibility of the Exhibitors. Exhibitors are also responsible for taking away all materials after the event. Exhibitors are required to ensure that aisles are clear of debris at all times, and combustible materials are not stored on the premises. Exhibitors are responsible for removing all waste materials from the venue prior to departure. Any articles left in the venue after the event closes will be deemed to be waste material and will be discarded. Charges may be levied to the cost of the disposal of packages and material left in the venue. CLOAKROOM/STORAGE Room G.87 on the ground floor of the Brooks building will be made available as a cloakroom / limited storage facility for the event. Please enquire at the Registration/Reception Desk for further details. Please ensure all belongings are cleared from the cloakroom before the end of official closing time. The ACB and the Manchester Metropolitan University take no responsibility for loss of valuable items. DELIVERY PROCEDURES Deliveries by exhibitors will only be accepted by Manchester Metropolitan University for this event from the 4th June 2018 between 9am 5pm. Deliveries will be very strictly managed and controlled and failure to adhere to the 6

7 dates will result in non-acceptance by the venue. Goods must be labelled clearly, and include: Delivery address ACB Focus 2018 Conference c/o: Emily Gilhooley (conference & events) Manchester Metropolitan University Brooks building Birley Campus 53 Bonsall Street Manchester M15 6GX DATE OF EVENT: 6 th 8 th June 2018 EXHIBITOR: [Please add Name of Exhibitor and Stand Number] The venue is rightly sensitive about damage and dilapidation to the building fixtures and fittings. Exhibitors will be held responsible for any damage incurred by whatever means on Manchester Metropolitan University s premises during occupancy and will be required to make good such damage at their own expense. Exhibitors are strongly recommended to cover themselves against this and other eventualities through insurance as this is not included in the cost of the Exhibitor package. Providing all delivery/collection dates are adhered to, goods may be sent by courier to the venue before the event and returned after the event in the same way. Manchester Metropolitan University will take no responsibility for this and the cost of the courier to/from must be pre-paid by the exhibitor. Any deliveries by this method must include the name of the stand holder and the title of the event, and for returning goods MUST include the name of the courier and the date of collection. Manchester Metropolitan University is not responsible for any damage to goods during transit to and from the venue. Goods may be discarded or penalty payments may be incurred if goods are not collected as arranged after the event. UNLOADING/LOADING There is an area close to the side of the Brooks building, where exhibitors may park to remove equipment from their vehicles. This bay is located in-between building 17 and the disabled parking bays. Vehicle details should be supplied to the organisers in advance. Using the attached loading bay schedule doc. As space is limited, exhibitors should off load/load their equipment as quickly as possible and then remove their vehicle. If a parking space has been reserved for you, this can be collected from the Brooks reception before parking on site. Please note: Drivers should follow instructions from venue staff Ensure all drivers know their stand name and number Drivers must not block entrances/exits Drivers must remove their vehicles quickly 7

8 Delivery during build-up and breakdown Please read this section carefully and ensure that your transportation department and/or shippers are aware of the procedures. Regulations do not permit the change of exhibits (including raw materials and disposal of scrap) during the open hours of the exhibition. Any exhibitor wishing to bring in, or remove, equipment during the run of the exhibition must apply to the organisers for permission to do so, in order that appropriate arrangements can be made. Please ensure that a representative from your stand is available to receive any goods delivered during the event. For security reasons, the organisers are unable to accept deliveries on behalf of exhibitors. All goods and packages should be clearly labelled as instructed. Breakdown Procedures Breakdown time is from hours on Friday 8 June. Breakdown of stands prior to the exhibition closing is strictly prohibited. Power will be switched off immediately after the close of the exhibition. In order to ensure everybody leaves the building quickly and safely, please follow the procedures listed below. Vehicle details should be supplied to the organisers in advance. Using the attached loading bay schedule doc. 1. To avoid congestion and unnecessary delays vehicles should be removed from the loading area immediately after loading. 2. Exhibitors must make arrangements for the removal of portable or easily removable items of value from the stand as soon as possible, but on no account may exhibitors start to dismantle or remove exhibits from their stand before the close of the Exhibition. Please note: Drivers should follow instructions from venue staff Ensure all drivers know their stand name and number Drivers must not block entrances/exits Drivers must remove their vehicles quickly Collections Parcels that are left with the Manchester Metropolitan University to be collected by a courier must be clearly labelled and securely packaged. Address labels should be marked clearly with the following information: (Company name) (Full return address) Name of Courier Company: (insert full details) No of items: (insert) Booking reference from courier: (insert) It is the exhibitor s responsibility to ensure parcels left for collection are packaged and labelled correctly. Items should not be left in the exhibition hall. Goods may be discarded or penalty payments may be incurred if goods are not collected as arranged after the event. 8

9 ELECTRICAL SERVICES As detailed in the sponsorship brochure the following electrical package is provided: A single 500w (2 amp max) socket on the back-wall plus one 5 fixed fluorescent light per 6 sqm shell scheme stand booked. To comply with conditions laid down by HSE and the venue, all connections made to the electrical supply must be made by the official contractor (this does not include plugging simple equipment into a 13A socket). The venue has the right to remove any stand of equipment which causes an obstruction or violates Health and Safety Regulation. The venue has the right to prevent the use of any electrical equipment brought by exhibitors, which is deemed dangerous or unfit for use. All exhibitors must carry out electrical testing and be able to provide an up-to-date Portable Appliance Test Certificate as proof, upon request. If you require additional electrical services and lighting, please complete the Electrical Order Form and return to the address below: Fastlane Displays Ltd. Britannia House Beza Road Hunslet, Leeds LS10 2BR Tel: +44 (0) sales@fastlanedisplays.co.uk No flashing lights or signs will be permitted, but sequence-lit displays may be used subject to the approval of the Organisers. Exhibitors must not connect any high power devices - such as devices containing heating elements - to the electrical supply. Coffee makers are prohibited from being brought into the Exhibition Hall. If in doubt whether a device is acceptable, please contact focus2018@acb.org.uk before the meeting or enquire at the Registration Desk during the meeting. The Organisers reserve the right to disconnect the electrical supply to any installation, which in the opinion of the Electrical Engineers is dangerous or likely to cause annoyance to visitors or exhibitors. Please note all electrical supplies will be switched off after the close of the exhibition each day. If you require 24-hour supply, please book this in advance. Portable Appliance Test ( PAT ) Certification Every piece of electrical kit (including for the avoidance of doubt any items under 12 months old) must carry a valid PAT certificate, otherwise it will not be allowed to be plugged into any of the electrical circuits at the venue. BANNER A Focus banner will be sent to you by the Conference Secretariat in various formats. The banner can be easily inserted into the body of your s. This can be used on all correspondence between you and your clients. You can link this to the meeting website: acb.org.uk/focus 9

10 EMPLOYMENT OF LABOUR The Organiser is not able to supply labour for the handling of goods and other items. Exhibitors should arrange with the lifting contractor, shipping and forwarding agent or stand fitting contractor for this service and should not employ any casual labour offered in the hall. The exhibitor should not make payments to labour staff to secure preferential treatment and is asked to report immediately to the Organiser any employee soliciting money for services rendered. In the interest of the Exhibition as a whole, which must be the primary concern at all times, the Organiser s decision on any dispute concerning labour being employed must be taken as final. EMERGENCY ATTENTION If you require emergency attention, contact security on extension 1334 and inform the Team Leader via Brooks building reception, extension 1418 FIRE PRECAUTIONS In the event of fire, switch off all electrical equipment and machinery in the vicinity of the fire, notify the venue s Facilities staff immediately and vacate the area promptly via the nearest fire exit. Further details on security arrangements will be advised nearer the opening of the event (where appropriate). EXHIBITOR PROFORMA An Exhibitor Proforma is enclosed, which should be completed and returned to the Focus Secretariat no later than 16 April. The proforma will allow exhibitors to provide the names of staff working on set up and break down of the stands for their admission badges. Unless otherwise stated, exhibitor packages come with one complimentary delegate place for the duration of Focus Additional exhibitor places can be purchased at a cost of 60 per place. Exhibitor badges can be collected from 13:00 on Wednesday 6 June at the Focus 2018 registration desk. If the Exhibitor Proforma is not completed and returned to the Focus Secretariat by the deadline date, there may be a delay receiving your badges. If a name badge is lost during the conference, please report to the registration desk and a new badge will be issued. EXHIBITION TICKETS Exhibition tickets are available for exhibiting companies to pass on to clients who may wish to visit the Focus 2018 exhibition. The ticket allows those who are not registered Focus delegates to attend the exhibition only at a fee of 60 per person. To register additional places, complete the Exhibitors Proforma and return to the Conference Secretariat. These tickets will not allow clients into the lecture theatres. Should your clients wish to enter the presentations too, they will need to be registered for a full / one-day delegate place at 10

11 EXHIBITOR BADGES All exhibitors, contractors, staff and visitors will require a badge to access the exhibition halls, during build-up, breakdown and during the conference. Each exhibiting company will be given staff name badges for stand staff to be used during the conference and these are interchangeable, however all names will be required in advance. Please use the Exhibitors Proforma attached to provide the names of staff attending. Badges can be collected from the registration desk from 1300 on Wednesday 6 June. FLOOR COVERING The floor of the exhibition hall will be carpeted. Additional floor covering will not be required, however, if you would like to order your own carpeting, please contact Fastlane Displays Ltd and this can be provided. FLOOR LOADING Although no maximum permitted floor loading capacity for the venue has been advised, Exhibitors must inform Manchester Metropolitan University of any heavy equipment being taken into the venue at the earliest opportunity. Vehicular access is not possible. FURNITURE HIRE Please note that no furniture is included within the exhibition package. Fastlane Displays Ltd can supply stand furniture if required. Please see the Extras form for more details and enquire via sales@fastlanedisplays.co.uk HANDLING AND UNPACKING Exhibitors are reminded that they must make arrangements with any lifting contractors for unloading and depositing of exhibits on the stand. Should this be required, exhibitors will need to advise the Focus 2018 Secretariat in advance. No excess stock and literature, or packing cases may be stored on, around or behind stands and aisles must be kept clear at all times. INSURANCE Whilst every reasonable precaution is taken, the Organisers expressly decline responsibility for any loss or damage which may befall the person or property of the Exhibitor or his agent from any cause whatsoever. Exhibitors are required to take out appropriate insurance, especially third party liability. It remains the Exhibitors full responsibility to insure themselves appropriately. Note: If your stand space will include equipment other than a laptop, literature and pop up banner stands, please advise the Conference Secretariat by 16 April 2018, so that we can complete the necessary risk assessments with the venue as required. INTERNET ACCESS Free Wi-Fi will be available to exhibitors and delegates during Focus This should only be used for regular web browsing. Information on how to access the Wi-Fi network can be obtained from the Focus 2018 registration desk. 11

12 MUSIC & SOUND PRS Licenses All exhibitors who wish to play music on their stand including the use of any mechanical or electronic devices for playing music (record, CD, tape, video) will need to seek permission from the Focus 2018 Secretariat and will need to arrange for the appropriate license. PPL Licenses The Phonographic Rights Society requires exhibitors who propose to use audio or visual equipment (TV, videos, CDs, cassettes or other electronic means) for the purpose of playing sound recordings or showing films or other forms of visual image, to acquire a PPL License. REMOVAL OF EXHIBITS Exhibitors must arrange for the removal of exhibits after 1600 hours on Friday 8 June and the stands must be cleared by 17:30. Any exhibitor who is unable to remove personal effects should contact the Conference Secretariat. See the above section on Car Parking should you need to access the loading bay during this time. SECURITY A security service will operate within the venue throughout the tenancy, but neither the organisers nor the Manchester Metropolitan University can be held responsible for any loss or damage to exhibitor s property. You are reminded that the Manchester Metropolitan University is a fully functioning university and some areas of the building will remain open to the public during the conference. As well as taking out adequate insurance, exhibitors should instruct their personnel not to leave their stands with exhibits unattended at any time when the exhibition is open, whether during the installation, open or dismantling periods. Briefcases, laptops and mobile telephones are particularly vulnerable safeguard them at all times. Portable items should be secured overnight and removed immediately after the exhibition closes when the risk of loss or damage is at its greatest. In the event of loss or damage, exhibitors should report immediately to the Organiser with details of the loss or damage sustained with timings and a description of articles etc. 12

13 SHELL SCHEME AND STAND SPECIFICATION Fastlane Displays Ltd has been appointed official shell scheme contractor to the exhibition. Please direct any queries relative to the shell scheme to the Focus 2018 Secretariat. Corner stands will be built with 2 open sides and adjoining stands will be built with a central wall unless otherwise specified to the stand contractor. If you have selected a stand in the middle of a row, only the front side will be open. Please note that space only stands located in a middle position within a row, have to be built to the size specification of 2930mm x 1938mm and not 3000mm x 2000mm. This will ensure that the stand structure fits within the 6 square metre space allocated. Space only structures built exactly to 6sqm will not be approved by the conference organiser. All shell scheme enquiries should be directed to focus2018@acb.org.uk Edge Shell Scheme System PLEASE NOTE THAT GREY SHELL SCHEME WILL BE PROVIDED Basic Shell Scheme, consisting of brushed aluminium frame, grey loop Velcro compatible infill panels, blue fascia and one 1200x250mm name board detailing company name and stand number. Floor Covering The Exhibition Hall will be carpeted throughout. Fascia One name board per stand stating the Company Name and Stand Number. Please complete the Name Board Order Form and return it to Fastlane Displays Ltd by the deadline date of 23 May If you do not return this form to Fastlane Displays Ltd before the deadline, your company Name Board will read as per the conference confirmation booking form. Shell Scheme Stand Regulations All interior stand fittings must be contained within the shell stand structure and not exceed 2380mm in height. If you are building a space only within the shell scheme and your stand is in the middle of a row, please ensure that the stand fits within the space allocation. The size specification is 2955mm x 1955mm and not 3000mm x 2000mm. When planning the interior of the stand, the exhibitors should take into account the following stand building regulations: 1. The organiser will be responsible for the official identification and numbering of the stand, please see Name Board Order Form. Logos will not be added to the name board. 2. Under no circumstances must the wall panels be punctured. Should this occur, the contractor will invoke an extra charge. Fixing may be double sided tabs, Velcro hook and loop or similar. 3. Optional Extras Details of additional stand fitting s designed to be integral within the stand structure, are enclosed together with order forms to assist you in planning your stand. Please contact Fastlane Displays Ltd at sales@fastlanedisplays.co.uk by the deadline date for queries. No painting is allowed within the shell scheme. 13

14 PUBLICITY Promotional or other materials may not be fixed to the property of Manchester Metropolitan University without permission from the Manchester Metropolitan University Event Co-ordinator. RISK ASSESSMENT A suitable and sufficient risk assessment must be undertaken by each Exhibitor. All efforts must be made to prevent them falling and injuring persons or falling and obstructing escape routes. When using electrical equipment, please ensure that all cables are fully unwound to avoid over heating. Please ensure that all cables are covered and secure so that they are not a trip hazard. Do not overload sockets or extension cables. SMOKING POLICY Manchester Metropolitan University has a strict no smoking policy in all buildings. Smoking is only permitted in designated areas on the campus. TRAVEL INFORMATION Here is some useful information on how to get to the venue. Please view the website at: for details. VENUE The meeting will be held at the Manchester Metropolitan University: Manchester Metropolitan University Brooks Building 53 Bonsall Street Manchester M15 6GX Website: The latest exhibition plan can be found at: WHAT IS COVERED WITHIN THE PACKAGE Exhibition package include the following: Shell scheme An electrical package based on one socket per 6sqm block A 100 word entry on the Focus 2018 Conference App and a listing on the Focus 2018 website with a link to the company website 1 complimentary scientific programme registration and 1 exhibition only registration per 6sqm block (please note these tickets are NOT transferable). Please note that these registrations do not include Conference Dinner tickets. The Commercial Partner Package includes the following: Company name and logo on all promotional PDFs Company logo on the focus website with link to company website Company name and logo on the Focus 2018 Conference App with a 100 word text entry (if exhibiting, the 100 words are additional to exhibition package entry) 14

15 1 App push notification (maximum 500 characters with a subject line no greater than 100 characters) 6 scientific programme registrations. Please note that these registrations do not include Conference Dinner tickets. The Industry Sponsored Workshop package includes the following: Two exhibition only registrations, with access to the lecture theatre for the duration of the Industry Sponsored Workshop Conference Dinner tickets may be purchased separately at a cost of 60 each. 15
