QuickBks Integratin Setup Tax Rates Befre beginning the integratin prcess tax rates must be setup bth in CRE/RPE and QuickBks, and the rates must match. In QuickBks yu will need t create Sales Tax Items fr EACH tax rate that exists in CRE. If there are n tax rates cnfigured in CRE/RPE a tax rate must still be created fr the exprt t wrk... QuickBks Integratin Setup Preferences Befre beginning the integratin prcess sme preferences have t be set. In QuickBks make sure that Inventry and purchase rders are active is checked. Nte: Yu will nly need t d this if yu are using QuickBks t track inventry and purchase rders. In QuickBks make sure that Time Frmat is set t Minutes (10:12). In QuickBks make sure that Time Tracking is set t Yes. In QuickBks make sure that the First Day f Wrk Week matches what is setup in the setup screen f CRE/RPE under Wrk Week Starts On QuickBks Integratin Setup Discunt Item In QuickBks there must be an item that accunts fr all f the discunts in CRE/RPE. QuickBks Integratin Setup Lcal Sales Tax Item In QuickBks there must be an item that accunts fr all f the Lcal Sales Tax in CRE/RPE. Nte: This item MUST be named Lcal Sales Tax. QuickBks Integratin Setup Opening Bal Equity Accunt In QuickBks there must be an accunt that is setup fr the pening balance equity. Nte: The Accunt Name MUST be Opening Bal Equity, this accunt must als be an Equity accunt.

CRE/RPE - QuickBks Integratin Setup After QuickBks has pened clse all f the pen windws inside f it s it lks like this (pictured left). At this pint in time we will need t pen CRE/RPE s that we can start the integratin prcess. Open CRE/RPE. Select the Manager r Optins buttn. Enter the administratr passwrd (default: admin) where applicable. Select Tls then, QuickBks Sales Pass. If yu receive a message (pictured left) then click the link t begin dwnlading the required cmpnent. Select Ok. Yu MUST install the dwnlad file if prmpted befre beginning the integratin. If yu are prmpted t run the applicatin, select Run.

When the installer has finished Select Finish n this screen. At the Accunting Exprt page select the Cnfiguratin buttn. Nte: Yu may receive sme errrs when trying t view the next screen, just select Ok t all f them. This is a netime ccurrence due t the integratin nt being cmpleted. After selecting the crrect cmpany file these errr message shuld nt appear again.

After selecting the Cnfiguratin buttn yu may be prmpted t g back int QuickBks and select hw and when CRE/RPE will be allwed t access the cmpany file. Nte: Fr added security yu may want t select the ptin t nly allw the Cmpany file t be accessed nly when QuickBks is pen. The last Yes, always allw ptin is mst ften selected. Select Cntinue. Then select Yes that yu want t allw access. Select Dne t the Access Cnfirmatin windw. Switch back t CRE/RPE. Select the Dmain tab. Under Dmain select Remte. Under Remte Access enter the fllwing infrmatin: Select Cnnect. URL This is the address f the web prtal.** Prtal ID This is the specific ID f yur prtal. User ID This is the username yu use t access the web prtal. Passwrd This is the passwrd fr the user ID yu use t access the prtal. Select either Yes r N under Encryptin (depending n if yu use encryptin).

Select the General tab. Under Stre select the stre(s) yu wuld like t be enabled fr the exprt. ** http://prtal2.pcamerica.cm/prtal/desktpmdules/iweb/webservice.asmx ** http://prtal3.pcamerica.cm/prtal/desktpmdules/iweb/webservice.asmx

Chsing the Type f Exprt t Perfrm Sales Exprts: The General Sales Exprt cnsists f sales figures (i.e. Net Sales = $7,692.54) being sent t accunts specified in QuickBks. The data that is exprted is similar t what yu will find n the tp f yur Detailed Daily, r End f Day reprt (under Sales Ttals and Breakdwn by Payment Type). The Itemized Sales Exprt cnsists f itemized invice data brken dwn and is the mre detailed f the tw exprts. The infrmatin in the itemized invice exprt is similar t what is displayed n the Receipt Listing Reprt. This intricate exprt may als need additinal infrmatin exprted: In rder t run an Itemized Exprt, additinal infrmatin may need t be exprted in cnjunctin with the itemized ne, depending n the type f transactins that have been perfrmed: Nte: Any f the fllwing can be exprted separately, if yu require nly the specific infrmatin t be sent t QuickBks. Other Exprts: Custmer (Custmer Infrmatin) Exprt Inventry Exprt The PO (Purchase Orders) Exprt will exprt all f yur PO purchase Order infrmatin t QuickBks. The Time Sheet (Emplyee Wages) Exprt will exprt all f yur emplyee s hurs and wages t QuickBks. The AR (Accunts Receivable) Exprt will exprt all f yur A/R (accunts Receivable) data t QuickBks. Other Infrmatin: The Misc tab will allw yu t clear the infrmatin in the CRE/RPE Database, which can be helpful when n infrmatin is being exprted t a new cmpany file.

General Sales Exprt T perfrm a General Sales Exprt: Fllw the instructins in the fllwing dcument: http://faq.pcamerica.cm/sftware/accunting/quickbks-exprts/general-sales-exprt-guide The fllwing differences will need t dne t the abve dcument 1. The accunts that have been setup must be specified fr each stre. (see: General Sales Exprt - Accunt Selectin) 2. The timeframe fr the exprt fr each stre must be specified. (see: General Sales Exprt - ExprtDates Cnfiguratin) 3. The infrmatin t be exprted must be specified fr each stre. (see: General Sales Exprt - Final Cnfiguratin)

General Sales Exprt - Accunt Selectin In CRE/RPE after selecting yur Cmpany File yu will want t select GeneralSales n the left. On the tp under Stre Setting select either All Selected Stres r, select yur stre id (e.g. 1001). Fr mre infrmatin n selecting and cnfiguring yur stre infrmatin please see: Stre Setting Cnfiguratin Under the General Sales sectin yu will want t: Enable General Sales, which will allw CRE/RPE t exprt the General Sales infrmatin int QuickBks. The Debit and Credit clumns have drpdwns that are directly referenced frm yur chart f accunts in QuickBks. Use the drpdwn t select each accunt yu wuld like the specific infrmatin psted t.

General Sales Exprt ExprtDates Cnfiguratin Select ExprtDates n the left. On the tp under Stre Setting select either All Selected Stres r, select yur stre id (e.g. 1001). Fr mre infrmatin n selecting and cnfiguring yur stre infrmatin please see: Stre Setting Cnfiguratin Under the Result f previus sessin sectin make sure that Warn f previus result is checked. This will let yu knw whether r nt the previus sessin (exprt) has cmpleted withut an errr, regardless f data that was exprted. Under the Last Exprt Dates sectin we will need t select the date t being the exprt frm fr the fllwing: General Sales Select Save and Exit.

General Sales Exprt - Final Cnfiguratin Under the Exprt Dates tab we will select the date and time range which will be exprted. Nte: This date and time range reflects what was selected in the General Sales Exprt - ExprtDates Cnfiguratin sectin t the current date. It can be edited by duble clicking the date/time field under the Frm r T clumns. Under the Net Sales tab yu will see the NetSales Exprt Type. The infrmatin yu wuld like t exprt will determine whether r nt Enabled will be checked fr this item. Fr mre infrmatin n the exprt breakdwn and grupings please see: Exprt Set: Breakdwn and Grupings Nte: If yu decide t select NetSales t exprt yu will want t nte that selecting TaxedSales, NnTaxedSales, r TaxExemptSales t exprt under the Sales Ttal Tax tab, will cause yur sales infrmatin t be exprted t tw different accunts, depending n what was selected under General Sales Exprt - Accunt Selectin.

Under the Sales Ttal Tax tab select: TtalTax t exprt the ttal tax fr all sales. TaxedSales t exprt the taxed sales fr the date/time range. NnTaxedSales t exprt the nn taxed sales fr the date/time range. TaxExemptSales will exprt the Tax exempt sales fr the date and time range. Under the Payment Tab yu can ptinally select t exprt payment types brken dwn. This will cause all f yur payment types t g t different accunts which yu will create in QuickBks. This will help if yu want t exprt yur credit cards, brken dwn t separate accunts in QuickBks. Fr mre infrmatin n the exprt breakdwn and grupings please see: Exprt Set: Breakdwn and Grupings Nte: If under Payment tab yu had previusly selected t exprt Cash, Check, r Debit Card this will als be selected in Payment Credit Card tab. Enabling bth Credit Card and brken dwn card types (E.g Visa,Master etc.) may result in duplicate entries in yur Chart f Accunts. Please check with yur accuntant fr accunt mapping that best fits fr yur business.

Selecting COGS r Cst f Gds Sld will exprt the cst as well as the price t help yu determine the prfit margin in QuickBks. If refunds are being prcessed use the drpdwn t select an accunt fr the data t be exprted t under Accunt Receivable (Fr Refund).

Invice (Itemized) Sales Exprt - Tax Rates Cnfiguratin Select Tax n the left. On the tp select yur stre id (e.g. 1001) under Stre Setting. Nte: Each stre must be cnfigured separately, meaning that each stre must be selected under Stre Setting and then the Tax rates must then be cnfigured. Under the Default Sales Tax sectin yu will want t: Use the drpdwn t select the tax rate t accunt fr all the sales tax n invice discunts, then select OK. Under the Sales Tax sectin yu will want t: Use the drpdwn t select the tax rate t accunt fr each sales tax item frm QuickBks.

Invice (Itemized) Sales Exprt - Gift Card Cnfiguratin Select GiftCard n the left. On the tp under Stre Setting select yur stre id (e.g. 1001). Nte: Each stre must be cnfigured separately, meaning that each stre must be selected under Stre Setting and then the Tax rates must then be cnfigured. Under the Gift Card Sale sectin yu will want t: Use the drpdwn t select the accunt in QuickBks fr all the Gift Card Sales infrmatin t be sent t (next t Accunt), then select OK. Type in the name f the Item t accunt fr all the Gift Card Sales (next t item), then select OK. If the item desn't exist in the cmpany file yu will be asked if yu wuld like t add it. An accunt must be created in QuickBks fr the Custmer Balance infrmatin t be sent t fr the Custmer Balance Override - A/R (Accunts Receivable) infrmatin. Access the Web Prtal. 2. Select Lgin n the right. 3. Enter the User Name and Passwrd and then select Lgin.

4. Select Emplyee Management, then select Emplyee Maintenance. 5. Select either Stre r Stre Grup (whichever is applicable). In this example we are selecting Stre.

6. Optinally yu can search fr the stre which yu wuld like t add the emplyee first and last names t. 7. After finding the stre/stre grup, select the checkbx next t the StreID and then select Next. 8. Press Select next t the CashierID.

9. Enter the fllwing infrmatin: First Name Last Name 10. When finished select Update. This prcess will need t be repeated fr each emplyee n each stre that the exprt will be perfrmed. Fr example: If there are three stres that yu will be exprting infrmatin frm yu will need t cnfigure first and last names fr each emplyee at each stre.

Misc Tab When an exprt has been perfrmed, infrmatin gets put int the database in rder t prevent duplicate data frm being exprted. The Misc tab is used t clear the exprt infrmatin frm the CRE/RPE database fr a few reasns, sme f which may include: If a test exprt has been perfrmed (usually happens when an exprt t test the integratin has been perfrmed). If a new cmpany file is being used (usually happens when ld cmpany file gets lst). Either f the abve scenaris will require the fllwing be dne in QuickBks: A new QB cmpany file r different accunts in the existing cmpany file MUST be used, if this is nt dne the data will be duplicated rendering the existing cmpany file useless. Select the Misc tab. On the tp under Stre Setting select either All Selected Stres (which will clear the infrmatin fr all the stres) r, select yur stre id (e.g. 1001) which will clear the infrmatin fr each stre that is selected. Check the types f accunting infrmatin t be cleared. Select Run.

Stre Setting Cnfiguratin Using the drpdwn under Stre Setting settings can be cnfigured by ne f tw ways: By selecting, All Selected Stres This ptin will use all the Stres that have been checked n the General tab. Any accunts selected when this ptin is used will make all f the selected stres exprt t the accunts specified. This ptin is gd t be used when yu will be exprting all f yur infrmatin t ne set f accunts, which will nt be separated per stre. Fr example, If yu are ding a general sales exprt and wuld like t exprt all f yur stres (1001, 1002, 1003) net sales infrmatin t ne accunt (i.e. Net Sales - Credit), yu wuld use this methd. Using the drpdwn, select the All Selected Stres and then select the accunts yu wuld like t exprt t. By selecting each Stre ID separately (i.e. 1001, 1002, 1003), fr Stres that have been checked n the General tab. The accunts can then be selected separately per stre (i.e. Net Sales Debit 1001 selected fr stre 1001, Net Sales Debit 1002 selected fr stre 1002). After selecting the stre, the accunts must be selected per stre, this will nly exprt the selected stres infrmatin. Fr example, If yu are ding a general sales exprt and wuld like t exprt all f yur stres (1001, 1002, 1003) net sales infrmatin t separate accunts (i.e. Net Sales Credit 1001 and Net Sales Credit 1002), yu wuld use this methd. The first stre yu wuld like t cnfigure (i.e. 1001) needs t be selected then select the accunts yu wuld like t exprt this specific stres infrmatin t. Using the drpdwn select the secnd stre yu wuld like t cnfigure (i.e. 1002) then select the accunts yu wuld like t exprt this specific stres infrmatin t, repeat this prcess fr each stre that yu wuld like t exprt infrmatin fr.

Windws 7 Additinal Cnfiguratin If yu are using Windws 7 sme additinal cnfiguratin is required: Accunts must first be created in QuickBks. (see: Windws 7 Additinal Cnfiguratin - Creating a Standard User and Disabling UAC) The accunts that have been setup must be selected in CRE/RPE. (see: Windws 7 Additinal Cnfiguratin - Assigning the Crrect CRE.NET Flder Permissins) Windws 7 Additinal Cnfiguratin - Creating a Standard User and Disabling UAC Befre beginning the integratin prcess a standard user must be created in windws 7 fr the exprt t take place. Here we must als disable User Accunt Cntrl (UAC). Select Start. Select Cntrl Panel. Select User Accunts. If a standard user accunt already exists then we can use it t perfrm the exprt. If a standard User accunt des nt exist then select Create a new accunt.

Enter a username fr the accunt. Select Standard user. Select Create Accunt. Nte: Yu can add a passwrd fr this user fr added security. Select G t the main User Accunts page, at the bttm f the windw. Select Change User Accunt Cntrl settings.

Mve the slider t the bttm s that the selectin changes t Never ntify. Select OK. Nte: Yu will need t restart after making any changes t this page.

Windws 7 Additinal Cnfiguratin - Assigning the Crrect CRE.NET Flder Permissins After creating the standard user accunt we must then add Full Cntrl permissins t the CRE.NET flder fr that user. Navigate t the flder C:\Prgram Files (C:\Prgram Files(x86) fr windws 7 64 bit users). Right-click the CRE.NET flder, then select Prperties. Select the Security tab. Select Edit, t change permissins fr the flder.

Select Add... Enter the username f the user that was created in the previus sectin (in ur example pcamerica). Select OK.

Select OK t the permissins windw. Select OK t the CRE.NET prperties windw. Nte: Yu will need t repeat this prcess t the lcatin where the QuickBks cmpany file is lcated.

Trubleshting QuickBks Integratin If when trying t select the cmpany file yu receive an errr message stating "The Cmpany File Is In Use" please fllw the steps belw: Navigate t the flder C:\Prgram Files\CRE.NET (C:\Prgram Files(x86\CRE.NET) fr windws 7 64 bit users). Right-click the AccuntingExprtCnfig.xml file, then select Edit. We will need t change the line <filetopen> t the lcatin f where yur cmpany file is saved (fr example, <filetopen>c:\test\pcamerica.qbw</filetopen>): When dne select File, then select Save. Nte: If yu are still experiencing issues with the integratin please see belw: Make sure that UAC is turned ff. Make sure that yu are lgged in as a standard user. Try re-creating the cmpany file under the standard user.
