Extended Inventry Items Using the Item Number SmartFinder buttn Extended Inventry Items Extended Inventry Items is an enhanced replacement fr the Sage I/C Items screen.

Extended Inventry Items lets yu: Lk up items quickly with the Item SmartFinder, specifying ne r mre wrds in a brwser-like search field.

The Item in Use buttn at the bttm f the frm checks fr all references t items thrughut Sage 300 mdules t make sure that deleting items will nt cause integrity errrs.

1 Extended Inventry Items Using the Item Number SmartFinder buttn Extended Inventry Items Extended Inventry Items is an enhanced replacement fr the Sage I/C Items screen. It prvides yu with mre functinality fr adding and maintaining inventry items, and lets yu cpy existing item recrds t ther Sage 300 cmpany databases. Extended Inventry Items lets yu: Lk up items quickly with the Item SmartFinder, specifying ne r mre wrds in a brwser-like search field. Check whether items with zer quantities are being referenced by Sage 300 mdules befre deleting them (such as in ld sales rders r purchase rders). The Item in Use buttn at the bttm f the frm checks fr all references t items thrughut Sage 300 mdules t make sure that deleting items will nt cause integrity errrs. Maintain a full r partial set f inventry items acrss multiple Sage 300 cmpanies using the Cpy Items functinality. Specify a range f items frm the current cmpany, filter them by additinal criteria, cherrypick items frm the results, and then cpy the final set t ther assciated Sage 300 cmpanies. Select r de-select cmpanies n an individual basis. Update item descriptins nly. Display a full lg f updated items. Enter ne r mre wrds r wrd fragments in the Search field t search multiple tables and fields. Click the checkbx t search fr Active items nly.

2 Extended Inventry Items Using the Item Number SmartFinder buttn Using the Item Number SmartFinder buttn Click the Item Number buttn t pen the SmartFinder fr items. The Item SmartFinder prvides a Search field fr entering search wrds and a selectin grid with the search results. Enter ne r mre wrds r wrd fragments in the Search field t search multiple tables and fields. Click the checkbx t search fr Active items nly. Search returns items that cntain the search string in any f the searched fields. In the example abve, desk lamp appears in the descriptin fr ne item and in the cmment field fr the ther item. Bth items are displayed. Nte: All f the wrd fragments must be present in ne f the fields being searched. Fr example, if yu searched fr desk lamp, yu will nt see an item where nly desk is in the Descriptin field and nly lamp is in the Cmment 1 field. Using multiple wrds in the search? Enter "300 Main" and the search will find entries "300 Main Street" as well as "123 Main Street, Suite 300". Searching fr a phne number? Enter the phne number segments separated by blanks. Enter " " and the search will find "(451) " as well as "(408) ". Cpy Inventry Items t ther Sage 300 cmpanies IMPORTANT: Yu must enter a User ID and Passwrd t cpy item infrmatin. Make sure the User ID has sufficient rights t cmplete the peratin in the target cmpanies. If yu are inserting new items int ther cmpanies, check that a current backup exists fr the databases being affected. Open the Sage 300 cmpany with the inventry items that yu want t cpy. When the Cpy Items buttn is pressed, a windw will pp up fr selecting inventry items in the current (surce) cmpany.

This allws yu t cpy these new items directly t ther Sage cmpany databases.

The prgram displays the last set f ranges and filters used fr cpying and updating items.

When the Cpy Items buttn is pressed, a windw will pp up fr selecting inventry items in the current (surce) cmpany. Nte: By default, the grid at the bttm f the frm will display new items that were added in this sessin. This allws yu t cpy these new items directly t ther Sage cmpany databases. T cpy r update any set f items, start at the tp f the frm t specify the range f inventry items that yu want t cpy r update. The prgram displays the last set f ranges and filters used fr cpying and updating items. Click the Lad buttn t use the previus settings. Specify range f inventry items fr cpying: Yu can specify ranges fr up t seven inventry item fields t use fr item selectin including the item number, structure cde, categry, accunt set, r any f the ptinal fields that yu use fr inventry items. Select items using ranges f segment cdes: Yu can specify ranges fr all f the item segment cdes that are used fr inventry.

Chse additinal criteria: Click the Additinal Criteria buttn t use any inventry item field t filter items fr cpying. Click OK t save. Select items using ranges f segment cdes: Yu can specify ranges fr all f the item segment cdes that are used fr inventry. Fr example, the fllwing screen shws that nly items in categry A1 will be included. Substitute segment cdes when cpying: This checkbx lets yu cpy a grup f items with ne segment cde value t create a new grup f items with a new segment value. Fr example, if ne f yur item number segments shws the item clr, yu can cpy an existing set f Black items t a new set f Silver items. The new segment values must already be added t Inventry Cntrl using the TaiRx Extended I/C Segment Cdes frm r the Sage I/C Segment Cdes frm. Fr example, if yu are adding items with a new clr cde L, yu must add the L segment cde befre yu cpy inventry items using item substitutin. Extended Inventry Items allws cpying frm a cmpany t itself. If ther cmpanies are selected, the peratin will nly be perfrmed n thse cmpanies that have the target segment cde. All exceptins will be lgged. Fr example, the fllwing screen shws that all items with B (black) Clr segment cdes will be cpied t new item recrds with L (silver) Clr cdes. Select the Substitute Segment Cde checkbx, chse the segment that yu want t substitute values fr, and then specify the surce and target values. Yu can adjust the ranges r additinal criteria if necessary, then click Lad again.

When the Lad buttn is pressed, the prgram will display the inventry items in the item and segment ranges and with the additinal criteria that yu specified. Yu can adjust the ranges r additinal criteria if necessary, then click Lad again. Click the Select All and Select Nne buttns at the bttm f the screen t include all r nne f the items laded in the grid fr cpying. Duble-click in the Include clumn t cherry-pick Inventry Items: Click the Cpy buttn t display the T Cmpanies screen: When yu are happy with the set f items that yu have selected, click the Cpy buttn at the bttm f the screen. Fr example, chse Update Only t update address and cntact infrmatin fr all items. Chse whether t insert, insert and update, r just update inventry items. Insert Only will add cdes if the cde des nt already exist. It will nt change existing cdes. Update Only will nly update cdes that d exist but nt add new nes. If updating cdes nly, yu can als chse t update the descriptin nly. Insert and Update will perfrm bth f these peratins. Specify which data t update/insert: Chse which data yu want t update r insert item descriptins, vendr details r manufacturers item details. Update Item Descriptin Only appears fr Update Only. If yu chse it, the ther tw Cpy chices will nt be available. This checkbx will change item descriptins nly it desn t matter whether ther item prperties match. Nte that Cpy Vendr Details and Cpy Manufacturers' Items are nt selected by default. Except fr the special case f changing the descriptin nly, an update peratin will attempt t change the item in the target cmpany t be just like the item in the surce cmpany. In rder t d s, it will delete varius prperties (such as Optinal Fields) frm the target item and then add the prperties frm the surce item. It s pssible fr the update t fail if prperties dn't match r items are in use. Select target Sage cmpanies: Click the Select All and Select Nne buttns at the bttm f the frm t include all r nne f the target cmpanies. Click the checkbxes t cmplete yur cmpany selectins. Enter yur User ID and passwrd in the Sage 300 Sign-On windw and click OK. Nte: Yu MUST have sufficient permissins t update inventry items in the target cmpanies fr cpying t prceed. The prgram will cpy the inventry item infrmatin t the target cmpanies. If n changes are required fr a selected item, n update will be perfrmed s the audit stamp will be preserved. If yu cancel the peratin during the cpying prcess, yu must check the lg t see which prcedures were cmpleted and assess hw yu want t cntinue. Using the Item In Use buttn t check Inventry Items The Item in Use buttn at the bttm f the Extended Inventry Items frm lets yu check it yu can safely delete inventry items frm the Inventry Cntrl system. Sage 300 allws inventry items t be deleted as lng as there are n quantities in stck hwever, this can be a prblem. Even when item quantities are zer, item numbers can still appear in rders r purchase rders r histrical data that has yet t be purged. If an item is deleted when it is still referenced in ther mdules, the integrity checking prgram will flag these references as errrs, and sme peratins in Sage 300 may nt behave as expected. In additin, sme reprts will display incmplete r inaccurate data. The "Item in Use" buttn in Extended Inventry Items lets yu check whether r nt an item is being referenced in such a way that deleting the item wuld cause integrity errrs. T check whether items are in use r can be deleted Select the item in Extended Inventry Items. Click the Item in Use buttn at the bttm f the frm. Click the Check buttn at the bttm f the pp-up Item in Use frm. The prgram will check all cre mdules and knwn third-party mdules will be checked fr refences t the selected item. If unknwn third-party applicatins are present, they will als be listed, alng with a message advising yu f a pssible risk with deleting the inventry item: Extended Inventry Items has encuntered the fllwing applicatins that are nt supprted. Deleting items shuld nly be perfrmed if the unsupprted applicatins d nt use items in Inventry Cntrl.
