Yo control the accracy of yor patient data, can view all information, and only pay for charges that are collected. Schedler The calendar screen gives the operator an at-a-glance indication of how bsy each day is. Color can be sed to indicate the type of appointment schedled. The find option helps to qickly find an appointment by many different criteria. The system also checks pre-certification athorization, srgical follow-p days and tracks missed or canceled appointments in the patient s inqire file. Appointment Schedling System Yo have the ability to schedle appointments separately for all yor providers and practices, for years in advance! The niqe featre of the ChartMaker Schedler is its combination of flexibility and rigidity. The system gives the physician or office manager tremendos flexibility in specifying not only when, bt also how appointments are schedled. Once this intelligence has been bilt into the system, even ntrained operators can schedle appointments effectively and accrately. 6 Practice Manager The Center for Medicare Services (CMS) has reported that it rejects 26% of the claims it receives. While that nmber is astonishing, more astonishing is the fact that 40% of those rejected claims are never resbmitted. Using Medicare s statistics, the lost revene per physician is abot 10%. On a per physician basis, this ranges from approximately $25,000 to over $50,000. 9 STI Clod STI Clod is an ASP model option. ASP stands for Application Service Provider, or another poplar name is Software as a Service (SaaS). Althogh the ASP model appears to be a new way to se medical practice software, it is actally a very old model that sed to be called a time sharing model in the 1970s. In the early days of expensive compters, many companies cold not afford to prchase their own mainframe and instead decided to share compter time with other companies in an effort to redce costs. Client Server vs. ASP Model If yo have done any shopping for medical software, yo have probably already encontered these terms. STI offers both of these options to or cstomers, so we are indifferent to the option that yo choose. We are more concerned that yo nderstand the pros and cons of both options. Client Server A client server model is basically one where yor medical practice has the file server in yor office. A server is a compter with a large amont of memory. This is the machine onto which the software is loaded, and all of the patient information is kept. Yo are responsible to maintain the file server, and to complete data back-ps in case of a server failre. File servers typically have a sefl life of abot 5 years and then they need to be replaced. STI Client Server Option: This is a prchase decision. Yo need to pay for software bt this cost can be lease/prchased to make the monthly expense similar to an ASP monthly cost. Once the lease is paid, yor main cost is for software pdates and occasionally replacing the file server. The server is in yor location and in yor control. Access to yor data is faster and there is no need to worry abot a lost Internet connection. STI Clod/ASP An ASP model means that STI is responsible for the file server and hosting yor software, data and completing data back-ps. The server is not hosted in yor office bt at a secre site at another location and yor medical office accesses. In reality this is basically a rent verss prchase decision. Choosing ASP is a rental decision and the client/server choice STI Compter Services, Inc is a prchase or lease/prchase decision. However, like any decision there are pros and cons that shold be considered. STI Clod/ASP Hosting Option: This is a rental decision. Yo may pay a smaller initial monthly fee. Yo do not need to prchase software or software pdates. Yo do not need to prchase a file server, however yo do need to prchase compter eqipment for local se. Yo are not responsible for making daily backps. Yo may experience interrptions in information access if yo lose Internet connectivity; and the most important factor in this decision is if yo can get a fast, reliable Internet connection in yor office. With the STI Clod option yor practice is not responsible for paying software, portal fees, or software spport. Another benefit of the ASP is that yo do not have to worry abot prchasing a new server if yor server gets old or breaks. Benefits and Costs So what s the real difference? As is so often the case, cost and convenience are the major difference between these two options. With STI Clod, yo have no large p-front and ongoing costs. Some practices prefer only paying one monthly charge on their credit card rather than mltiple annal charges for software pdates, portal fees, eprescribing fees, etc. Pls yo have no need to complete daily data back-ps, program pdates, bying and maintaining a file server. Yo can also access yor data from anywhere with a web browser, The STI client server model is more like bying a home. Yo are the one responsible for keeping p with maintenance, bt yo will generally be able to pay off the prchase in a few years with a lease/prchase agreement and afterwards yo only have to pay for pkeep. In the long rn, owing is always cheaper than renting. Bt yo are responsible for the property and it s harder to pick p and move if something changes. STI Advantages Unlike other vendors, STI offers both a Client Server and STI Clod choice. More importantly with STI Clod yo can convert to an otright prchase price at a later date if yo desire or contine paying monthly. Other vendors may retrn yor data to yo on a CD with PDFs, bt this data is not sable. To really se yor data, yo need the software program and not jst the data. This is a really big difference, and it is important that yo nderstand it. With both of the STI options, there is no charge for Electronic Data Interchange (EDI) with insrance carriers for electronic claim sbmission, or ato-posting of the EOMB, or patient eligibility checking. Most vendors charge between $59/month and $79/month for each provider sbmitting electronic insrance claims and between $10/month and $20/month for each provider for their electronic EOMB posting options. 10 Common Sense vs. Nonsense It is nwise to pay too mch, bt it s worse to pay too little. When yo pay too mch, yo lose a little money that is all. When yo pay too little, yo sometimes lose everything, becase the thing yo boght was incapable of doing the thing it was boght to do. The common law of bsiness balance prohibits paying a little and getting a lot it can t be done. Spport One of the first and most important aspects to consider when prchasing new software is the level of software spport that will be inclded with the new system. Spport is so important becase it does not matter how eloqently written a piece of software is. It s important to know how well a company can assist yo when yo need them. Every vendor claims to have great spport. Who woldn t since it is easy to claim and more difficlt to dispte. Ask specific qestions like, How long is yor average call back time for spport calls? and Is yor spport team at yor main location or is it otsorced to some other company or contry? 11 Managing The Healthcare Revene Cycle A sccessfl billing process starts with the right practice management and electronic billing software like the Chart- Maker Medical Site. Once yo ve chosen yor compter technology, the next step is to decide whether to assign the billing fnction to yor own office in-hose staff or otsorce it to an STl Revene Cycle Management (RCM) Partner. The billing process relies on getting the correct patient and insrance information into the system. Errors in data entry reslt in rejections, and it s possible that a claim can be electronically sbmitted bt immediately denied withot ever entering the payer s system for processing. Often, staff in the physician s office forget or don t have time to retrieve the next-day reports that will tell yo if yor claims were accepted. A rejection on this vital report means that yor claim was not in fact sbmitted. If yor staff doesn t catch the error in time, the claim may be rejected for timely filing with no appeal possible. An STl RCM Partner can insre that charges entered by yo or yor office staff are done correctly and completely. They will sbmit yor claims, retrieve the next-day reports, and resbmit any necessary corrections. They will record payments and follow p on denials, rejections, and low payments. The advantage of sing an RCM Partner is that yo redce internal labor costs and a professional partner most likely will have more experience dealing with the insrance carriers than yor own staff since this is all that they do. That frees yor staff to provide better patient service and not sit on the phone talking to insrance carriers. Since an RCM company only gets paid a percentage of yor collections, they need to work yor acconts to get paid. For example, the RCM Partner receives only pennies of each dollar collected for yo.
