3 1 I n t r o d u c t i o n Service Provider Database Paramedics Training Document This document will provide an overview (how-too) for the Service Provider Database (SPD) user interface. SPD is used by the professional associations to register their New Brunswick members and includes demographic, educational and professional information. The information that is shared with the Department of Health only includes the non identifying pieces of information. Your private information will not be accessible by the Department of Health, unless instructed to do so by the association. The information is shared with the Department of Health (DoH), and allows analysts to monitor changing trends in the workforce and to engage in good health human resource planning. SPD is able to allow the department to expand this data collection to additional health professions efficiently. SPD also was built in mind to assist and enhance the Associations regular day to day business. This document is a step by step manual on how to use the SPD interface that flows with the complete registration process.

5 2 S N B S e l f - R e g i s t r a t i o n Navigate to the following link: Enter the username/password received from the paramedics association communication and click on the login button. Page 5 of 35
6 Read the text and Click on the next button to see the Term and Conditions screen. Page 6 of 35
7 Read the Terms and Conditions of User and click on the Accept link. Page 7 of 35
8 You are not able to update your profile: IMPORTANT: Enter all the required information. Some information may already be filled in. It is mandatory that you please check it for accuracy, i.e. address. If we do not have an address in the data base for you, we will create a fake one as we need to have this information to populate the SNB form. The information that you see is provided by information that already exists within the SPD database. Click on the Next button. Page 8 of 35

12 3 SPD Logon Navigate to the following link: IMPORTANT: The username/password you will need to provide here are the same used to enter the SNB site. Page 12 of 35
13 4 Language Selection Choose your language of preference. You will have an opportunity to also change your language preference within the application. Page 13 of 35
14 5 Member Dashboard This is your Home page. A message from the Registrar may be displayed above the registration information where it currently says This is a message from your registrar. The Member Dashboard will give you information on the status of several items related to your registration. Home refreshes the navigation screen Français changes the application to French Logout Signs the user out and returns to the username/password screen Previously Registered indicates if this is the members first year registered in NB or if they have been previously registered. Values are No or the latest year registered before the current cycle year. Self Assessment indicates at which stage the member is in the Continuing Competency Self-Assessment. Valid Values are: Assessment Incomplete Assessment Completed Evaluation Incomplete Evaluation Completed Exempt Indicates that the member is exempt of completing the self-assessment this year. Assocations Dues indicates if the due have been Paid or Not Paid. Current Registration indicates if the member has a current registration or if one has been submitted. Valid values are: Yes You have a registration for this current year and it s been approved by the registrar. No You do not have a registration for the current year. Page 14 of 35
15 Submitted The member has completed their registration form but has not yet been approved by the registrar. Membership Status indicates whethere the member is active or inactive. Photo Id indicates when the photo id was printed. Due receipt -- indicates that a receipt is not available. Once the dues are paid and receipts are generated, this will indicate available and a link will be available for the member to print their receipt. Page 15 of 35
16 6 Continuing Competency Program Before entering your registration information, you are required to complete your Continuing Competency Assessment Information. This year will include the self-assessment tool and the following year to complete the evaluation plan. You are required to complete the selfassessment tool before being able to complete your registration information. Once you enter the tool, you will be required to enter a licence type before proceeding. Click start to enter the self-assessment tool. 6.1 Self-Assessment Tool Part I You will be presented with a screen for each of the 7 Core Competencies Areas. You are required to enter a value for each General competency. Details of the scale used can be found in the instruction document provided. Once you ve rated yourself on each the General Competencies click next until you ve completed all 7 competencies. The Continue Later button allows you to save your work and access it later. 17 6.2 Self-Assessment Tool Part II Once you ve completed scoring for all 7 Competencies, you will be asked to provide a learning objective, Learning Activity and target data of completion. You are required to enter information for each general competency where you rated yourself 2 or lower. If you have not rated yourself 2 or lower on any of the general competencies, you will be required to enter information for at least one of the general competencies. Drop Downs and text boxes are available for Learning Objective and Learning Activities. Once you choose your competency to focus on you need to choose an option from both drop downs, one for Learning Objective and one for Learning Activities. You also need to enter information in the text box (located below the drop downs) to give a more detailed explanation on what it is you are going to do and what it is that you want to accomplish. A date calendar is provided for you to choose a date for when you plan on completing the learning objective, Drop Down values Drop Down values If you click next without choosing at least one you will receive an error message: Page 17 of 35

19 6.3 Self-Assessment Tool Summary Part I Once you have entered data for all 7 competencies, you can click on the Finish button and access the sumamry screen. You will get a of the competencies and the rankings you gave them. Page 19 of 35
20 6.4 Self-Assessment Tool Summary Part II Part II will summarize the Competencies, Learning Objectives, learning Activities and completion Date you have specified for each. If you want to review the data, you can click on the Continue Later button. If you are satisfied with your self-assessment tool, you can click on the Submit button. *there is a session timeout of an hour, please be aware when filling out your assessment form. If you are taking too long, you will lose your data. Remember, you can always continue later and your data will be saved until you choose to access your selfassessment tool again. Page 20 of 35
21 6.5 Self-Assessment Tool Report Once you re Self-Assessment tool Part I and Part II are completed, you are able to generate a report which will summarize your data. Click on the Generate Report button. Once the report has been generated, click on the Review link to view the report You will be able to open the file PDF file, save it or cancel the request. 25 7 Add Registration Once your Self-Assessment Tool is complete, navigate back to the welcome page. As you can see, your member dashboard indicates that your Self Assessment is now complete. You can now navigate to your registration form by clicking on the Add Registration Information link. 7.1 Registration Form Information from previous registrations have been migrated to this new system. You may see fields that include some of your personal information. General: Yellow fields are required. Lookups A list of valid values for a particular field will be displayed in a window where the user may scroll through the list and choose the right code. If the user clicks on a value, it will be returned to the field. When using a lookup field and you know partially what it is to be populated with, for example if you type ambulance it will create a list where all instance of ambulance occurs in the lookup. 27 7.3 Registration Information For the EMS Clinical History, you are required to answer all three questions with a yes or no. If you answer either or the first two questions with a no, your membership status should be 2-Inactive. Page 27 of 35
28 7.4 Education Information Enter all you education information. If you enter one field in a particular row, all other fields in that row are also required. Page 28 of 35
29 7.5 Employment Information You have the abiltiy to enter two Employers, but it is not necessary. Page 29 of 35
30 7.6 Submit Once all your information is entered, click on the submit button. You may receive validation error that will look like this: Once all your validation errors have been fixed and your form submitted, you will receive a message that your registration information has been sent for processing for the registrar. 31 Once you have completed your registration, you will notice the change in the Current Registration to Submitted. You have the ability to Review your unprocessed registration by clicking on the link. Once the registrar has approved your registration, your member dashboard will look like this: To Review or change some information on your registration, you can click on the Modify Registration Information Page 31 of 35

33 8 Paid Dues Once your dues are paid in full, directly to the registrar or through employment deductions and have been processed (which may not happen concurrently with payment) you will have the ability to access your tax receipt for the year. On the dashboard, you will see a link Print your dues receipts. Once you click on this link, the report will be produced and you will see a Review link. Click on this link. You ll be presented with this popup. You can choose the open or save your PDF. Or cancel the request. Page 33 of 35

35 8.1 Receipt Reports sample This is a copy of the tax receipt presented to you in PDF format. You have the ability to print or save this report. This will always be accessible to you on the member dashboard. Page 35 of 35
