1 Introduction to our new supplier management system Supplier Management and Rating Tool: "SMaRT" Deutsche Bahn AG L-Management Berlin Apr 2018
2 Welcome to SMaRT! The last years have shown that both the market environment and our way of working with our suppliers have changed. In order to respond to the changed conditions and meet the demand for a new way or collaboration, we will introduce SMaRT ( Supplier Management and Rating Tool ). What are the benefits of SMaRT? SMaRT is an online platform to which not only our DB employees, but also you as our suppliers have access to it. Working together on one platform will increase the transparency within our procurement and enhance the communication between you and our purchasing units. In detail, this means to you: Login for suppliers: Maintain and update your own company profile and contacts to keep Deutsche Bahn AG informed about any changes Upload your documents yourself whenever a new version is available to present your company to Deutsche Bahn AG in the best way Communicate with your DB contact via this platform about your product portfolio, company news, innovation ideas etc Work together with Deutsche Bahn AG on tasks and improvement measures The platform is offered in different languages that every user can set themselves. We therefore make the Deutsche Bahn AG more attractive to suppliers outside Germany. More transparency and more collaboration on one platform.
3 Homepage The home page is split into three parts: On the left side of the page you see your company address and have access to your profile, your documents, master data update screen and to the user management. The middle part shows you open tasks, e.g. questionnaires to fill or tasks to do. The panel on the right is your information channel. Here you will be informed of any new system feature and your planned or past assessments.
4 Profile administration You can update your master data yourself. For example you can change the address, legal information, number of employees, turnover data, etc of your company. Once you has been approved by the Deutsche Bahn AG to be a possible and suitable supplier, you will see the category approval on the left side of your profile. Soon it will be possible to select additional product categories that you are able to deliver by clicking on the button scope of supply. Until then, all product categories that you selected during the registration process (or that have been migrated from your previous system) will only be shown to Deutsche Bahn employees. Category status Approved means: A DB employee has had a look on your company profile, documents, certificates, financial information etc and when fulfilling the minimum requirements per product category marks your company as an eligible supplier.
5 Upload and update of documents/ certificates in SMaRT You can upload your documents that you want the Deutsche Bahn to be aware of, e.g. certificates, CSR reports etc. Documents can be given an expiration date and reminders can be added, in order to have an sent to yourself or a co-worker of your choice some time prior or after the expiration date. Documents can only be deleted within 24 hours after the initial update.
6 Management of tasks in SMaRT On the home page you can see all active tasks concerning you. Clicking on it, will get you to the detail screen where you can submit or reject the task. Also, if you are responsible for this task, you can add subtasks, comments and documents.
7 Exchange of information through comments feature Easy and direct exchange of information. Comments can be written from suppliers and from the Deutsche Bahn AG side.
8 Add your colleagues as SMaRT users Version I On your start page, click on add new user Enter the name and address of your colleague Under Important information, select if your colleague shall get a standard active user or a power user account (a power user can add new users) Once he/she activated the account, he/she can be added as new contact person Version II On your start page, click on show all contacts Click on Add new contact Select his/her function and the radio button new contact person Enter his/her details and select the tick box to trigger the activation to your colleague
