3 General Information Name of the Trade : Secretarial Assistant N. C. O. Code No. : Entry Qualification : Passed 12 th class examination under 10+2 system of education or its equivalent. Duration of Apprenticeship Training : One year and six months including one year Basic Training under CTS in the trade Stenography (English) /Secretarial practice. Rebate in Apprenticeship Training : One year for ITI/ITC passed out trainees in the trade Stenography (English)/Secretarial practice Ratio of Apprentice to Workers : 1:5 3

4 Syllabus for the Trade of Secretarial Assistant Under Apprenticeship Training Scheme Duration of Apprenticeship Training: One year First one year:- During first one year the apprentices will undergo the syllabus same as CTS for the trade of Stenography (English)/Secretarial practice Next six months : - Shop floor training in the related establishment (Industry). SL. No. Practical/Exercise 1 Introduction to the concerned organization/industry and the nature of work to be handled. Hands on practice on typewriting and computer. Knowledge of computer operating systems, ms office, page maker, internet and . Practice of taking prints from the printer. Practice on Financial accounting package. 2 Taking practical dictations of shorthand for speed building. Knowledge of transcription from short hand to long hand from the text book and practice from exercises 3 Practicing typing on Portable Typewriter, Laptop, and Computer to gain the speed. 4 Expertise to prepare business letters, manuscripts, tabular statements on computer and Typewriter. Practice on report writing, preparing minutes of the meeting. 5 To practice the routine Office duties such as:- 1.Receptionist duties & Soft Skills 2. Hospitality to the Visitors. 3. Front office management 4. Recording appointments in diaries. 5. Record maintaining procedure for meeting and important appointments. 4

5 6. Maintaining the confidential records. 7. Correspondence writing, Internet & . 6 Activities of handling inward and outward mail. Knowledge about handling filling system, filling equipments and method of classification. Practicing file management system on computer. 7 Knowledge about handling Office equipments: Duplicating Machine, Photocopying Machine, Fax, Scanner, Computer and its accessories, franking machine. Knowledge about operating systems of EPABX, Intercom, Answering Machine. 8 Knowledge about reservation system through travel agents and online reservation system for journey by railway/air and hotel Reservation system. 9 Knowledge about courier and post office Services like Regd. post, Parcel, VPP etc. 10 Knowledge about banking Services and transactions like availing Demand Draft, Cheques, Bank Accounts and ECS system, ATM, Credit card and Debit card. 11 Knowledge about different types of correspondence and draft letters according to that e.g. Recruitment correspondence Purchase Correspondence Inter-Office Correspondence Intra-Office Correspondence Advertising method 12 Revision & Test 5

6 Related Instruction 1. Brief explanation of the purpose of this training. To get acquainted with the organization/industry and to determine the individual goals for the future. 2. Procedure for improvement of the shorthand and typing skills through use and to review the steps in securing a job. Explanation of variety of applications of basic office skills. 3. Procedure of letter writing for different areas i.e. business etc, report writing, preparation of minutes of meeting, etc. 4. Application of English and communication skills. 5. Office management and business correspondence. Front office management system. 6. Personality development including beauty tips, dress code and general knowledge. 7. Computer applications and applications of office automation tools- Ms Office etc., efficient use of internet and . Brief about financial accounting package. 8. Applications of telephone, intercom system, photocopier, fax machine, EPABX system, scanner and franking machine etc. 9. Interpersonal skills, responsibilities, qualification, role, duties, relationships with staff & executives. 10. Preparation of Interviews, Mock interviews & group discussions 11.
