JOB DESCRIPTION Position: Reports to: Employment Status: FLSA Status: Description: NOTE: Accounting Supervisor Director of Business and Finance Regular/Full-time Exempt Assists with managing financial operations of the district The below lists are not ranked in order of importance Essential Functions: Maintain the strictest confidence concerning personnel, students and operational concerns of the district Promote good public relations by personal appearance, attitude and conversation Report all cases of suspected child abuse to appropriate school personnel and proper government authority Prepare and analyze all financial statements required by CSDE and other regulatory agencies for grants awarded to the Board of Education, including ED001, ED141, ED111, ED114 Assist the Business and Finance Director with all daily, quarterly, yearly, and other ongoing fiscal operational needs Coordinate all activities related to the annual financial audit Perform all duties in a professional manner and in accordance with Board policies and guidelines Oversee the development of the annual Board of Education Budget Monitor the District s budget and work with various departments regarding internal, state and federal reports Provide updates for the BOE Finance Committee Develop and maintain a working relationship with governmental agencies Provide internal audit and compliance services as required Attend workshops, seminars, and in-services to keep current on all matters influencing the general operation of the Business and Finance Department Provide accounting guidance to staff as needed Serve as MUNIS administrator and assist with new user training Assist with preparation of SBCH Cost Report and ensure financial accuracy Serve as P-Card administrator Provide assistance to Grant Managers in managing and monitoring their grants Coordinate the preparation of salary and benefit costs for budget projections Provide cost analysis and projections to assist in collective bargaining Assign accounting tasks to assist supervisor Other Duties and Responsibilities: Respond to routine questions and requests with tact and diplomacy in a timely manner Serve as a role model for students and staff Establish and maintain cooperative professional relationships Maintain a level of approachability by administration and staff Work with staff to foster their professional growth Perform other related duties as assigned by the Business and Finance Director Qualifications/Certificates: Bachelor s Degree in Accounting, Finance or other related degree 5 years previous accounting or internal auditing experience High level of computer aptitude used in problem solving and forward progress/new implementations Managerial ability encompassing organizational, verbal, and written communication skills Such alternatives to the above qualifications as the Superintendent and/or Vernon Board of Education may find appropriate V

JOB DESCRIPTION Position: Reports to: Employment Status: FLSA Status: Description: NOTE: Accounts Payable Supervisor Director of Business and Finance Regular/Full-time Non-Exempt Responsible for performing all accounts payable operations, month and year-end closing procedures and other fiscal operations as needed The below lists are not ranked in order of importance Essential Functions: Maintain the strictest confidence concerning personnel, students and operational concerns of the district Promote good public relations by personal appearance, attitude, and conversation Report all cases of suspected child abuse to appropriate school personnel and proper government authority Efficiently operate the accounting applications Assist in budgetary adjustments Communicate and work with staff and vendors on billing/payment issues and account balances Maintain positive professional relationships with staff and vendors Supervise and coordinate activities of co-workers engaged in calculating, posting, ordering and verifying accounts payable related activities Ensure district is receiving all available discounts opportunities through payment process Ensure accurate and timely payment of all accounts by verifying account numbers; scheduling and preparing checks; resolving purchase order, contract, invoice, or payment discrepancies and documentation; ensure credit is received for outstanding memos; issues stop-payments or purchase order amendments; verify vendor account through monthly reconciliation Perform and supervise accounts payable fiscal year-end closing process Organize and track vendor billing and payments; reconcile invoices Process and maintain encumbrance balances Prepare payroll checks per payroll reports Provide documents and data requested by auditors Assist in various balancing procedures Attend meetings and in-services as required Manage the full cycle of the Accounts Payable process from purchase order, invoice receipt to payment, including vendor and employee payables, travel and purchase card administration, ledger balances, monthly reconciliations and vendor maintenance Organize all purchase orders to respond quickly to vendors and employees Compile reports required by management and government agencies Monitor account balances Prepare various year end schedules Other Duties and Responsibilities: Cross-train and perform other finance office operations as needed Respond to routine questions and requests with tact and diplomacy in a timely manner Maintain a level of approachability by administration and staff Serve as a role model for students and staff Accounts Payable Supervisor Page 1 of 2 Created Revised
