1 18: Manage Job Orders Chapter Contents Create an Internal Job Search for Internal Jobs Working with Job Orders Modifying a Job Order Search For and Refer All Jobs Virtual OneStop s Manage Job Orders tool lets staff manage internal job orders, which are job orders entered by staff or registered employers. Staff can modify the job orders and refer candidates to the job orders, and assist employers with the referral process. Internal jobs are sometimes called preferred jobs. Staff also have some referral capabilities with external or spidered jobs that come from external sites. To open the Manage Job Orders screen and work with job orders, click Manage Job Orders on the Navigation pane or the Directory of Services screen. The Manage Job Orders screen has three links as shown in the following figure. Manage Job Orders Screen From these links, staff can: Create Internal Job Orders Search for Jobs (and Assign Job Order Mass Referrals) Manage Internal Jobs Job Order Mass Referrals Create Job Referrals Create an Internal Job To create a job order, staff first select the employer and then complete the Virtual OneStop Job Order Wizard. To create a job order: Click the Create an Internal Job link on the Manage Job Orders screen. On the Employer Search screen that opens, enter the search criteria and click the Search button. 2 On the Employer Search Results screen, click the Create Job link in the Action column. Employer Search Results Create Job Link The first screen of the Job Order Wizard will open. Proceed through the Job Order Wizard as explained in Chapter 10 of this Guide. Note: For instructions on creating a job order, see the topic Create Job Orders in chapter 16 of this guide, or see the Create a Job Order section in chapter 4 of the Employer Services User Guide. Search for Internal Jobs Staff can search for, view and modify internal job orders using the Job Order Search screen. Internal job orders are those job orders that were entered by staff or registered employers and are sometimes referred to as preferred jobs. To search for job orders: Select Manage Job Orders Search for Internal Jobs from the Navigation pane, or click the Search for Internal Jobs link on the Manage Job Orders menu. Enter at least one item in search criteria on the Job Order Search screen and click the Search button to find job orders. Staff can choose from many search criteria categories, including the following specialized criteria: Job Added or Updated Staff can find job orders added or updated within a certain time from (e.g., today, last 4 days). Job for Enterprise Zone Staff can search for job orders that are in designated Enterprise Zones. Job Subsidized by American Recovery & Reinvestment Act Staff can search for jobs that are part of the national Stimulus Package. 3 Keyword Criteria Staff can search for key words in the job title, job description, related occupation title, or that are part of the national Stimulus Package. Employer Criteria Staff can search for jobs related to employers, by key employer criteria, including size, employer type, industry, or industry sector. Job Orders Search Screen Keyword and Employer Criteria Job Orders Search Screen Job Occupation Criteria Occupation Code Staff can click Search for ONET code link to search for jobs by their O*NET code. Residential Address Staff can search for job orders based on geographic address of the job.. Job Orders Review Staff can search for job orders that were reviewed by staff. 4 Job Orders Search Screen Residential Address & Case Management Criteria Sections Click the Search button to display job orders that meet the search criteria. See the following section for instructions on working with job orders. Working with Job Orders After searching for job orders, the Search Results screen lists the job orders that meet the specified search criteria. The following figure contains a sample of this screen: From the Search Results screen, staff can: Job Order Search Results Screen Sort Click the header of the column by which to sort the list of job orders. View Click the Summary or Detailed link above the header row to change the view. Both views offer the same information and links in different layouts. Hide Duplicates Select the Hide potential duplicates checkbox to remove possible duplicate job orders from the list. View or edit job order details Click the desired Job Title link. For more information about modifying job orders, see Modifying a Job Order in the next section. Edit online status Click the job order s Online Status link. On the screen that opens, modify the status and click Save. Referrals Click the numeric link in the Referrals column to open the Job Order Statistics screen. The screen shows a list of applicants who have applied for the job. Refer Select the corresponding checkbox(es) for the job order(s) to be referred and click the Refer link at the bottom of the Select column. On the Referral Search screen that opens, search for candidates or résumés that match the job order(s) and should be referred to the employer for consideration. 5 Map Select the corresponding checkbox(es) for the job order(s) to be viewed on a map and click the Map link at the bottom of the Select column. Pages If the list of job orders extends to multiple pages, select the number of rows per page to display, as well as the page number to view, from the controls at the bottom of the list. Change Search Criteria to begin a new search with different search criteria, click the Change job search criteria link at the bottom of the screen. Modifying a Job Order Staff can open and edit a job order by searching for the job order (see the previous topic) and then selecting the job order from the Job Order Search Results screen. Each section of the Job Order Details screen contains a link to edit the information in that section. Many sections also contain links to view labor market information (e.g., the link in the Compensation and Hours section that lets staff view typical labor market rates for Accountants in the following figure). Some sections may also display messages in red that are relevant to or which only display for staff (as shown in the figure below). From this screen, staff can: Sample Sections of the Job Order Details Screen Edit Click the Edit link at the bottom of each the section for the area of the job order that needs to be edited. 6 Status Click the Staff Job Order Status link to change the job order s status. (This is in the Staff Information section at the bottom of the screen, as shown in the figure below.) On the screen that opens, change the status and click Save to save the change. Staff Information Section Staff Job Order Status Link At the bottom of the Job Order Details screen, the system displays several links that may be useful after to staff. Following is a brief description of each link. View Applicants The View Applicants link opens the Job Order Statistics screen. (This is the same screen that opens when the Applicants link in the Action column (on the Job Orders Tab) is clicked.) Preview Job The Preview Job link opens the Job Order Details screen. Search Candidates The Search Candidates link opens the Advanced Résumé Search screen. View History The View History link opens the Audit History screen. Create Template The Create Template link opens the Create New Job Order Template screen so the job order can be saved as a Job Order Template. Delete Job Order The Delete Job Order link deletes the job order. Copy Job Order The Copy Job Order link opens the Copy Job Options screen (as described at the beginning of this section). 7 Search For and Refer All Jobs Staff can use the final option on the Manage Job Orders menu Search for All Jobs to search for internal and/or external job orders. (Another way that staff can perform this search is to select Mass Job Referrals from the Manage Labor Exchange menu in the Navigation pane.) Either search method will allow staff to search for job orders and refer candidates to those jobs. These searches will return both internal and external (spidered) jobs. Staff can notify prospective candidates of either type of job order that comes up in the search (internal or external). However, staff also can contact employers about prospective candidates who match the requirements of an internal job order. Staff also can assist the employer with all aspects of the job order, the referral, and the evaluation process if the job order is an internal one. To search for all jobs: Select Manage Job Orders Search for All Jobs or Manage Labor Exchange Mass Job Referrals from the Navigation pane. The first option will open the Quick Job Search Tab; the second option will open the Advanced Job Search Tab. For more information on searching for jobs, see the topic Finding a Job in Appendix A Common System Tools. Area Selection Select the area in which to search. Search Criteria Enter or select the search criteria and click Search. The job orders that match the search criteria will display on the Search Results screen. Share this Job The Job Order Details screen includes links near the bottom in the Share this Job section. Staff can click any of the links to share the job with others via social media or . 8 Assist this Employer Click this link to open the employer s General Information Tab in its Employer Profile. Modify this Job Order Click this link to open the Job Order in edit mode. Send via a Message Click this link to open a Message screen. The Subject and Body Text will be prefilled with a reference to the job. Staff can select the recipient and delivery method, edit the message, and send the message to a candidate who might be interested in the job. Refer Candidate(s) to this Job Click this link to begin searching for candidates/résumés that match the job s requirements. Individual If the staff member is currently assisting an individual, the system will offer the option of referring the selected job order(s) to that individual. To do so, click the Select [Individual] button (as shown below). Résumés Click the Search Résumés button to search for candidates who have online résumés in the system. Candidates Click the Search Candidates button to search for all candidates that match the job order s requirements, regardless of whether or not they have résumés in the system. Refer Candidates Options (while assisting an Individual) Refer Select the corresponding checkbox(es) for the job order(s) to be referred and click the Refer link at the bottom of the Select column. On the Referral Search screen that opens, search for candidates or résumés that match the job order(s) and should be referred to the employer for consideration (as explained above). Map Select the corresponding checkbox(es) for the job order(s) to be viewed on a map and click the Map link at the bottom of the Select column.
