1 UTILIZE VOLUNTEER LEADERS Presenter: Becky Lunders, teamworks California Parks & Recreation Society Conference 2016 Objective: to introduce the concept of volunteer leaders by looking at the different types of volunteers and identifying the characteristics of those volunteers who could lead a program, event or outreach effort to build organizational capacity What Can You Ask A Volunteer To Do? ( If properly coached and mentored!) Two Types of Volunteers Worker Bees Volunteer Leaders Characteristics of a Volunteer Leader Look for these Traits Consider: Skill Set Network Personal Connections People Skills 2016 presented by teamworks totalteamworks.com becky@totalteamworks.com
2 How to Utilize Volunteer Leaders Ways I Can Utilize Volunteer Leaders in my program: California Parks & Recreation Society Conference 2016 Where Can I Find These People?!? Tools I Need to Have in Place (samples attached) Group Think #1: Promote an Existing Volunteer #2: Recruit a Leader to fill XX Role Volunteer: Position: Leadership Role: Important Traits: Ways to Empower Him/Her: Where to Find Him/Her: 2016 presented by teamworks totalteamworks.com becky@totalteamworks.com
3 Five Tips for Successfully Utilizing Volunteers 1. There are volunteers who believe in the work you do and want to help. 2. Most have never been asked to help. 3. Give volunteers meaningful work and heartfelt gratitude and they will keep coming back. 4. Under-utilize a skilled volunteer leader and you will lose them. 5. By letting volunteers oversee projects, programs and events it gives staff time to focus on the 3 R s: recruit, retain and recognize. Put It Into Action How will you apply what you learned today? To learn more about Utilizing Volunteer to Build Capacity, contact teamworks. We specialize in helping organizations build a volunteer infrastructure that can support the work you need to go while empowering volunteers. Our area of expertise is in volunteer program infrastructure, strategic planning, volunteer management training, board and staff retreats. 4 Tools to Help You Utilize Volunteer Leaders Menu of Opportunities (attached) Job Description (attached) Partnership Agreement (attached) Volunteer Placement Interview Ask questions to find out the motivation, commitment level and skill set of your prospective volunteer. This will help you place volunteers in positions that will be rewarding for them and productive for you. 1. What volunteer experience do you have? 2. What do you do when you re not volunteering? 3. Why do you want to volunteer for our organization? 4. What special skills do you have? 5. What would you say are your strengths in working with people? 6. What is your availability / time commitment? 7. Let me tell you about the volunteer leadership positions we have so we can see what interests you. 8. Which one can we count on you to fill? 9. Do you have any questions for me? 10. Who do you know -- friends, co-workers or family members -- that might also be interested in volunteering for our organization?
5 Menu of Opportunities Determine the Organization s Wants & Needs Before placing a volunteer into a position, take time to create a Menu of Volunteer Opportunities. This is a list of all the positions that are available within your organization. List your wants (and needs) and a few bullet points about each position. This will give potential volunteers and understanding of what s available, and where they might best fit based on their skills, availability and time commitment. Leadership Positions Event Chairperson Recruit committee members Secure sponsorships Manage progress towards goals Lead committee Logistics Chair Secure venue Secure logistical pieces of event Lead set-up & clean-up crews Recruitment Chair Set recruitment goal Form & manage sub-committee Ensure progress towards goals Offer support & encouragement Other Opportunities Office Volunteer Filing Sorting Phone outreach Community Event Volunteer Set-up tabling at community event Arrange to get Event Box Staff organization s table at event Be knowledgeable of organization to answer questions Copy Center Support Make copies Collate packets Be responsible for your shift Entertainment Chair Arrange for entertainment Handle logistics of entertainment Serve as point person on day of event Receptionist Answer phone Take messages Cheerfully greet visitors Other duties as assigned
