Sealed quotations are invited on behalf of Project Director (DKMA), ICAR for the award of comprehensive contract for maintenance of Compu,ters, Printers, Scanner and UPS installed at DKMA. 2 I.,, TERMS & CONDITIONS 1. The firm should submit tender in two Part bidding system (1" Part-Technical Bid, 2nd Part financial Bid). Separate envelops should be used for Technical and financial Bids and indication to that effect may please be super scribed on the envelops. 2. The 'Technical Bid' envelop should contain the following: (i) Tender form (General terms conditions) duly signed and stamped along with all relevant documents establishing the credibility. of the firm. The Technical Bid will not contain any price implication. All envelopes containing the tender should be properly sealed. (ii) The Technical Bid must contain the Earnest Money Deposit (EMD) of Rs. 20,000/- in the form of Demand Draft/Banker's Cheque/Pay Order. No exemption will be given to any firm for non submission of required EMD. Therefore; all the Firm should enclosed required EMD of Rs.20,000/- along with the tender. (iii) The annual turnover of the firm must be at least Rs. 50,00 lakh each year in the last 3 financial years , , A copy of Company audited accounts should be attached with the technical bid. (iv) The firm should submit a proof/certificate in respect of satisfactory completion of AMC's in the Govt. Organizations each of value exceeding Rupees two lakhs. The work order will not be considered as proof of satisfactory completion of work, 3. The 'Financial Bid" envelop should contain the following: (i) The Financial Bid should be submitted in the proforma prescribed by the Council and attached in the tender only. Proforma other than the prescribed on will not be accepted. (ii) Rate should include the charge of providing full time residence engineer at DKMA. Conditional rates will not be accepted. 4. Both, Technical & Financial bid envelops should also have complete name and address of the firm, 5. The firm should submit tender in the Performa attached along with tender only, and in the sealed cover super scribed "Comprehensive Contract for Maintenance of Computers, Printers, Scanner and UPS installed at DKMA, ICAR. Any other type of submission of tender will not be accepted. 6. Correction or over- writing in the tender documents is not permissible. Every sheet of the tender document and the terms and conditions should be signed and stamped by the authorized signatory of the firm. 7. An amount of 10% of total value of AMC have to deposit by the firm as performance security, which will be returned after the completion of AMC Contract but no interest will be paid and in case violation of any terms and condition on the part of the firm is noticed and/ or the services ',/

3 are found unsatisfactory, performance security can be the discretion of Competent Authority. Further in case the complaint not attended to promptly and within the specified time. The work will be got done from other sources at the contractor's risk and cost. In this regard the decision of the Competent Authority in Council shall be final and binding on the contractor. 8. The extension of rate contract will be decided mutually with the firm for such further period as may be agree upon suoject to approval of the competent authority in the Council. 9. Rates once finalized will not be increased during the period the contract, which is for a period of one year from the date of entering contract. 10. In case, the successful bidder shows inability at any stage, after the contract is finalized and awarded, for what so ever reason (s), to honour the contract, the earnest money/performance security deposited would be forfeited. 11. The outer cleaning of the systems and accessories will be done free of cost once in a quarter. 12. The contract shall be effective from the date of acceptance of the contract by the firm and the contract for maintenance of Computers, Printers, Scanner and UPS (i.e. covers all the items like CPU, memory, Monitor, Speakers, Mouse, Keyboard, adopter etc.). No extra charge whatsoever would paid to the firm. However consumables like printer head, toner cartridge etc. will not be cov.ered under this contract. 13. It shall be the responsibility of the firm (s) to make all the Computers, Printers, Scanner and UPS work satisfactorily throughout the contract period and also to hand over the systems to the Council in working condition on the expiry of the contract. 14. The firm will provide genuine parts of computers and printers and other equipments and in case of replacement of parts is needed; the parts shall be of the same make. In the event of their non-availability, good quality parts should be used under intimation to this office. 15. Any reported fault would be taken up by the AMC engineers within two hours. As far as possible, the repairs would be carried out on site itself, however, in case the equipment is taken to the workshop, the firm would provide, a stand-by equipment for the same. 16. The firm shall depute at least one efficient and qualified engineer for maintenance of computers and other equipments at DKMA during the entire period of contract on full time basis. 17. No advance payment in any case would be made. However payment will be made on quarterly basis after the submission of satisfactory reports by the nodal officer of IT along with the bill of each quarter. 18. The quantity of computers, printers and other equipment proposed to be given under AMC is listed in Annexure-1. These equipments are installed in various rooms of DKMA, Krishi Anusandhan Bhawan-1, Pusa, New Delhi. 19. As the contract shall be comprehensive, hence if the firm wishes to inspect the equipments, the same may be done between A.M. to 1.00 P.M. at any working day. 20. The Competent Authority in the Council reserves the right to cancel the tender at any time during the contract without giving any reason.

During the contract period, if it is found that the firm is not adhering to the terms and conditions of the contract, the same would be terminated without any notice and performance security would be forfeited. 22. The firm will provide maintenance and repair service on holidays also. 23. Penalty as deemed fit by the competent authority in the Council will be imposed and deducted in case of any of the items is not repaired within 24 hours of reporting of fault. 24. If any dispute(s) arises between the Council and the firm with reference to the contract, the Council will decide it and its decision will be binding on the terms.
