Overview TrialNet sites can utilize the online FedEx system to manage specimen shipments and schedule shipment pickups. Alternative to paper airbills.

2 Overview TrialNet sites can utilize the online FedEx system to manage specimen shipments and schedule shipment pickups. Alternative to paper airbills. Online FedEx system is completely optional. Sites may continue to use paper airbills, if desired. Please contact the TNCC for pre-printed airbills for your site.

3 Setting up your online FedEx User Account To register for an online FedEx user account, please contact Kelly Sadler or the Natural History CRA at the TNCC and request an online FedEx user account. The TNCC will create a user account based on your contact information listed in the TrialNet Member s Directory.

4 FedEx Account Information Once requested, you will receive your TrialNet FedEx online account information via This will include your FedEx User ID and default password.

Logging into your Account for the First Time Go to http://fedex.

7 Preparing a Shipment From the Main FedEx webpage, click on Prepare Shipment

Package and Shipment Details, Enter the following: Service Type: Specimen shipments to the labs should be sent Priority Overnight Package Type: If using a TN shipper to ship specimens, select Your Packaging No of Packages: Enter the number of packages in this shipment Weight: Enter weight of package. If dry ice will be used in the shipment, remember to include the weight of the dry ice in the total shipment weight. Ship Date: Enter shipment date

12 Preparing a Shipment continued Under 4. Billing Details, please do not edit this information as the TNCC FedEx billing account is already assigned as the pre-designated option.

13 Preparing a Shipment continued Under Special Services, Select Edit and indicate if your shipment will include Dry ice. Also indicate the weight of the dry ice. Note: Dry Ice weight cannot be greater or equal to the total shipment weight. If your shipment includes Dry Ice, ensure that a UN1845 Black Diamond Dry Ice label is affixed to the shipper.

15 Finishing Your Shipment After you confirm your shipment, the airbill and tracking number are available to view and print. Record the tracking number or print a copy of the receipt for your records.

16 Printing Your Airbill Click on Print to print the airbill label. Fold the printed page along the horizontal line. Place the label in the shipping pouch and affix it to your shipment so the barcode portion can be read and scanned.

17 FedEx Supplies If your site requires FedEx supplies (such as airbill pouches, etc.), please contact Kelly Sadler at the TNCC. All other specimen collection and shipping supplies may be ordered off the TrialNet Supply Ordering System at net/login.asp

Helpful Hints Always ship specimens as Priority Overnight. For biological specimens, always affix a UN3373 Biological Substance Cat B label to the shipper.

For Natural History Autoantibody Specimens, Ship ONLY to the Core-ICA lab (Not the BAA lab). Shipping to the BAA lab will cause a delay in the processing of your specimens. For specific specimen collection and shipment information, please refer to the Lab MOO or contact the protocol CRA.

Scheduling a Pickup If your site does not have a regular FedEx pickup, you can schedule one by: Calling 1-800-GO-FEDEX (1-800-463-3339) Scheduling a pick-up online

19 Scheduling a Pickup If your site does not have a regular FedEx pickup, you can schedule one by: Calling GO-FEDEX ( ) Scheduling a pick-up online Note: When scheduling a pick-up, there may be a pick-up time of day window depending on the location of your site. Please contact FedEx for additional information.

20 Scheduling a Pickup Online After you select Schedule a Pickup 1. Pickup Address: Ensure the address listed is the physical address where FedEx should pick up your site s packages.

21 Scheduling a Pickup Online continued 2. Package Information: Select Schedule a FedEx Express Pickup Enter shipment details (# packages, weight, etc.) Enter pickup details (time, special instructions, etc.) 3. To Complete Pickup, select Schedule Pickup

22 Shipping Specimens Remember specimens must also be shipped electronically in the TrialNet system. Failure to do so will cause the specimens to be placed on hold at the lab until your site can ship the specimens electronically in the TrialNet Specimen Management System (SMS). Please reference the SMS User Manual and training videos in the Media Center for additional information on preparing an electronic shipment in the TrialNet system.

23 Tracking Your Shipment with FedEx Your site can track the progress of the shipment by using the FedEx tracking tools.

24 Tracking Your Shipment with FedEx Your site can track your shipment by entering the Tracking number and selecting Track.

25 Tracking Your Shipment with FedEx Your site can also track shipments while logged into your FedEx account Select Track Using My FedEx Your Tracking Inbox will then appear. Here you can monitor the status of your recent shipments, check the signature of the person who signed for the package, etc.

26 Tracking Your Shipment with the TNCC Your site can also check the status of specific specimens or shipments from your site by searching the Browse Specimens or Browse Shipments tools on the TN website.

27 Browse Specimens Here your site can check the status of specific specimens from your site. Enter the barcode, PID, LID, FTL or collection date and select Search The related specimens will populate to the right of the page.

28 Browsing Specimens continued Once you see the specimen of interest, click on History and the specimen history will appear below.

29 Browse Shipments Enter the Shipment ID, Shipment Name, Tracking number or Shipment Date and select Search All shipments matching your search criteria will appear to the right of the page.

30 Browsing Shipments continued You can view the status of your shipment by viewing the shipment State column. Your site can also view what specimens were included in the shipment by selecting View Items.
