1 2018 Reconditioning Pick Up Procedures Before going to the school/group to pick up their order, you ll need: 1) Bags and Tags (Schutt Recon supplies) 2) Contracts 3) Freight Carrier Bill of Lading 1. Bagging and Tagging Fill out ALL the information on the Bag Tags. You ll need TWO tags for each bag on the order. The Reference # is the H or SP # at the top left of the contract. The C# or Customer #, is the # at the bottom right of the contract. Sample tag is below. You can fill out the tags by hand or you can create pre-filled labels for the tags by using our website: If you use pre-filled labels, print them on Avery 5160/8160 labels. Contact Schutt Recon or order on if you need bags. Place ONE completed tag inside each bag (zip tie to one of the helmet face guards) and then close the bag with its drawstring (or use a zip tie). Place ONE completed tag, securely to the outside of the bag preferably thru the drawstring of the bag. PACKING NOTE: The maximum number of varsity helmets to pack in each bag is ten (10). The maximum number of shoulder pads per bag is eight (8). If you cannot close the drawstring COMPLETELY, you have overfilled the bag and will need to repack. 4/21/18 1

2 2. Completing the Contract The contract must be the current year (2018). Use the following contracts for pickups: H = Football Helmets, SP = Shoulder Pads, BH = BA/SB hard goods, F = Football Cloth, LX for Lacrosse hard goods, & G = for all other sports, Soccer, Field Hockey etc. Please utilize our contract website (must use Internet Explorer as your Browser) to obtain your pre-filled contracts. If you do, confirm that all pre-filled information is correct on the contract and that an H number has populated in the upper left corner, along with the customer number in the 6 boxes located in the lower right corner. The contract must contain ALL of the following information. If you re filling out by hand, you must write legibly. Mistakes because of sloppy hand writing or omitted information are YOUR responsibility. 1) Equipment Pick Up Date 2) SPECIFIC Equipment Return Date (ASAP does not work average turn around time is 6-7 weeks plus transit). 3) Full Name of School/Group, Shipping Address, Phone # and address (If there s a change of customer information, check appropriate boxes and also indicate this in the special instructions). 4) Accurately count the number of helmets and number of bags. 5) Indicate how Schutt should finish the customer s helmets: Buff & Polish, paint, color, etc. If color code is unknown, indicate Match Existing Helmet Color 6) Indicate if Rejected or Missing faceguards should be replaced (If No is not selected all rejected or missing masks WILL BE replaced) 7) Indicate faceguard color and styles if Schutt is installing replacement or new faceguards. 8) Please be aware that all helmets will be returning with jaw pads installed, whether rejected or missing and appropriate charges will apply. 9) Accurately count number of chin straps, if picked up 10) Indicate to return Rejected Helmets, Faceguards, or Parts 11) Indicate if you want Helmet Tracking (additional charge) 12) Indicate to install or supply stripes and/or decals 2

3 13) Indicate if you would like to have Age Rejected helmets replaced through the recon process. Once you have received your Age Inventory Report, you can contact your Schutt Recon CSR to place your age rejected order. 14) Note any billing or special instructions in the Special Instructions Box 15) Get the customer s signature on the contract at completion of pick up 16) Dealer sales rep should print their name in the Salesman Name box and whenever possible include a cell number where they can be reached to help answer any contract related questions. 17) Indicate the C# (C# is the customer number a unique identification - Alpha-numeric code for Schutt Recon. If unknown, call or Schutt Recon) 3. Contract Submission to Schutt Reconditioning You must submit your contract to Schutt Reconditioning WITHIN 24 HOURS of picking up your customer s order. You can do this in one of these following ways; 1) ONLINE - submit using your account at (must use Internet Explorer as Browser) 2) SCAN AND UPLOAD your contract on (must use Internet Explorer as Browser) 3) FAX - send it to the number at the top of the contract SHIPPING NOTES 5 FULL BAGS OR MORE: This requires the use of UPS Freight trucking and has a minimum of 45 helmets or 40 shoulder pads. Call Audit Source to schedule a pick up at or dispatch@auditsource.net Completely fill out the Audit Source Bill of Lading for your shipment including the contract number. See sample at back of packet pay close attention to yellow boxes. LESS THAN 5 FULL BAGS (4 bags or less or less than 45 helmets or 40 S/P s): Do not use UPS Freight for these small shipments. Small shipments must be sent via UPS, USPS or FedEx standard package service. Please contact Schutt Reconditioning for your best shipping options. 3

4 Things to Keep in Mind Do NOT use the same contract (H#) more than once. Additional helmets sent in after initial recon order need a new contract (the additional helmets CANNOT be processed under the earlier contract) Middle Schools or Junior High Schools should have their own C# independent of the high school If a school/group has two different colors that are to REMAIN THE SAME COLORS there must be two separate contracts submitted (one for each individual color) If you select to NOT replace rejected facemasks/cages, the old hardware will not be returned and new hardware will not be installed (Quarter Turn & Quick Release are returned) If a change to an order needs to be made after the contract has been submitted call or Schutt Recon with the change do not send a new contract! Individual player helmets that are picked up with the school s helmets should be labeled by last name, as well as bagged and tagged separately. These helmets must be processed under an independent H Contract and tracking should be selected (Tracking ensures each helmet receives the same style mask, jaw pads, and internal parts that it arrived with, as well as logging all of this information on a tracking sheet. This is an additional cost to the recon-see you pricing sheets).
